Completing your Key Stage Assessments – Year 1 Phonics- Crib Sheet

DEADLINE: Friday 6th July 2012

The following is a checklist of actions required to complete your Year 1 Phonics screening assessment and send your data.

Basic information on navigating in SIMs is also provided, but does not describe the full processes involved – please refer to the help sheets and resources provided on the ICT website

1 / Import the 2012 Wizard into your MIS
Within SIMS – Routines | Data In | Assessment | Import > Browse (Folder with magnifying glass symbol) > Click on the “Look In:” drop down menu and select App Virt (Q:) > double click SIMS v.08 > double click SIMS.net > double click AMPA > double click England Primary > double click Assessment Manager> double click KS1 Year 1 Phonics Screening Check 2012 > Finish > Close
2 / Run the required KS1 Year 1 Phonics Screening Check 2012 mark sheet
SIMs – Tools | Performance | Assessment | Wizard Manager > Highlight KS1 Year 1 Phonics Screening Wizard 2012 > Next > Browser > Year Group “1” > Apply > Next Highlight KS1Year 1 Phonics Screening Wizard 2012 mark sheet > Click on the “Edit” pencil. (If you can’t see a wizard, change the Filter at the top of the page to “All”)
3 / Are all pupils included, including recent arrivals and pupils out of year?
If you have pupils out of year, create a User Defined Group: SIMs - Focus | Groups | User Defined Assessment Group Primary, and add the correct pupils
4 / Print mark sheets (if required)
SIMs – follow the steps in Ser 2 - “Run the required KS1 Year 1 Phonics Screening Check 2012 mark sheet”, and once the mark sheet is displayed, click on Print
5 / Teachers enter marks – either on printed mark sheets or directly into SIMs (refer to SIMs guidance for setting up teacher access to mark sheets)
Required input: score (0-40) in “Mark” column
6 / Enter scores into mark sheet in your MIS
SIMs – follow the steps in Ser 2 - “Run the required KS1 Year 1 Phonics Screening Check 2012 mark sheet” above. Enter the results In the mark sheet grids.
Required input: score (0-40) in “Mark” column. Click on “Calculate” for SIMs to calculate the grade/outcome. For pupils with no score, enter A, D, L or Q as required in “Grade” column. Regularly “Calculate” and “Save”
7 / If a result cannot be entered into MIS, then go back to teacher to check valid values being used
SIMs – right click on the marksheet grid and it will give the valid value for that subject
8 / Have any pupils NOT been awarded a mark? (Anything other than 0-40). Grade needs to be manually entered
For pupils with no score, enter A, D, L or Q as required in “Grade” column
9 / Ensure no marks/grades have been entered in “Re-check” columns
These columns not to be used for 2012
10 / Have all pupils got grades? Leave no blanks
11 / Print off completed mark sheet and get checked by teacher/headteacher – amend as required

12 / Export CTF file from MIS – destination is “Norfolk”
Routines | Data Out | CTF | Export CTF. Select Year 1 pupils only. Include Student Basic Details, Assessment Data and Include KS1 Tasks/Tests
13 / Go to desktop and open Anycomms Outbox/CTF Export Folder
14 / Move new CTF (.xml) file into Phonics sub-folder in Anycomms Outbox
If CTF (.XML) file not in Outbox/CTF Export Folder, then your SIMS Setup may be wrong. A helpsheet called “How to export Key Stage Assessment Results in SIMs” is available on the ICT website
15 / Start Anycomms call to upload exported CTF file to Norfolk LA
16 / Check file uploads successfully
You must respond to status messages and correct any errors
DEADLINE: Friday 6th July 2012 (to allow LA to complete checks)
17 / Any amendments to results?
Please inform county (Chris Jackson/Dom Mingaye) if you upload a new file via Anycomms to NorfolkLA
18 / Reports for parents
No report currently available in SIMs – schools to produce own reports
