Functional Area: Accounts Payable / Delete Voided Check Information
Purpose
Use this procedure to void checks in a manual check lot.
Trigger
Perform this procedure when you need to void manual checks assigned to an SAP lot number.
Prerequisites
Checks have been assigned to an SAP check lot.
Menu Path
Use the following menu path to begin this transaction:
  • Select AccountingFinancial AccountingAccounts PayableEnvironmentCheck informationDeleteVoided checks to go to the Delete Check Information on Voided Checks screen.

Business Process Information
AP will use Quicken checks (preprinted check stock). The lot in SAP will be for a stock of manual checks kept outside of SAP that the AP office will use for emergency issues. The check range on the actual hard copies of the manual checks will be assigned in SAP and essentially accounted for. If a time comes whereby some of all of the checks in this manual lot are not going to be used it will become necessary to mark the checks in the lot as VOID (see transaction FCH3). If the FCH3 transaction is ever done in error, this transaction will reset the check information that should not have been voided whereby SAP will allow the originally voided checks to be used again.
This will be performed by the AP supervisor.

  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.

Procedure
1. / Start the transaction using the menu path or transaction code.
Delete Check Information on Voided Checks

2. / As required, complete/review the following fields:
Field / R/O/C / Description
Paying company code / Required / Company code that will be issuing the payment to the vendor
Example:
UC
House bank / Required / Identification for an organization's particular cash account with a financial institution; All information regarding the account is determined using this key
Example:
PNC02
Account ID / Required / Bank account type
Example:
CHECK
Check number / Required / Identifying number on a check
Example:
9999905
to / Required / End value when specifying a range
Example:
9999905
This field will automatically populate if you only complete the Check number field.
3. / Click .
Delete voided checks ;

4. / Perform one of the following:
If You / Then / Go To
Do not want to delete the check information presented / Click . / Step 2
Want to cancel the action / Click . / Step 2
Want to delete the check information presented / Click . / Step 5
Delete Check Information on Voided Checks (2)

5. / Click until you return to the SAP Easy Access screen.
/ The system displays the message, "Check information XXXX successfully deleted."
6. / You have completed this transaction.
