Tech Support Planning for Dissertation Defense

  1. Clean out all University office space(s). Anything left behind will be disposed of 3 months after your defense.
  2. Copy and/or delete all electronic files being stored on University computers and/or servers. Any files left behind will be deleted forever after 3 months.
  3. Return all department/building keys to the front office.
  4. Keep all grade books (forever) if ever a lab leader or a course instructor.
  5. Keep all graded student material for 12 months after a class has ended. If after 12 months papers/exams have not been retrieved by students, they should be shredded confidentially.
  6. Update the department with appointment/promotion/award/honor/publication information for departmental Website and/or alumni publications.

Tech Support Planning for Prelim or Dissertation Defenses

In order for your defense to go smoothly, we would like to review your responsibilities regarding pre-planning for technology for your defense presentation. If you have projection needs or if you need to use Skype, Google +, or Google Hangouts to connect with committee members off campus, please carefully review the following.

A staff member from CLA OIT will be available to conduct a trial run prior to your defense and assist with set up 30 minutes prior to the defense start time.We’ve found that meeting with a tech prior to the day of the defense ensures less stress on you, especially if any of your committee members are off site.

Schedule a Trial Run appointment with CLA OIT prior to defense

1. Submit a request to John Fite () two weeks prior to the defense date for:

a. a trial run date/time at least one day prior to the scheduled defense and

b. for a tech to be at your defense at least a half hour prior to your start time to help with a smooth set up and to stay in the room for the 30 minute public defense.

You should try to schedule this trial run in the department room where you will hold your defense. Holly or Melissa from our 909 SocSci main office can check on availability of the room for the trial run. Bring the computer you will use for your presentation, either your own computer or a Sociology loaner laptop. If you plan to use a Sociology loaner laptop, Becky () can arrange to have one available for your trial run and also for the day of the defense.

If you are off site and returning shortly before the defense and have a committee member off-site, it is extra important for you to schedule time to meet with a tech, ideally at least 1 day prior to the defense.

2. Schedule this trial run time with at least one of the committee members who will be off-site - skyping/googling in.

Skype or Google Hangouts

If you are using Skype or Google Hangouts, be sure to have the committee members Skype/Google Hangouts addresses and a phone number where they can be reached. Be sure your computer has all the software you will need for Skype/Google. Also check with committee members regarding their preference for Skype or Google Hangouts and if they have all the appropriate software.

Day of defense

On the day of your presentation, you must be in the room one half hour prior to the defense to set up with the CLA tech. He/she will be in the room waiting for you to set up so please arrive promptly one half hour before.
