JOB TITLE: Hospitality Supervisor

REPORTS TO: Domestic Bursar

ACCOUNTABLE TO: Director of Finance

LATERAL COMMUNICATION: Assistant Catering Manager, Head Chef and Catering Supervisor

DEPARTMENT: Catering

JOB PURPOSE: To provide an efficient and professional service to all School and external function and event catering services, ensuring the highest standards are met and maintained at all times.

RESPONSIBILITIES

·  To liaise with the Domestic Bursar with regard to the planning of event work schedules

·  To ensure customer stated expectations are met at all times

·  Be fully conversant with all meeting and event rooms, layouts, product availability and all other associated aspects.

·  Be present to meet and greet customers

·  Supervise events in-house and private to maintain customer satisfaction at all times.

·  To organise staff to maintain control and efficiency of service during events to ensure the highest service possible at all times.

·  To ensure that each event is provided and served to the highest level of ‘Front of House Service’

·  Attain a working knowledge of the event/function taking place.

·  Anticipate and attend to guests’ needs immediately.

·  Oversee and assist in the cleaning of all storage areas and rooms on a regular basis.

·  Liaise with the kitchen for menu content, special customer requests and queries.

·  Check that all post-service tasks are completed.

·  Help control departmental costs, wastage and expenses.

·  Complete required administration functions.

·  Support the Domestic Bursar with the implementation of new procedure, practices and standards where applicable.

·  Keep up to date with current promotions and new products. Monitor trends within the industry and make recommendations for implementation.

·  Be readily available at all times to deal with problems and complaints and bring any observations/complaints to the immediate attention of the Domestic Bursar

·  To ensure the cleanliness and maintenance of all function crockery itenery and function Store Rooms, Cupboards and Equipment. Reporting any deficiencies to the Domestic Bursar.

·  Establish and maintain effective communication with staff (eg pre-session team briefings) and management/colleagues.

Service

·  Ensure all events are prepared and set up in line with customer requirements.

·  Ensure superior levels of food and beverage service to all guests are maintained.

·  In conjunction with the Catering Supervisor to organise staff in and around the shift system to ensure that staffing levels are sufficient in order to meet objectives for each event, liaising with the Domestic Bursar accordingly.

·  Comply with all aspects of ‘Alcohol Licensing’ regulations.

·  Work in co-operation with other departments especially kitchen and school food services.

·  Carry out tasks as shown on the departmental cleaning rota as to the standards required.

·  Assist and be courteous to guests, displaying good customer care, hospitality and social skill at all times.

·  To ensure all staff maintain a professional, clean and tidy appearance at all times.

·  In conjunction with the Catering Supervisor to organise staff in and around the shift system to assist with all events as much as possible without compromising school service. Inform the Domestic Bursar of and shortfalls and to arrange any overtime allocation.

·  To ensure all guests leave the premises promptly and safely and that the Catering Department and event rooms used are secured at the end of the each event.

Staff and Training

·  Assist with staff training; departmental functions, job skills, safety, statutory requirements and development and to continually monitor and check standards of work and correct when necessary.

·  To immediately bring to the attention of the Domestic Bursar any staff welfare matters or problems.

Personal Protection Equipment

·  To ensure, where issued, personal protection equipment is in serviceable order and worn properly.

·  To ensure all staff maintain a professional, clean and tidy appearance and observe the requirement to wear protective / safety clothing

Stock Taking

·  Responsible for ensuring that all items of stock are maintained to a high order of cleanliness. In addition, stock checks must be carried out at intervals determined by the Domestic Bursar and all deficiencies reported to the Assistant Catering Manager.

Other

·  The area of responsibility within the Catering Department includes all function and event facilities associated with Ratcliffe College.

·  To provide assistance with the service and cleaning processes at all meal times for the efficient working procedures at school meal services.

·  To be responsible for the safe completion of each task ensuring that all Health & Safety at Work Act and Environmental Health and Hygiene regulations are fully observed at all times and in particular, that the obligation of ‘due diligence’ is understood and complied with at all times.

·  To undertake any additional duties which may be required from time to time to ensure the smooth running of the College.

This is a fully flexible role and will require you to work 5 out of 7 days per week (including weekends and bank holidays). The days and times for each shift may vary depending on the business needs.

Additional Information

Ratcliffe College is an independent Roman Catholic day and boarding school founded by the Institute of Charity (known as the Rosminians) in 1847. It is located just off the A46 at Ratcliffe on the Wreake and is situated in beautiful grounds. With 830 students ranging from age 3 to age 18, the Catering Department is a very busy one, playing key role in the life of the School.

The School employs over 250 staff and whilst being a highly successful organisation maintains a friendly “family” culture.

Hours of work:

The hours are an average of 39 hours per week based on a 7 week shift pattern including alternate weekends.

Salary

·  Rate of Pay: £10.25 per hour; £18,389 per annum.

·  46 weeks per year

·  5.6 weeks holidays (including bank holidays)

·  For the good running of the school, holidays are to be taken at times previously agreed with the Domestic Bursar. Holidays must be taken during School holidays.

·  Hours: 5 days out of 7 with flexible hours to suit school and non-school event catering.

·  Primarily: Weekdays 8.30am – 5.00pm or 12.00pm – 8.30pm with weekend to suit.

This appointment is subject to the conditions of employment for support staff.
