St. Thomas CYO Team Parent Guidelines

Below are a set of guidelines to help you communicate what the CYO needs help with to make the season run smoothly. Please feel free to give this information to your team parents and to ask for help or clarification from any board member.

  1. Gym set up and break down: Please schedule one or two parents to set up chairs for the players and families 45 minutes before each home game (if the first game of the day). Also, please schedule one or two parents to put away the chairs after the last game of the day. The chairs used for the games can be found stacked under the stage.
  2. Admissions coverage: Please schedule two parents to sit at admissions and collect fees from non-home team guests. Home team families and coaches and visiting players and coaches are not charged admission.
  3. The first parent should begin coverage at least 45 minutes before the start of the first game of the day. They should move a table (not the allergy free tables) from the cafeteria to the lobby with a chair. They also should obtain the cashbox from the coach (or board member), along with the admission cost sign.
  4. The second parent covering admissions will relieve the first parent at half-time. If the game is the last of the day, they should return the table and chair to the cafeteria and the cashbox and cost sign to the coach. If it is not the last game of the day, they should ensure that the next parent has arrived to cover admissions and that the cashbox is secure.
  5. Concession stand coverage: Please schedule two parents to cover the concession stand.
  6. The first parent should arrive at least 45 minutes before the start of the game. They should move a table (again, not the allergy free tables) and chair from the cafeteria to the area just outside of the cafeteria, as well as the small refrigerator labeled “CYO” (make sure this is plugged at all times to keep the drinks cold). The table should be stocked with the items available below the island in the kitchen (front right side). The price list can also be found in this location. The cash box will be obtained from the coach (or board member).
  7. The second parent covering the concession stand will relieve the first parent at half-time. If the game is the last of the day, they should return all items and refrigerator to the kitchen. The table should be put back into the cafeteria and the cashbox should be returned to the coach. If there is another game scheduled, the second parent should remain on duty until the next parent arrives, ensuring that the cashbox is secure. Many players purchase items on their way out of a game.
  8. If additional concession items are needed, they can be found on the stage in the CYO closet. This closet is located on the left side (if you are facing the stage) against a front wall. Soda is also located on a small table along the side wall (labeled CYO).

  2. Please find one parent per home game who feels comfortable operating the game clock. Since this is a significant responsibility, please seek out a second (and perhaps third) parent who could alternate games.
  3. Please find at least two parents willing to keep the scorebook for all games. These two parents could alternate games.

  5. The coach will provide you with a schedule of games. Consider assigning parents duties without their input. They can switch duties with one another as needed.
  6. Please send out reminder e-mails a day or two before a game so that parents are aware of their assignment.
  7. If a parent does not cover their assigned duty, it is your responsibility to find an alternate. If you run into problems with parents covering their assignments, please speak to the team coach or a board member. We will help fill the gaps in coverage.
