Full administrator pack

This pack includes the documents to set up Dimensions in your organisation. As an administrator you will be able to add other users and see all the data for your organisation. Your other users will only see their own ratings. Please read all the documents so you know what your responsibilities are in using Dimensions. If you need help, please send an email to the Dimensions address.

If you want to know about the sort of well-being problems young people in your organisation have, you will be able to use Dimensions to find out. The 28 Dimensions include resilience factors and difficulties which contribute to well-being. The philosophy underlying Dimensions is that young people are individuals with a unique pattern of strengths and difficulties. We have found that trying to offer help related to diagnoses or conditions does not work well enough because people with the same diagnosis can be very different from each other.

You always have two options with Dimensions:

  1. A full rating. Rating all the factors you know about will lead to rich picture of that young person’s strengths and difficulties and the factors which affect their well-being. It will also find information related to all their difficulties. You can log in or not to make this rating but if you don’t log in, your data will not be saved to the Dimensions server. If you save it you will be able to analyse data for the whole organisation and then use it to understand and address the needs of your young people more effectively. You must log in to save data and you will need to enter a young person’s NHS number before rating.
  2. A quick search. If you want to find out what is available for one Dimension (e.g. Worrying and Anxiety), you can use the public version of Dimensions to do this. Don’t log in, but instead click on the button to start a rating and only rate the Dimension you are interested in. Just click NEXT to move through the Dimensions you don’t need. All Dimensions have been set to start at ‘unknown’ to allow for this sort of use. The report will provide the links to the flyers for that single Dimension.This will be useful in a short consultation or a for duty call.

What Dimensions does

The purpose of Dimensions is to help young people to become more resilient and to manage their mental health problems as independently as possible. It allows you to rate a young person’s well-being and mental fitness and to find out, based on those ratings, what help is available to them in our local area.

How you can use Dimensions

There are two ways to use Dimensions:

a)As a public user - no data is saved to our server but it can be saved to your own computer)

b)As a registered user - the data you create will be saved in your location on our server (the rating and the young person’s NHS number and the user name of the person making the rating). The Dimensions report can be downloaded at the end of the session and can be saved to your computer (in PDF format).

What a Dimensions Administrator does

All organisations wishing to save their data need to nominate one or two administrators for their location. Administrators look after a location and have access to all data in their area of the server. They will add other users in their own location and they canmake Dimensions ratings. An administrator can also download the data for their location as a CSV file and analyse it in a statistics package.

How data is stored

To save a rating, you mustlog in and enter the young person’s NHS number before you complete the rating. Our server will contain no other information about that young person. All data is protected with encryption and as part of the NHS system it has a high level of security to prevent corruption and data loss.

Emails to Dimensions users

All registered Dimensions administrators and users will be emailed with information related to Dimensions on an infrequent basis. By registering, you are agreeing to be sent user emails.

We also need your feedback about the app and the content on it so we will also ask you to complete an evaluation survey so that we can improve Dimensions.

Getting consent from young people and/or their carers

You are also agreeing to gain proper consent from every young person you complete a rating for if you intend to save the information as a digital or paper copy. A suitable explanation is attached but this does not replace a conversation with the young person or their carers. If you do not have consent to store the data, you must not to store the ratings you make in any format, digital or paper. In each case, if the young person can consent, they should be asked to consent. In addition, it is wise to discuss their consent with their carers and to address any concerns to ensure that the consent is fully understood. Coventry and Warwickshire Partnership Trust will hold the data linked to an NHS number and will only use that data in an anonymised form for reports.

If consent is withdrawn

At any point, a young person or their carers might withdraw consent for your continued use of Dimensions for that young person so please gain consent for EVERY rating you make.

Using the data from Dimensions

By signing up to Dimensions as an administrator, you are also agreeing that you will take great care of the data you collect. Dimensions should not be used to increase the exclusion and stigmatisation of individual or groups of young people with difficulties.

  1. I confirm that I have read the information and terms of use of Dimensions of Health and Well-being. I would like to register as an ADMINISTRATOR. I will be able to see all the data for my location and that I will be responsible for adding new users and deleting users who leave the location.

  1. I will ensure that the Dimensions team knows if one of my users leaves my organisation and I will delete their account. (This will not mean the data is lost, just that they cannot make any more ratings).

  1. I will store young people’s data safely and securely and will use it only for purposes which will help and support the young person.

  1. I will ensure that carers and young people are given a copy of the consent letters and that the contents of the letter are properly discussed with them before I use Dimensions.

  1. I understand that all the data from Dimensions belongs to Coventry and Warwickshire Partnership Trust because the Trust is the Data Manager. Therefore, I will not share the raw data or the results of analysing my location’s data outside my organisation without consent of the Trust’s Dimensions team.

  1. I will use my location’s data to understand and improve my service or organisation’s response to young people’s difficulties.

  1. I understand that I am responsible for taking appropriate actions related to the outcome of the Dimensions rating and will use the usual systems to make any referrals if suggested by the Dimensions rating.

Explanation for young person

Dimensions app site:

We would like to find out what help there is for things you have been concerned about for you, using an app called Dimensions of Health and Well-being. The ratings are from 1 to 6, with 6 being a very high level of difficulty. The idea is to help young people to get help more easily and to avoid their problems getting worse.

Our rating can be saved or not, depending on whether you want it to be saved. If you agree, your information will be saved on our Dimensions area in a computer server in the NHS. The NHS server is very well protected from hacking and losing data.

There are three reasons we would like to save our ratings:

  1. It will remind us of what was suggested to help your child.
  2. We will be able to look at the ratings of all of our young people here and see what help they need. We might be able to change what we offer and help you all better.
  3. Our specialist NHS services will be able to find out what sort of difficulties are faced by young people in our area. The NHS staff will be able to use anonymised data from all the ratings in this and other organisations so that they can improve services for young people.

The data is only saved with your NHS number. This is a unique number, only for you. It can be connected up with other information about the young person by the NHS services but this would only be done so that the NHS can make better services for young people in our area and your own data would never be reported in a way that would mean people knew it was our rating of you.

You might not agree to your information being saved. If you would prefer not to, that is fine and no-one will pressure you to agree. We will ask for your consent every time we make a rating.
