TITLE: Receptionist

PROGRAM: Head Start

RESPONSIBLE TO: Administrative Advisor

POSITION SUMMARY: Performs all job responsibilities in a safe manner. Monitor and ensure the safety and security of the facility. Greet and direct customers, responsible to file, review, and answer phones provide copies, as necessary, Be team player.

PHYSICAL/MENTAL ABILITIES AND PROCESSES;

· Entry level computer literacy and keyboard skills, accurate data entry. Some use of Windows Microsoft Office, Data Entry Systems, Internet and e-mail.

· Ability to communicate effectively & professionally with staff, volunteers and public, often involving confidential information.

· Professional phone etiquette skills

· Occasional repetitive motion with hands, computer keyboarding, phone, filing.

· Occasional lifting in excess of 25 lbs. at a time.

· Daily sitting/standing at computer workstation and/or desk for extended periods.

· Some standing to operate various office equipment.

QUALIFICATIONS:

1. Experience in an office setting.

2. Knowledge of modern office communications systems: E-mail, voice mail, IBM compatible computer system, and the ability to operate various office equipment: Computers, fax, photocopy, etc.

3. Experience greeting the public.

4. Experience portraying a professional telephone image.

5. Ability or willing to learn data entry accuracy.

6. Good verbal and written communications skills.

7. Bilingual in English and preferably Spanish desirable, but not required. The primary language in the workplace is English.

8. No prior convictions of abuse/neglect. Criminal History Background Clearance.

· Documented on-the-job WICAP education and/or experience may be used as an equivalent to some of the experience qualifications.

EMPLOYMENT CONDITIONAL UPON RESULTS OF THE FOLLOWING:

o Criminal History Clearance.

o Successful Drug and Alcohol screening

o Physical Capacities Examination

RESPONSIBILITIES:

1. Ensure safety is a priority in performing all job responsibilities and ensuring the safety policy is adhered to.

2. Ensure the safety and security of the Head Start facility.

3. Provide customer service in reception, greet and direct visitors at the site.

4. Answer and direct phone calls.

5. Prepare information for data entry.

6. Data entry into data base system(s).

7. Attention to details and maintain a high level of accuracy.

6. Perform specific assignments in all areas when needed.

7. Performs all assigned responsibilities in a prompt and efficient manner to ensure a quality program.

8. Follow step-by-step activities as outlined in content area plans and policies and procedures.

10. Perform other relevant responsibilities as required by the program.

11. Model the Respectful Workplace Policy when interacting with WICAP customers, community members and colleagues.

12. Participate in professional development, sometimes off-site, at the request and support of supervisor.

13. Must be responsible, able to handle confidential material, able to organize effectively and able to work independently.

14. Assure that a positive image of WICAP is portrayed at all times.

HOURS: SALARY:

Up to 25 – 35 hours per week $8.13–11.59 per hour

May include nights and weekends

ENTRY SALARY:

New Employees start at the entry-level salary

Additional Compensation for qualifying degrees
