Cycling Ulster Online Media Policy

Cycling Ulsterencourages the responsible use of online media. The purpose of this policy is to set out what Cycling Ulsterexpects from its volunteers, members and staff when using online media. It is important to remember that we are all ambassadors for Cycling Ulsterand that all forms of online media are never private.

It is essential that volunteers, members and staff make informed decisions about how they use the internet, mobile phone and email communications to protect Cycling Ulster.

1Objectives

1.1To provide an outline for standards and behaviour expected from Cycling Ulster members while using and contributing to the online media channels of Cycling Ulster and Cycling Ireland;

1.2To provide an outline of standards and behaviour expected from Cycling Ulster officials and Executive members.

2Scope

2.1This policy deals with the use of all forms of social media including Facebook, YouTube, Twitter and all other social networking sites.

2.2This policy applies to other internet postings and online media outlets such asthe Cycling Ulster and Cycling Ireland websites and all provincial and National Commission websites and blogs.

2.3This policy applies to all members of Cycling Ulster.

2.4If a member is found to be in breach of this policy the issue will addressed using the appropriate disciplinary procedures.

2.5Any content which raises a safeguarding concern must be reported to Cycling Ulster’s Safeguarding Officer (Marian Lamb) or Cycling Ireland’s National Safeguarding Officer (Brigid O’Dea)

3Online Code of Conduct

3.1The Cycling Ulster website and social media accounts are to be used for communicating and engaging with members and potential members in a positive manner.

3.2Members should be conscious of data protection and confidentiality and be careful not to disclose information to others or online if it is not already available in the public domain.

3.3At all times online posts by members should be respectful of all individuals, races, religions and cultures.

3.4When an Executive/Commission member is posting from a Cycling Ulster social media account the first person should not be used. Use “we” rather than “I” as at all times your post is reflecting on the view of the organisation.

3.5Media outlets will not be used to announce selection of Cycling Ulster teams until this information has been disseminated to the appropriate parties and officially released by Cycling Ulster.

3.6Team selection will not be discussed online. Any queries on such selection must be made via the correct channels.

3.7Members should not be negative towards other members, competitors, officials or the public on social media.

3.8Members are personally responsible for what they communicate in social media (as part of their role or on personal sites). Remember that what you publish might be available to be read by others including Cycling Ulster/Cycling Ireland, colleagues, volunteers, future employers and social acquaintances for a long time. Keep this in mind before you post content.

3.9Cycling Ulster members and officials will be particularly aware of using proper procedures when using media to communicate with those under the age of 18 and parental consent must be sought before using any form of digital or online media communication.

3.10Executive membersand Cycling Ulster officials should be particularly mindful of their personal social media postings as young people may be following them.

3.11 Executive membersand Cycling Ulster officials should not use personal sites to communicate with or collect personal data from those under the age of 18.

3.12Cycling Ulster Executive members and officials should identify all copyrighted or borrowed material with citations and links. When publishing direct paraphrased quotes, thoughts, ideas, photos or videos, give credit to the original publisher or author.

3.13Members should avoid clicking on any links which may contain viruses or malware.

3.14Think carefully about what other people’ posts you like or share online. Once you like or share a post you become associated with it even if you were not the original author so think first about whether this is something you would want tobe connected with.
