Job Summary

Job Purpose / To act as the first point of contact to all visitors, patients and residents at the Nursing Home. To provide an efficient administrative and secretarial service to the Trust and assist the Matron, Nursing Team and Administration Team where appropriate.

Description of Duties
Primary Functional Objectives of the Role /
  • Welcome visitors to the Nursing Home and respond to any enquiries in a timely fashion, ensuring high levels of Customer Service at all times
  • Guide and, or navigate visitors, residents and patients around the site where necessary.
  • Receive and record telephone calls, transferring where necessary and taking messages as appropriate.
  • Assist in ensuring adequate stationary supplies are maintained for the site.
  • Sort and distribute post as necessary, deal with outgoing post and ensure medication deliveries are passed to Senior Nurse or Matron.
  • Deal with small cash transactions and donations received at Reception.
  • Deal with payments for any ordered lunches or meals.
  • Ensure the presentation and tidiness of the Reception area at all times.
  • Assist with admissions and discharge administration where appropriate.
  • Assist with the management of room bookings for meetings.
  • Carry out such other duties as may be required.
  • Remain up to date with all necessary training and development as required.
  • Undertake other admin based duties as required.
  • Maintain a clean and tidy appearance and good personal conduct at all times.
  • Ensure compliance to all policies, procedures, standard operating practices, with recommendations for action and continuous improvement.
  • To be mentored by the Clinical Educator.

Responsibilities for:
Finance /
  • Moderate levels of responsibility in dealing with cash transactions on a daily basis.

Communications /
  • Excellent communication skills both written and verbal to a diverse workforce and external visitors.

BUSINESS SUPPORT/RECEPTIONIST APPRENTICE: PERSON SPECIFICATION
Experience & Knowledge
  • Good knowledge of Microsoft Office, including Word, Excel and Outlook
  • Ability to use initiative and prioritise.

Qualifications
  • Will work towards NVQ in Business Administrationduring apprenticeship

Mental Demands
  • Awareness of the surroundings, needs of the department and ability to work to deadlines.
  • Long periods of concentration with small but frequent breaks from the computer.
  • High levels of discretion and confidentiality at all times.
