JOB OUTLINE
The Lettings Assistant will be responsible at the time of the letting for: the security of the premises and its contents (including the operation of fire and burglar alarms and keyholder responsibilities); lighting, heating and cleaning of premises (including operation of plant); and other duties arising from the use of the premises in connection with lettings. This will involve checking the security of the site and maintaining a presence.
DUTIES AND RESPONSIBILITIES
- To act as a designated key holder.
- To open and close the premises before and after lettings and check that all external doors and windows throughout the school are securely closed/locked before leaving the site.
- To ensure that both entry and exit vehicular gates to the school site are synchronised with each other eg both gates open or both gates closed
- During the final 30 minutes of duty perform a final physical check of the security of the whole school (excluding the area being hired) to ensure that all windows are properly closed and that all external (both the actual external and the courtyard) doors are locked so that allnon-hired areas are secure.
- Prepare the premises for use, i.e. alarm, lights, heating, equipment and health and
safety.
- To check with the SiteTeam Leader that the letting has been confirmed, and to liaise
with the designated person in charge of the event.
- To brief the designated person in charge of the letting about the procedures in the
event of an emergency, eg fire exits.
- To brief the designated person in charge of the event about the features of the
building, eg lights, electrics, toilets, kitchen and equipment.
- To make sure that groups adhere to the Lettings Conditions.
- To maintain a presence when on paidduty throughout the letting and to help prevent
trespass.
- To operate the school’s guidelines and procedures on lettings and management of the
premises.
- To put out equipment or furniture as previously agreed and to make sure these items
are put away at the end of the lettings.
- To prepare for letting activities, clearing and cleaning up after these activities and preparing for normal use. To undertake as necessary, clearing up, cleaning, washing, sweeping, vacuum cleaning, emptying of bins, polishing and dusting of areas.
- To liaise as necessary with other staff and maintain good working relationships, acting as a courteous and friendly member of the team.
- To be responsible for the security of the whole premises and the safeguarding of the contents thereof whilst on duty.
- To operate alarms and liaise with security companies and key holding companies as necessary in accordance with guidelines given.
- To be responsible for lighting and heating of premises when on duty sothat certain temperatures are maintained in buildings and that an adequate supply of hot water is available.
- To undertake any porterage, handyperson or other specific duties arisingfrom use of the premises at times of letting activity.
- To deal with enquiries on site from establishment users.
- To work in a co-operative and flexible manner.
- To work in a manner that is as safe and healthy as is reasonably practicable in connection with both the well being of the postholder and those the postholder comes into contact with, or who are affected by the actions and omissions of the postholder e.g. School users and other school staff.
- To comply with safety and other reasonable instructions given asnecessary, rectifying or where appropriate reporting safety hazards or unsafe working arrangements.
- To complete a brief lettings report for the SiteTeam Leader, noting any damage,health and safety concerns or extra cleaning required, etc.
- To follow the school’s procedure in the event of break-ins or building damage etc.
- To contact emergency services as required.
- To undertake any other reasonable duties that may arise.
- To remain contactable by hirers via the designated school landline and mobile phones.
CONDITIONS:
The postholder will undertake letting activities as offered by the School. The number of letting activities offered will vary and such offers cannot be guaranteed. There is a small team of lettings assistants and individuals will be allocated lettings based on their availability and the diary of lettings bookings is published weekly for the month ahead.
Payment will be oncurrent schoolletting time rates (weekday and weekend rates) plus unsocial hours enhancement (after 22.00 each day).
Payment will be made in the month following completion of a time sheet submission.
All work undertaken must be authorised in advance.
By the nature of lettings the number of hours employed and time of work will be subject to variation which will arise in consultation with the postholder.
