Nursery Staff Policy
ALL PERSONNEL SHOULD READ THE POLICY CAREFULLY
Clothing/ Appearance
All permanent staff are supplied with a uniform in the form of polo shirt and a fleece. Uniforms provided must be worn at all times with black skirt, trousers or short, skirts and short must be just over the knee length. The staff is required to wear flat shoes, only black trainers are permitted. During summer staff are allowed to wear sandals with no heel with closed backed. It is responsibility of the staff members to ensure that uniform is kept clean. On special occasions, staff are allowed to dress down for occasion, however we request staff dress appropriately on these occasions and ensure health and hygiene procedures are followed, e.g. hair tied up, no heavy make-up, jewellery etc.
Staff are not permitted to wear the following;
- Denim jeans (with the exception of dress down day)
- Platform or high heeled shoes (only flat comfortable shoes are permitted)
- Flip flop (open backed sandals)
- Short and skirts shorter than 3 inches above the knee
- Leggings
Health and Hygiene
In the interests of health and hygiene staff should note the following:
- Long hair must be tied back
- No heavy make-up or perfume should be worn
- No brightly coloured or chipped nail polish
- False nails should be kept to a reasonable length and during food preparation, gloves should be worn to prevent contamination
- No heavy jewellery (rings should be kept to wedding and engagement rings only)
- With the exception of one pair of stud earring facial jewellery in NOT permitted, this includes multiple pairs of earrings, tongue, nose, and lips or eyebrow piercings.
- Large visible tattoos should be covered with appropriate clothing.
- Staff must ensure they wash their hands thoroughly on arrival and before working with children; in particular after smoking., using the toilet or going on breaks.
Smoking
Marvels Kids Club operates a NO SMOKING Policy within the nursery and grounds; therefore, any members of staff who smoke must do so off-site and out of view of any passer-by. In order to deter the smell of cigarette smoke from entering the rooms, and possible being passed onto children, the following also applies to all staff who smoke:
- Ensure that uniform does not contain smell of smoke.
- After smoking, staff are to ensure they wash hands before re-entering the rooms.
- Staff are encouraged to use mints or mouthwash if smells of cigarette.
Working Hours
The normal working hours will be allocated and will be displayed in staff room and office.
It is responsibility of individual staff members to ensure they log in and out of the nursery; failure to do so may result to do may result in staff being recorded as absent and therefore affect payroll.
Sickness/ Absence
Staff must contact the manager or Deputy by 7:30 concerning sickness absence. Staff are also request to telephone no later than 4 pm on the day of sickness to advise the Manager if you will/ will not be returning the following day in order that cover can be arranged. If staff are absent due to sickness due to sickness and are expected on an early shift they are requested to telephone the person on the opposite shift to arrange cover.
If staff have been off work sick for seven days or less (this includes weekends and bank holidays), on return to work a sickness self-certification absence form must be completed.
If staff have been off work sick for more than seven days a Statement of Fitness to Work (FIT note) must be obtained from a GP or doctor who gave treatment. This should be forwarded to a Manager or Deputy as soon as possible.
A delay in providing either of the above, may affect your salary and/ or any Statutory Sick Pay due.

staff who are absent from work due to adverse weather conditions must inform the nursery manager as soon as is safely possible (i.e. not when driving).
In such cases staff will be required to take this time as annual leave or unpaid leave.
Mobile phones
UNDER NO CIRCUMSTANCES MUST MOBILE PHONE BE KEPT IN ROOMS
All staff are required to turn off mobile phones during the working day and leave them in office where will be securely stored.
Staff are permitted to use mobile phones (in staff rooms) during breaks but they must be returned immediately afterwards.
Please Seek permission if you require to make a phone call (Using your mobile, is allowed only in office area)
Mobile phones must not be used while out with the children unless in an emergency. (Only nursery phone should be used when out walking with children).
Any staff member, who is found using, or carrying, a mobile phone whilst working with children, or during working hours, may face disciplinary action.
Language
Swearing and slang words are strictly forbidden in the nursery.
Appropriate language should be used at all times. A child’s self-esteem can be damaged by something he/she hears in a derisive manner.
Any discussions about a particular child or his/her parents should take place in private and be treated with utmost confidentiality.
Staff must remain professional at all times and ensure that any disagreements are aired in private and not in earshot of children and parents.
Communication
Student should not enter into discussion with the parents about nursery policies, routine or staff. Please refer any queries to the manager, deputy manager and third in charge.
Any complaint made by a parent, no matter how trivial, should be communicated to the Manager or Deputy Manager when, hopefully a resolve will result.
Communication is of utmost importance and staff must report anything they are concerned about within the nursery.
Staff must ensure that they remain professional with parents and not enter into discussion about their private lives. Additionally, private childcare arrangements, i.e. babysitting, must be discussed outside of the working environment.
Visitors to the Nursery
- Procedure for Parents whilst on nursery premises
Any accompanying children must be supervised by the parents whilst at Nursery. Parents must ensure that all internal and external doors and gates are securely closed whilst entering and exiting the premises.
- Procedure for all other visitors
No visitors will be admitted to the building without prior appointment. Upon entering the building, all guests must complete the Visitor Book, including their name, who they are visiting and the purpose of the visit, time in and out.
- Visits from ex members of staff
Whilst we welcome visits to the nursery from ex members of staff it may not always be convenient and causes disruption to the smooth running of the day. Therefore, all visits must be agreed in advance by the manager, as unannounced visitors may be turned away.
Meetings and Training
Although we try to avoid imposing on the “Personal Time” of staff, we do insist that staff attend monthly meetings. These cover all aspects of ongoing training, as well as everyday nursery business. Staff are required to attend 10 out of 12 staff meetings.
Staff are requested to attend training programmes which are to assist them for their CPD (Carer Personal Development); this is in line with Ofsted requirements. Staff are asked to discuss any specific training needs with the Manager during supervision. If a staff member enrols for a training course and fails to attend without a valid reason, they will be charged a fee for non-attendance and it will be noted in their personal file. Consistent failure to attend staff meetings or training may result as a warning.
Communication Book
Communication books must be used to record messages from parents in order that all staff can access this information.
Parental comments and complaints must also be recorded in this book.
Please remember that children taken in for extra sessions should be entered into communication book. No extra session should be agreed without consulting the Manager/ Deputy.
Housekeeping/ Health & Hygiene
It is the responsibility of the nursery staff to ensure that individual rooms are kept clean and tidy. Sterilising of toys must be done monthly. Nursery staff must ensure that rooms are tidy and toys are stored after each session. Cleaning of the nursery is the responsibility of both the staff and cleaner, though, during holiday club it is staffs’ responsibility to clean the nursery and empty the bins end of each day.
Social Networking sites
As an employee of Marvels Kids Club, you must not mention any parents or child within our care nor refer to any other employee or visitor in relation to Marvels Kid Club. This means that work related matters must not be placed on any such site at any time either during or outside of working hours. We encourage you to retain your professional judgement even you know parents really well or either friends with them on social media, as it can affect your judgement.
Should you fail to adhere this policy you will face disciplinary action.
