Data Conversion
Helpful Testing Tips
In order to assist with completing data mappings, answer questions, and support data validation of the initial store conversion, McKessonprovides the following testing tips and methods. Screenshots are provided for guidance and each screen is accompanied by notes defining the content of the screen as well as recommendations for data elements, types or records, and/or specific scenarios that are prone to errors if unchecked.
1. Patient Profile:
Notes:
-A large amount of converted data can be found under the Patient Profile including Rx/Tx Profiles, Workers’Comp, Privacy Management, and Accounts Receivable. Most of this data can be found under one of the nine tabs seen on the screen above and described in greater detail below.
-Every screen under Patient Profile will have fields for Title, First Name, MI, Last Name, Last Name, Suffix, Date of Birth, Gender, and Privacy Status along the top. These values should be validated against the legacy system.
-Every screen under Patient Profile will have buttons for Patient Notes, Price Quotes, Merge History, New Rx, Save and Cancel buttons along the bottom. Only the Patient Notes button is relevant to conversion data validation.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities if applicable:
- Middle initial
- Title
- Each gender
- Various privacy statuses
- Converted Patient Notes
1.a. Info tab:
Notes:
-This is the first tab of the Patient Profile.
-The addresses area can display data under four separate buttons: Home 1, Home 2, Work, and Other. Each of these should be validated where applicable.
-The ‘Additional Phone Numbers’ field can hold up to four numbers which should be checked for accurate mapping.
-Any allergy or medical condition will not convert into the health tab field but into the Patient Notes on the Info Tab.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities:
- allergies
- no allergies
- medical conditions
- no medical conditions
- multiple points of contact (phone #’s, addresses)
- patient preferences (brand name drugs, central fill processing, etc)
- 1.a.iPatient Notes:
-Notes:
-Allergies & Medical Conditions will convert into the Patient Notes based off of this print screen shown.
-Allergies & Medical Conditions can be added in after Go-Live to the Health Tab Profile.
-Recommendations:
-Test a patient with an Allergy and/or Medical Condition for accuracy.
1.b. Health tab:
Notes:
-Any allergy or medical condition will not convert into the health tab field but into the Patient Notes on the Info Tab.
-Height, Weight, and BSA are not converted.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities if applicable:
- Allergies
- No allergies
- Medical conditions
- No medical conditions
- Terminally Ill
- Smoker
- Hearing impaired
- Lactating
- Pregnant
- Visually impaired.
1.c. Third Party tab:
Notes:
-The ‘Selected Third Party Accumulated Totals’ section will not contain converted data.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities if applicable:
- cash scripts
- single TP coverage
- multiple TP coverage’s
- various relationship codes (cardholder, spouse, child)
- converted plan notes.
1.d. Rx Profile tab:
Notes:
-The Rx Profile exists as part of the Patient Profile.
-The Rx Details button will display details specific to the highlighted Rx. (see Rx Details button)
Recommendation: this section should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- converted Rx’s in each of the following statuses: Active, Inactive, Cancelled, Profiled, Inactive Profiled, and Transferred
- Rx’s with notes converted to Rx Notes.
1.d.i. Rx Details button:
Recommendation: this section should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- is a cash script
- has a TP payer
- has a supervising prescriber
- Written product is different than dispensed product.
1.e. Tx Profile tab:
Notes:
-This tab displays data for each fill
-The Tx Details button displays more details transaction data. (see Tx Details button)
Recommendation: this section should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- is a cash script
- has a single TP payer
- is COB
1.e.i./1.e.i.1. Tx Details button (Details tab):
Notes:
-Tx Details displays data under three tabs: Details, Payment, and Notes. The details tab is shown above. (See also: Payment tab and Notes tab)
Recommendation: this tab should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- detailed prescriber information
- converted HIPPA information
- Converted HIPPA signatures.
1.e.i.2. Tx Details button (Payment tab):
Notes:
-The payment data displayed in the center of this screen will only represent the cumulative amounts in a COB regardless of which TP is highlighted.
Recommendation: this section should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- is a cash script
- has a single TP payer
- Has COB.
1.e.i.3. Tx Details button (Notes tab):
Notes:
-these notes can also be found in through the corresponding ‘notes’ buttons at the bottom of Patient Profile, Prescriber Profile, and Rx Profile screens.
Recommendation: this section should be tested with converted Rx’s that have at least some of the following qualities if applicable:
- counseling notes
- patient notes
- prescriber notes
- Third party notes.
1.f. Workers’ Comp tab:
Notes:
- Information on this tab is linked to the highlighted injury claim. Patients with more than one claim will have more data to validate under each claim.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities if applicable:
- detailed claim information
- converted ICD-9 codes
- Claim termination dates.
1.g. Misc. tab:
Notes:
-This tab will only contain converted data if requested by customer.
Recommendation: this section should be tested with converted patients that have at least some of the following qualities if applicable:
- Contain any data relevant to this section.
1.h./1.h.i. Privacy Management tab:
Notes:
- Privacy Management has data displayed under four separate tabs: Acknowledgement, Confidential Communications, Medical Authorizations, and, Privacy Office. Acknowledgement is shown above. (See also: Confidential Communications tab, Medical Authorizations tab, and Privacy Office tab)
Recommendation: this tab should be tested with converted patients that have at least some of the following qualities if applicable:
- various acknowledgement statuses
2. Prescriber Profile:
Notes:
-Prescriber specific data will be found in the Prescriber Profile under one of five tabs: Address, Details, ID Numbers, Third Party, and PPI.
-Every screen under Prescriber Profile will have fields for Title, First Name, Middle Name, Last Name, Suffix, and Inactive (?). These values should be validated against the legacy system.
-Every screen under Prescriber Profile will have buttons for Prescriber Notes, Merge, Delete, Save, and Cancel. Only the Prescriber Notes button is relevant to data conversion.
Recommendation: this section should be tested with converted prescribers that have at least some of the following qualities:
- Title
- Middle Name
- Suffix
- Inactive status
- Prescriber notes
2.a. Address Tab:
Notes:
-This tab can hold multiple addresses. Data will change when a new address is highlighted.
Recommendation: this section should be tested with converted prescribers that have at least some of the following qualities:
- multiple contact addresses
- multiple contact phone numbers
- contact phone number with extension
2.b. Details tab:
Recommendation: this section should be tested with converted prescribers that have at least some of the following qualities:
- phone number with extension
- supervising prescriber
2.c. ID Number tab:
Recommendation: this section should be tested with converted prescribers that have at least some of the following qualities:
- has DEA Number
- Has NPI Number.
2.d. Third Party tab:
Recommendation: There is no converted data on this tab.
2.e. PPI tab:
Recommendation: There is no converted data on this tab
3./3.a. Inventory:
Notes:
-The only inventory data relevant to conversion is On Hand, Override Minimum Quantity and Override Maximum Quantity.
-On Hand will be found in the top right corner of any inventory screen.
-Override Minimum Quantity andOverride Maximum Quantity can be found under the Purchasing tab in the middle of the screen as seen above.
Recommendations: Mins, Max’s and On Hands should be validated on as many Products as possible. Tests should be run to ensure that the conversion formula for mins and max’s are producing purchase orders that are acceptable and predictable.
