Guidance Notesaccompanying the Application Form

Islington Council, in keeping with the legacy of Jo Cox MP, wants to support activities that bring residents together to enjoy and celebrate what they share in common. As a community organisation you may want to organise a community picnic in a local park or community setting, tea dances, coffee mornings or a party. These ‘Get Togethers’can be big or small, indoors or outdoors, it is entirely up to you!

To help you complete your application we have provided the following guidance notes explaining what information to include for some of the questions. Please note that grant awards will be up to £500.

Are you a constituted group? /
  • To receive funding your group must have a constitution governing document or set of rules that is signed and dated, and defines how the organisation will operate. A governing document can be a formal constitution, a memorandum or articles of association, or a set of rules related to how the organisation is run.

In which ward do you plan to deliver the event? /
  • Islington Council wants to ensure that there are events taking place across the borough. This information is important, it will inform residents and councillors about the events planned in their local area.

Do you have the correct insurance policy to deliver this event? /
  • As the eventorganiser you have a duty of care towards attendees, staff, volunteers and contractors; Islington Council will need to ensure that the sufficient insurances are in place.
  • Small, private, street parties and fetes do not normally require a license

If providing food through private catering do the caterers have the required Food Hygiene Certificates? /
  • Islington Council may ask that you provide confirmation of the required Food Hygiene Certificates for any private caterers supporting your event

Will the planned event have an impact on public highway network, footpaths?
(e.g. require road or footpath closures) /
  • If the event is expected to have any adverse impact we advise that prior to submitting an application you contact Islington Council’s Parking Suspensions Team via email
  • For street parties and small community events where there is no selling involved, a fee is required to be paid to Islington Council for processing and advertising a road closure; however, it is essential that you contact .
  • You will need to ensure there are no pre-planned works or road closures scheduled for the proposed dates and location of the event.

Will there be music played at the event? /
  • Although the event may not require a licence, please ensure that any noise is carefully controlled so as not to cause an unreasonable disturbance to others in the area.
  • This includes keeping noise generating equipment to sensible levels and limiting the timing of events to afternoon or early evening.. Should you wish to have an event in the evening on a weekend or during school holidays please ensure it finishes by dusk.
  • If you want to have a paying bar, intend to provide entertainment to the wider public, or charge to raise money for your event, you will need a Temporary Event Notice.

Are there plans to have any equipment during your event? E.g. Bouncy Castle /
  • This will help us to provide guidance about the relevant insurance policy or specific risk assessment that may be required.

Which sections of the community will benefit from the event? /
  • This will assist us in sharing information about your event, is it is open to a specific section of the community? (E.g. parents/ families with young children)

How many residents do you estimate will attend the event? /
  • This will help us understand the size of the planned event and how best to promote and inform local residents.

Does your public liability insurance cover you to provide this event? /
  • As an event organiser you have a duty of care towards attendees staff, volunteers and contractors so will need to ensure that sufficient insurances in place.

  • Small, private, street parties and fetes do not normally require a license. These parties and fetes are where groups of residents or a community organisation organises an event for the benefit of their neighbours.

Are employees or volunteers helping with running the event? /
  • If your organisation’s employees are supporting the running of the event please ensure they are paid an hourly wage (or equivalent of an hourly wage) no less than the London Living Wage which is currently £9.75.

Have you considered the potential risks with providing the event?
Please provide a risk assessment for the event? /
  • In order to fully understand and ensure sufficient precautions to prevent harm are being taken, in planning the event a through risk assessment must be undertaken.
