Notes on Completing Form 1S (For information only do not require printing)

[i] When an employee works all their contracted hours in the first week of employment the contract start date must be on a Monday in order for them to be paid correctly.

[ii] If this is a relief appointment, please ensure you choose the appropriate type of relief as follows:

CASUAL RELIEF -

‘Contract’(generally verbal) will be for less than 3 months and/or there will be no obligation to offer work or for this to be accepted. The ‘contract’ will only subsist during the periods of work. Statutory holiday pay will be calculated and paid separately on hours actually worked. There will be no entitlement to membership of the LGPS.

PERMANENT RELIEF -

The contract will be of at least 3 months in duration and there will be mutuality of obligation (i.e. work will be offered and will be accepted within the days and hours agreed). A zero hours contract will be issued and service will be continuous between periods of work. Contractual holiday pay will be calculated and paid separately on hours actually worked. The employee will be automatically brought into the LGPS for permanent relief hours unless they opt out for this contract. Please ensure you complete the weeks per year field with notional maximum weeks they could be required to work e.g. 38 or 52 weeks per year.

[iii] Please ensure you complete the weeks per year for all support staff. For relief’s please ensure you complete with notional maximum weeks they could be required to work e.g. 38 or 52 weeks. Please note that staff who are working 45 weeks or more will have to be appointed to an All Year Round contract or an AYR annualised hours contract. Please call your SPS team for further advice, if required.

[iv] Where an employee will work all their contracted hours to the end of the term the end date should be the last day of the holiday period in order for them to be paid correctly. If they are not working to the end of term then the Sunday date of the final week should be used.

[v] The Employment Rights Act 1996 requires the statement of particulars [contract] to state the likely duration of the contract if temporary.

[vi] The reason given will appear verbatim on the contract and should include the name of any person / pupil that are linked to it i.e. maternity / sickness cover, individual pupil support.

[vii] Please quote the Kent Scheme Band and the full time annual salary (we will use this figure to calculate the pro-rata amount for your part time employees)
