Purpose of Job

The Assistant Producer (Live/Dance) (Maternity Cover) is responsible for working with the Programme Manager and the Programme Team to ensure an interdisciplinary approach to the artistic programme and associated projects. The Assistant Producer (Live/Dance), in co-operation with all other Arnolfini staff, will attract, retain and provide a welcoming service to all users of Arnolfini’s activities (public, artists, contractors, consultants, promoters, staff, sponsors, funders etc).

Key Accountabilities

·  The efficient administration of the Live/Dance aspects of the Artistic Programme and associated projects

·  The support of the Live/Dance elements of the artistic programme and associated projects in line with Arnolfini’s vision and aims

·  The development of an extensive network of partnerships

Duties and Responsibilities

Support of Live/Dance elements of artistic programme

·  To co-ordinate the production and delivery of the Live/Dance elements of the artistic programme including liaising with artists, contractors and service providers, arranging artist travel & accommodation, artist contracts, technical support, and documentation as necessary, working closely with the Director of Arnolfini and any external Producers.

·  To manage the delivery of the Live/Dance programme - performances, residencies, talks, and other events - as directed by the Director or Programme Manager including:

o  Booking of appropriate spaces and facilities, ensuring these are available and appropriately presented.

o  Ensure adequate information provided to Front of house /Box Office.

o  Produce programme notes for audiences where appropriate.

o  Work closely with Operations Manager to plan for appropriate technical support, stewarding support and to ensure activities meet health and safety policy.

o  Ensure Technical Team have adequate information required to support the event.

o  Liaise with Marketing Team to plan for publicity with regard to all Live/Dance events.

o  Ensure invitations and catering are arranged where required.

·  To attend and oversee all Live/Dance events, supporting artists, and liaising with Technical and Front of House teams.

·  To be responsible on a day-to-day basis, in conjunction with the Programme Manager, for the care and security of projects as part of the artistic programme.

·  To assist in the development and planning of the artistic programme and strategy, undertaking research as directed by the Director and Programme Manager, and other associates, contributing actively in identifying potential future projects and funding opportunities.

·  To liaise with the Interaction Team and Programme Manager to assist planning of publicity for Live/Dance programme including collating information, copy and brochure images, and assisting in planning mailings, mailing lists, press releases and audience development projects relating to the Artistic Programme.

·  To work with all artistic programming areas to support development and delivery of multidisciplinary projects and ensure effective information exchange between teams and projects.

·  To support any administration related to the Performance Review due to take place in summer/autumn 2011.

·  To contribute to project teams and liaise with the Interaction and Finance & Operations Teams as appropriate.

Building Partnerships

·  To support the development and maintenance of a range of strategic partnerships, in liaison with the rest of the Programme Team, across the arts, education, community and other appropriate sectors.

·  To support development of a range of Live/Dance projects which are delivered in partnership with other providers.

·  To keep abreast of key developments in the Live/Dance fields ensuring Arnolfini’s activities are innovative and relevant.

·  To assist with the promotion of the artistic programme by attending meetings and events with artists, arts organisations, community organisations, schools and colleges, teachers, students, organisations, funders and others.

Efficient Administration of the Live/Dance aspects of the Artistic Programme

·  To manage the artistic programme, specifically the Live/Dance elements, efficiently and effectively, including general correspondence, filing/archiving/destruction of records as appropriate within guidelines, supplying reports, information and schedules to other departments, maintaining accurate booking systems and records.

·  To undertake the maintenance of information, files, records and systems for the effective and accurate documentation and evaluation of the Live/Dance elements of the artistic programme, ensuring the archiving of appropriate material within guidelines.

·  To work within agreed budgets, and maintain accurate up to date financial records assisting the Programme Manager, and Director as required with budget planning and financial administration.

·  To liaise with the Operations Manager and Technical team as required to ensure appropriate support and facilities are available for Live/Dance projects and events.

·  To work with Interaction (Marketing and Learning) teams to research and target audiences and participants for the Live/Dance programme, and to build upon the Live/Dance database.

General

·  To provide excellent customer service and answer general enquiries from artists, students, teachers, visitors etc, by phone, or in writing as appropriate and in line with Arnolfini’s Customer Service Policy.

·  To represent Arnolfini at local, regional and national meetings and events.

·  To deputise at any meetings as required in the absence of the Programme Manager or external Producers.

·  To be fully conversant with all Arnolfini policies including Equal Opportunities and Health & Safety and ensure by following established. working practices and guidance that all policies are adhered to at all times.

·  To attend training or meetings as required.

·  To carry out any further duties as reasonably requested.

Person Specification

Essential (must have)

·  Minimum of two years previous administration and productionexperience in a similar arts related/performance environment.

·  Previous experience of event organisation.

·  A proven and informed knowledge of contemporary live art and/or dance practice.

·  A proven ability to multi-task and work within acomplexproduction environment.

·  Previous experience of budget administration.

·  A proven ability to assess priorities and meet deadlines.

·  Excellent interpersonal communication skills and the ability to communicate effectively at different levels with a wide range of people.

·  Excellent written, verbal and IT communication skills.

Desirable (should have)

·  Knowledge of current health & safety / experience and understanding of good practice in risk assessment.

·  Experience of / the ability to research potential audiences.

·  Hands on experience of stage and technical management.

Terms and Conditions

The post is offered at £19,000. This post is to provide Maternity Cover and is a fixed term arrangement.

Hours will be 40 hours per week.

Annual leave entitlement will be 24 days pro rata per annum.

You will need to provide evidence that you have the necessary permission to work in the UK.

You will need to be available to start work from 1st September 2011.

The successful candidate will be managed by the Programme Manager.
