  1. Guidelines for a Distinguished Lecturer

a.Nominations, Candidacy and Acceptance to become an SPE Distinguished Lecturer

i.Nomination, selection and mentoring processes must conform to the standards established in the SPE Distinguished Lecturer Committee Governances and other standards as promulgated from time to time

ii.Criteria and materials required for nomination as a Distinguished Lecturer candidate

  1. Status as a Member in good standing of the Society of Petroleum Engineers must be maintained throughout the nomination, candidacy and appointment
  2. In absolutely no case is a person permitted to nominate themselves or prepare any material other than the Curriculum Vitae, Abstract and slides
  3. Eligibility for nomination criteria established in the Governances must be honored in all cases
  4. The candidate’s nominator will provide
  5. A ½ page abstract of the nominee’s proposed topic, which may subsequently be modified by the nominee and their mentor
  6. A ¼ page biography of the person being nominated
  7. The names of at least two references who are
  8. Familiar with the nominee’s qualifications to become an SPE Distinguished Lecturer,
  9. Are aware they will be contacted and
  10. Able to provide an unbiased assessment of the nominee’s technical and presentation skills
  11. Not more than seven or less than five slides pertaining to the Abstract which demonstrate the content and style that the nominee can be expected to use
  12. The nominee will have been contacted to confirm their willingness and ability to participate in the program
  13. The nominee will be advised that only about one in five nominees will ultimately become SPE Distinguished Lecturers, but that nomination in and of itself is an honor

iii.There is no limit to the number of times an individual may be nominated

iv.An individual may not repeat as a Distinguished Lecturer sooner than two (2) years after having successfully completed a prior appointment as a Distinguished Lecturer

b.Obligations and Responsibilities of an SPE Distinguished Lecturer

i.Currently and for the duration of the appointment be a Member in good standing of the Society of Petroleum Engineers

ii.Represent the Society of Petroleum Engineers as an effective ambassador for the profession and Society

iii.Be prepared and willing to meet with members of the Press and public in that ambassadorship role

iv.Recognize that the SPE Distinguished Lecturer Committee has final responsibility and authority regarding presentation style, content and duration

v.Able and willing to be flexible and sensitive to various cultures, standards of living, travel and accommodation arrangements and possible schedule changes throughout the Distinguished Lecturer’s tours

vi.Provide feedback to the Program Manager about

  1. Conditions in the local sections visited
  2. Issues regarding transportation to and from the airport, or meeting, suitability of housing and personal security
  3. Suitability of the meeting facilities and equipment

vii.Maintain absolute professionalism at all times

viii.Refrain from excessive or inappropriate commercialism, especially during Distinguished Lecturer presentations

ix.If the Distinguished Lecturer chooses to not honor requests by the Chair or Program Manager of the SPE Distinguished Lecturer Committee, the Committee may at its sole discretion terminate the Lecturer’s appointment and on-going tours

c.Policies

i.Presentations (Oral and Visual)

  1. Content of the presentation must meet the specifications established in the “SPE Distinguished Lecturer Presentation Guidelines”
  2. The Distinguished Lecturer can expect that the Committee will specify changes to the content of the oral and visual presentation
  3. For the Distinguished Lecturer to be selected or continue on tour the Distinguished Lecturer must demonstrate to the satisfaction of their mentor that the requested changes have been made
  4. Failure to do so can result in non-selection or termination of the appointment as a Distinguished Lecturer
  5. The Distinguished Lecturer is required to provide to their mentor and the Program Manager a copy of their finalized slide presentation using the SPE template
  6. A Distinguished Lecturer should provide a copy of the slide presentation to their mentor and the Program Manager if any substantial changes have been made to confirm their acceptability

ii.Expenses

  1. The established SPE expense reimbursement policy applies if neither the Distinguished Lecturer or their company are able to provide expense compensation
  2. The Program Managerwill make all travel arrangements for Lecturers whose expenses are paid by the Society with air travel costs billed directly to SPE. Hotel and miscellaneous costs are to be paid by the lecturer and reimbursed by SPE when an acceptably documented and accurate expense report is completed and submitted to SPE
  3. The SPE will only pay for expenses of the Distinguished Lecturer themselves according to the established reimbursement guidelines. If a companion is traveling with the Distinguished Lecturer, the Lecturer must exercise extra effort to assure that clear documentation demonstrates that the expenses only apply to themselves
  4. Should a Distinguished Lecturer choose to take side trips, extend a tour either before or after scheduled presentations, or include non-SPE business meetings, the expenses related to those activities will not be reimbursed by the SPE Distinguished Lecturer Program, except at the specific discretion of the Program Manager
  5. Failure to adhere to the SPE Expense policies and guidelines constitutes basis for dismissal

iii.Travel

  1. The Distinguished Lecturer will specify any localities to which they are unwilling to travel, with those exclusions being honored when the SPE local sections pick their desired lecturers
  2. The Distinguished Lecturer will identify any time blocks during which travel is not possible forwhatever reason or maximum lengths of time available for travel which will also be honored when scheduling their itineraries
  3. If a Distinguished Lecturer permits unlimited availability and sufficient local sections request the presentations, they can expect up to an average of ten (10) days per month of travel for a total of approximately thirty (30) lectures in the nine (9) months between September and May of their year of appointment
  4. International tours require between two and seven presentations to be feasible
  5. All airline travel will only be on regularly scheduled flights with airlines that are members of the International Air Transport Association and will be made by the Program Manager. Any Distinguished Lecturer choosing other modes of transportation accepts full responsibility for the consequences of such changes, including all costs and liabilities associated with such changes.   6. The Distinguished Lecturer should expect that all reservations will be made in Coach class or equivalent. Any upgrades requested by the Distinguished Lecturer must be arranged through the Program Manager. The costs for those upgrades will be charged to the Distinguished Lecturer. From time to time, the SPE Board of Directors may, at their sole discretion, allow other policies regarding class of travel. (Rev. June 2, 2008)
  7. Distinguished Lecturers are responsible for obtaining all necessary documentation (e.g., passports and visas) and inoculationsin a timely manner before their tours, recognizing that it may be necessary to begin the process several months in advance of a specific tour

iv.Liability

  1. The Distinguished Lecturer, their employer, associates and relatives recognize and accept that there are risks to intellectual and physical property, personal safety, health, life and limb associated with undertaking the appointment as an SPE Distinguished Lecturer to the extent that such recognition and acceptance constitute an agreement to hold the Society of Petroleum Engineers, all members of the staff of SPE and the members of the SPE Distinguished Lecturer Committee harmless in all such matters and eventualities
  2. The SPE Distinguished Lecturer Program Manager and their assigns will endeavor to provide safe passage and accommodations for the Distinguished Lecturer, but do not make any guarantees, warranties or assurances
  3. Usually, the Distinguished Lecturer or their employer is expected to provide their own suitable health, medical, life and travel insurance

d.Personnel Requirements for Distinguished Lecturers

i.To have sufficient Distinguished Lecturers at the completion of the review process, experience has shown that there need to be at least 20 nominees for each Distinguished Lecturer section visit, that is, four lecturers per section would require approximately 80 nominees.

ii.On average, the review process will eliminate 50 percent of the nominees, who will then become candidates

iii.On average, there will be an additional loss of 10 percent of the candidates, due to personal circumstances, failure to modify presentations, etc.

iv.Distinguished Lecturer staffing-count by technical area

  1. A combined total of at least 35 Distinguished Lecturer finalists are required for
  2. Drilling and Completions
  3. Production, Facilities and Operations, and
  4. Reservoir Description and Dynamics
  5. Each of the following topic areas seeks at least 3-5 finalists each
  6. Management and Information
  7. Health, Safety, Security Environment and Social Responsibility
  8. Production and Operations
  1. Schedule of Deadlines for Distinguished Lecturer Candidates, Committee and Program Manager:

a.October (28 months) – Request for nominations sent to SPE Committee members, Technical Interest Group directors and past Distinguished Lecturers

b.1 February (20 months) - Nomination of the candidates to be considered for selection

c.15 February (19.5 months) - Distribution of candidate materials to Committee by CD and SharePoint and appointment of Committee members as mentors for each nominee

d.1 April (18 months) – Mentor’s review of nominee’s credentials, abstract, sample slides and reference contacts provided to the Program Manager, review and comments by other Committee members provided to the Program Manager, as appropriate.

e.May (16 months) – Selection of candidates to audition

f.June (14 months) – Notification by candidate of acceptance or rejection to audition

g.1 July – Receipt to DL Program Manager a 30 minute PowerPoint presentation using the SPE template

h.September (11 months) – Audition and final selection to become a Distinguished Lecturer

i.Early September – Eastern Hemisphere candidates

ii.Late September, early October – Western Hemisphere Candidates

i.1 – 5 October (10 months) – Notification of candidates of final selection

j.15 October (9.5 months) – Deadline for final editing of presentations

k.1 January (8 months) – Topics / Lecturers list to sections to select sections’ top 10 picks

l.15 February (6.5 months) – Schedule tours, based on §H, above

m.10 April (4.5 months) – Schedules to lecturers for approval

n.1 May (4 months) – Notification to sections of final tour schedules

o.September (0 months) – Commence tours

  1. Guidelines for an SPE Distinguished Lecturer Committee Member

a.Obligations and Responsibilities of Committee Members

i.Attend at least one committee meeting per year

ii.Comply with the Responsibilities and Obligations described in the SPE Distinguished Lecturer Governances (¶III, §b)

iii.Solicit at least one nomination from the member’s area of technical interest

iv.Review abstracts, biography and preliminary slides of Distinguished Lecturercandidates in the member’s technical area

v.Contact the references provided for each candidate to confirm credentials

vi.Participate in person and/or by written reviews in the May candidate selection process

vii.Participate in person or by written reviews in the September auditions and final selection process

viii.Provide confirmation to the Executive Committee and Program Manager that changes in the Distinguished Lecturer’s presentation conform to the requirements established at the selection meetings

ix.Active participation in the Distinguished Lecturer mentoring process

  1. Be prepared to accept mentorship of two to five and possibly more candidates preferably, but not necessarily, in their selected technical area
  2. Evaluate and provide comments regarding the Abstract, Sample Slides and qualifications of the Distinguished Lecturer nominees and other nominees as time permits
  3. Contact each of the assigned Distinguished Lecturer nominee’s (mentee’s) references to confirm the nominee’s qualifications
  4. Once the nominee is selected as a candidate, provide feedback, answer questions and assist in whatever way possible to prepare them for the Fall Selection audition
  5. Once the candidate is selected as a Distinguished Lecturer provide whatever assistance and support is needed to finalize the modifications in a timely manner as requested by the Committee
  6. Provide on-going contact with the Distinguished Lecturer during their tours to identify any issues the Lecturer may have and especially provide feedback about content and performance, with particular attention to whether the Distinguished Lecturer may have altered their presentation in any manner potentially unacceptable to the Committee

b.Policies

i.Expenses will not be reimbursed by the SPE Distinguished Lecturer Committee

ii.The Distinguished Lecturer Committee member, their employer, associates and relatives recognize and accept that there are risks to intellectual and physical property, personal safety, health, life and limb associated with undertaking this appointment to the extent that such recognition and acceptance constitute an agreement to hold the Society of Petroleum Engineers, all members of the staff of SPE and other members of the SPE Distinguished Lecturer Committee harmless in all such matters and eventualities

c.Under-performance by a Committee Member

i.The Executive Committee will on an on-going basis assess the performance of members of the Distinguished Lecturer Committee according to the standards outlined in the Committee Governances ¶III, §b and Policies and Guidelines ¶III, §a.

ii.Persons determined not to be meeting those obligations and responsibilities will be so advised by the Chair of the Executive Committee

iii.The procedures identified in the Governances, ¶III, §b, v-viii are to be followed
