The University Village is a residential community for Cal Poly Pomona students provided by Foundation Housing Service. The evolvement of the whole person is supported through a variety of educational methods including role modeling, consistency in policy implementation, and positive student development practices. As a unit of the Cal Poly Pomona Foundation, Inc., Foundation Housing Service will assist in its overall mission of providing the highest level of service and financial support to the University in a businesslike, professional manner while maintaining corporate fiscal integrity. Foundation Housing Service will strive to create an environment where all residents feel physically and psychologically safe as they learn, work, and play; and will promote a community where each person's race, ethnic identity, age, marital status, religious affiliation, gender, physical disability, and sexual orientation is cause for appreciation and learning, and against whom will not be discriminated.

Community Advisor Terms of Appointment
Cal Poly Pomona Foundation Housing Service
2012-2013
The Community Advisor is responsible for the overall supervision of a sub-community of 48-64 residents. As a member of the Foundation Housing Service Residential Education staff, the Community Advisor (CA) works to foster the development of community as well as the efficient administration of the management processes and procedures. The primary responsibility is to serve as a facilitator for community and to enhance the learning and development of each resident. In order to perform the responsibilities of a CA, the following is required: knowledge of department and University information; knowledge and understanding of human behaviors; and skills in academicadvising, communication, decision making, leadership and citizenship, management, and teamwork. As community builders, CAs are expected to create a safe, welcoming, and supportive living environment. The CA must possess well-developed interpersonal skills, a genuine interest in working with a wide variety of people, and an ability to perform in an organized and responsible manner in often-stressful circumstances. The CAs play a key role as the “front line” staff and have the responsibility to act as administrators, organizers, advisors, disciplinarians, programmers, and community builders, while remaining successful as students. The CA is responsible to the supervising Residential Education Coordinator. Time commitments vary from week to week and from one part of the quarter to another. Flexibility is necessary to offer services when needed.
1)ACADEMIC RESPONSIBLITIES
a)Be an academically successful student in good standing with your academic department.
b)Maintain a minimum overall cumulative and quarterly grade point average of 2.5 or the appointment may be terminated.
c)CAs must carry at least 12 units per quarter (8 units for graduate students), in order to maintain status as a full time student. CAs may not carry more than 16 units per quarter unless receiving prior permission from the Residential Education Specialist (RES).
d)Role model, encourage positive academic behaviors, and help students to create an environment that is conducive to studying by reinforcing quiet hours and encouraging students to actively talk with one another concerning courtesy/quiet hours.
e)Ensure that all of your academic information is current and accurate.
2)COMMUNITY RESPONSIBILITIES
a)CAs are expected to work an average of 20 hours per week. A reasonable schedule for this work will be determined through negotiation with the immediate supervisor and will include regularly scheduled responsibilities (i.e., staff meetings, student advising, supervisory meetings, etc.) and availability time (i.e., being on duty, responding to emergency situations, etc.).
b)Respect the confidential nature of student records and communications. This includes only sharing confidential information with fellow CA staff members when necessary and in an appropriate setting.
c)Visibility and availability to residents are priorities. You are expected to be available in the Village a minimum of 3-4 nights/week. Plans to be away from the Village for a significant time period (3-4 days) must be communicated to your direct Coordinator and the on-call Coordinator. A significant number of CA staff members must be available and sleep in their apartments on the property every night.
d)CAs will actively support the philosophies of the Foundation Housing Service Mission Statement, will facilitate the growth and development of all residents, will respect all residents and support appreciation of diversity, and will maintain a healthy community environment.
e)Ensure that all residents are aware of all aspects of the License Agreement and what policies are to be followed.
f)Any extra employment, student teaching/internship, or other responsibilities taking the CA out of the community for over 10 hours a week, must first be approved by your Coordinator, in consultation with the Residential Education Specialist. No Community Advisor may hold a presidency position.
g)Hold at least one Community Living Agreement (CLA) meeting per apartment within the first month of the academic year, and as needed as new residents move in.
h)Assist students with personal, social, and academic concerns.
i)Maintain a welcoming environment for all residents by providing door decorations on a quarterly basis and facilitating the development of a combination of informational, educational, and entertaining passive programs at least three times per quarter in conjunction with your small staff team.
j)Provide facilitation of passive and active programs according to the Residential Education programming requirements.
k)Role model and encourage respect for individual differences.
3)CONDUCT RESPONSIBILITIES
a)Actively intervene in and document all policy violations even when you are not on duty. Provide accurate written information about all community disruptions within 8 hours of the incident through the StarRez system.
b)Abide by and enforce University Village, Foundation, and University policies. Demonstrate exemplary behavior and follow all departmental, Foundation, and university policies.
c)Have a clear understanding of the judicial process in order to articulate procedures to Village Residents.
4)LEADERSHIP RESPONSIBILITIES
a)Be familiar with campus and community services.
b)Respond to crisis and emergencies and serve as a resource/referral agent, even when you are not on duty.
c)Be aware and identify individual concerns or conflicts, and discuss these behaviors with the resident(s) and your Coordinator during your weekly one on one meeting to remedy this situation.
d)Help residents resolve personal concerns, especially in regard to relationships, interpersonal skills, and academic problems. Talk with your Coordinator about your plans to assist residents.
e)Follow up with residents within one week of your meeting.
f)Help residents in their academic pursuits through individual attention, sharing information, teaching academic skills, and offering educational programming.
g)Help students develop social, academic, and interpersonal skills by promoting student involvement and leadership within the residential community, Foundation, and the University. Role model integrity-based decision making skills.
h)Create links between academic development and student development by using the programming model.
i)You are required to participate in all Residential Education activities, such as Southern RAP, trainings and staff developments, as well as all meetings.
5)MANAGEMENT RESPONSIBILITIES
a)Actively participate in all Village openings, closings, and transfer periods throughout the year, including break times (winter and spring breaks).
b)Actively participate in all Village selection and licensing processes, and other special days that occur in the Village throughout the year, including weekends.
c)Ensure distribution, completion, and collection of all survey and assessment instruments, used by Foundation Housing Service
d)Complete all tasks as assigned by the Residential Education Team and/or by Operations or the Director of Housing within designated deadlines.
e)Post all fliers and information given to you from any FHS staff member within the designated timelines provided. Assist other team members as necessary to ensure the timely posting in all communities.
f)Ensure prompt and accurate delivery of all letters. All departmental correspondence is time sensitive so accurate and timely delivery is essential.
g)Complete Quarterly Health and Safety inspections in all of your apartments. A Residential Education Coordinator will accompany you during each health and safety inspection.
6)TEAM MEMBER RESPONSIBILITIES
a)Actively participate in all training sessions and model a positive attitude.
b)Actively participate in all meetings as assigned by your Coordinator.
c)CAs are strongly encouraged to participate in departmental committees.
d)Actively promote positive working relationships with staff, which includes modeling open and direct communication and constructively addressing/resolving issues or concerns. You are expected to confront your peers in private if you have a concern or frustration. Seek advice from the Residential Education Coordinators and follow up once these conversations are done.
e)Perform other duties as assigned by your direct Coordinator, any of the Residential Education Coordinators, the Residential Education Specialist, Associate Director, or the Director of Housing.
7)DEPARTMENTAL RESPONSIBILITIES
a)Properly use all University Village keys. Loss of keys may result in payment of a minimum of $200.00 for replacement and consequent re-coring of locks. Misuse of the master keys may subject a staff member to termination and/or criminal prosecution. If you misplace any of your Village issued keys you must call the Coordinator on duty immediately to report the loss. You will face a more severe sanction if you fail to immediately report the loss of any Village issued key. MASTER KEYS ARE NEVER TO BE TAKEN HOME.
b)Properly use the on-duty cell phone. Loss of the cell phone will result in payment of a minimum of $100.00 for the replacement.
c)If you damage or lose a departmental flashlight, you will replace the flashlight with the same brand and type of flashlight damaged or lost.
d)Follow all reapplication guidelines if interested in a paraprofessional position for 2012-2013.
e)Participate in the tour schedule for potential residents to view an entire apartment. Ensure that your roommates know when your apartment will be shown and keep every room neat and orderly during your tour dates.
f)You must be present for All Staff Meetings every Tuesday evening at 9:00pm.
g)CAs will work two hours a month in the Main Office during regular business hours. These hours will be determined at the start of each quarter.
8)PARAPROFESSIONAL TIMELINES
a)Active participation in all training sessions is required. All training sessions are mandatory and a condition of your appointment. Trainings include, but are not limited to:

b)Monthly In-Servicetraining sessions throughout the academic year. Active participation in In-Service training sessions are mandatory. You will only be excused for pre-approved class conflicts.
c)For a more complete list of dates you should plan for, see the timeline at the end of this document. Please note that things will arise throughout the year that will require you to help out or work. We appreciate your flexibility in these situations.
9)ON DUTY RESPONSIBILITIES
a)Be on-duty and present on the property (includes office duty, remaining on the premises, and being available by cell phone) on designated evenings and weekends.
b)Work from 4:30-5:00 pm in the Community Center main office as part of your duty shift. Work with the office staff to transition operations for the evening to the CA office. CAoffice hours are in the Recreation Center Monday through Thursday 5:00 pm-10:00 pm, Friday from 5:00-7:00 p.m. and Saturday and Sunday 2:00 pm-7:00 pm (subject to change with written notice from RES)
c)Walk around every side of every building during your duty rounds. Duty rounds are done at 7:00 pm and 11:00 pm every weeknight with an additional set of rounds done on Thursday night, Friday night and Saturday night at 1:00 am. Rounds are also done on Saturday and Sunday at 2:00 p.m. You should meet your duty partners at the Community Center for the start of rounds and end rounds at the Community Center. You are required to come into the Community Center/Recreation Center and document your rounds in the duty log and fill out any incident reports.
d)Confront and document residents who are in violation of Foundation Housing Service License Agreement, Village Handbook, Foundation, or University policies. Documentation should be listed in the duty log, and if necessary on an Informational Report.
e)Respond to and manage crises and/or emergencies that may occur in the Village.
f)Participate in staff rotation during break periods in the Village; this includes Winter and Spring breaks as well as campus holidays.
10)PROGRAMMING
a)Perform regular outreach into the sub-community or area, meeting and interacting with residents on a regular basis.
b)Actively participate in quarterly programming requirements outlined by the Residential Education Team.
c)Participate in and attend staff programs.
d)Submit programming reports on time to your Coordinator.
e)Work with your Coordinator to establish goals and plans for programs each quarter.
f)Submit program dates and information when requested for weekly, monthly, and quarterly calendars.
g)All receipts must be turned in to the Associate Director of Operations in person within 48 hours of the expenditure. A copy of the receipt(s) must be turned into your Coordinator at that same time.
11)EDUCATIONAL COMMUNITY DEVELOPMENT
a)Role model and encourage mutual respect, communication, and cooperation between residents, apartment members, student staff, and Village staff. Role modeling includes keeping your apartment at standards where all students would feel comfortable in your space.
b)Assist students in developing community standards for their individual apartment communities.
c)Work with residents to develop conditions conducive to personal privacy, quiet study times, and academic endeavors.
d)Facilitate timely and appropriate educational interventions through dialogue, mediation and documentation of inappropriate behaviors and attitudes.
e)Maintain a clean and orderly apartment. Work with your roommates to keep all areas of the apartment clean and welcoming for guests and tour guests
12)INDIVIDUAL ADVISING
a)Serve as initial source of support for students who are experiencing personal and/or academic concerns.
