Temporary for 6 months

PAY SPINE:NJC Points 5 - 11 (£13,500 - £15,207)
MAIN PURPOSE OF JOB:
The post holder will provide a wide range of clerical and administrative services to the Council in support of the Registration and Corporate Services teams. Key duties will include administrative support for the Registration and Corporate Services teams, reception duties and assisting with the setup of meetings and events..
KEY RESPONSIBILITIES:
The duties and responsibilities outlined below are intended as a guide to the main elements of the post. They may be amended by the line-manager in consultation with the post holder.
- Provide administrative support for the Registration and Corporate Services teams’ annual work cycles, as well as assisting with ad-hoc projects.
- Assist with word processing, scanning, photocopying and filing.
- Meeting and greeting visitors and assisting with the preparation and support of internal meetings.
- Managing incoming and outgoing post.
- Deciphering and forwarding emails, faxes and documents within the organisation.
- Assist with the update and maintenance of an internal archive.
- To carry out routine input and update data in relation to the work of the Registration and Corporate Services teams.
- To assist with the printing and despatch of Council and Committee papers.
- To assist with the organisation of Council and Committee meetings and events.
- To comply with the Council’s Equal Opportunities Policy.
- To take reasonable care of his/herself and others whilst at work in respect of matters relating to Health and Safety, and to co-operate with the Council in carrying out the statutory Health and Safety duty placed upon it.
- To comply with the Council’s IT Security Policy and any reasonable procedures arising from it.
- To comply with all the Council’s record management policies specifically data protection and freedom of information and any reasonable procedures arising from them.

Essential Qualifications
•Minimum 5 GCSEs including English (Grades A – C)
•RSA/OCR Stage 2 Typing or Word Processing or equivalent
Essential Experience
•Minimum of 1 year’s experience in a similar role
Essential Knowledge
•Knowledge of computer systems
•Knowledge of MS Word, Outlook and Internet
Desirable Qualifications
•Relevant Level 3 qualifications e.g. RSA/OCR Stage 3
Desirable Experience
•Data Input/Scanning/Archiving experience
•Supporting meetings and events
