Status of student tenant migrations to "Wave 14"

  • The first "group" of districts have recently completed migration, meaning that the on-boarding process can start for them
  • The second "group" of districts (several more districts, only slightly more mailboxes) started last night at 8 PM and will last 'until completion', though the first group took about 10 days and that's the rough time period to plan around for an outage
  • During migration, student email is NOT accessible
  • When you are given the go-ahead to begin on-boarding students, there are several things to keep in mind:
  • Student email address do not change
  • SkyDrive access - remember the 'separation' issue - passwords for that "I-own" resource no longer synchronize. For students who had a Live@edu account (and, thus, a SkyDrive), their password for that resource is whatever it was at the time of migration. This is a good time to remind users of their need to set the security questions in SkyDrive for self-service password recovery
  • "SkyDrive Pro" will be available to users when we get to Wave 15
  • Upon migration, remove any references to the student webmail URL on the district website, etc
  • Upon migration, the on-boarding process can begin. That involves a password change/reset to a 7-character minimum. Once changed, that AD password will provision and synchronize with the cloud

Timing of all user migration to Office 365 "Wave 15"

  • Working to balance the 'desire to move' with the 'desire to ensure that there's no broken glass'
  • Still scheduled to occur 30-60 days after everyone is properly migrated to Wave 14
  • That puts us in the October timeframe
  • For now, the move to Wave 15 does not involve down time for mail, it is back end work only

Active Directory upgrade

  • We're working with Microsoft in the early stages of planning for an eventual upgrade to Active Directory
  • Our existing lease on the Active Directory hardware expires on June 30, 2014 and unless districts have a major objection, current plans call for an ownership transfer of the Active Directory boxes to districts at that time
  • Given that we're currently running Windows Server 2008 and this upgrade will occur in 2013 or 2014, districts should assume that a server OS upgrade will take place during the upgrade, requiring a new version of CALs for district devices not covered under local EES agreements

Threat Management Gateway upgrade

  • Microsoft will continue to provide maintenance and support for TMG 2010 through 12/31/15
  • We recognize that there is an obligation to provide something to districts due to SB230 language. If vendor(s) are spreading uncertainty to districts about this, understand that we are investigating product and service options for future implementation purposes

KIH3 circuits

  • Some districts are actually seeing AT&T technicians in and around the area working to get the infrastructure completed to support the KIH3 bandwidth offerings (will discuss schedule of what was provided by AT&T on when infrastructure will be ready for district upgrades)
  • By June 2014, all districts should have a KEN circuit sized to reflect at least 50Kb/student (ADA) Internet capacity
  • Some districts received a bandwidth upgrade over the summer, based on the KIH2 network and what it could support. The message to your users should still be 50Kb/sec/student by June 2014.

E-Rate

  • As you get funded, don't forget to file your Funding Year 2013 Form 486. You have 120 days from July 1 (late October) or 120 days from the date on your funding commitment decision letter, whichever is later
  • Funding Year 2013 - Wave 13 to be released on Wednesday, August 14th. Cumulative funding thus far at $374M. Funding seems to have moved slower than in years previous.
  • Funding Year 2012 - Wave 55 released on Thursday, August 15th. P2 being funded at 90% only. Cumulative funding at $2.72B.
  • Now is the time to block off a few hours and complete the filing of your Funding Year 2012 BEAR forms. Deadline on this is late October. The new BEAR form is now up and ready for use.

KETS Offers

  • Reminder to submit your TAR for last fiscal year so that the KETS Offer process for this year can begin for your district.
  • The first KETS Offer is estimated to be $10 per ADA.

Printer Contract

  • Note that a new KETS printer contract has been awarded. Like the network contract, this contract is manufacturer-based and the manufacturers can add up to three resellers
  • HP, Lexmark, Canon and Samsung are the winning bidders

Creative Recycling and E-Scrap contract - is everything still going OK? Anything we need to be aware of? I have heard some issues.

Technology Lease Review Requirements

  • Anything over $100,000 must come to KDE for approval. Guidelines on this, as well as a checklist to use, can be found at http://education.ky.gov/districts/FinRept/Pages/Technology-Leases-Over-$100,000.aspx
  • Any technology lease over three years in length (based on the three-year language in 702 KAR 3:300) must also be approved by the Kentucky Board of Education. KBE meets roughly every two months.
