Main purpose
This post is the first point of contact for CSW and as such the post holder will have daily contact with supporters, media representatives, partners and other interested parties. The post also provides administrative support for the department and organization as a whole. Full training will be given where necessary.
Main Tasks
Office Administration
- Oversee the smooth running of reception, including receiving visitors and processing deliveries
- Respond to or forward all Admin Emails: including supporter queries and general CSW business
- Daily responsibility for dealing with incoming and outgoing post, according to formal CSW Post protocols
- Organise parcels to be couriered or sent special delivery
- Arrange On-Call Rota and record voice message every Monday, with email reminder to relevant person
- Maintain office stationery supplies and re-order on a regular basis
- Ensure that office equipment is functioning, and flag when repairs are necessary
- Oversee use of external storage facility and flow of resources between the two
- Preparing and printing the weekly Sign In sheets
- Preparing and circulating the monthly Prayer Rota
- Sending volunteer forms, Volunteer allocation and induction and sometimes managing volunteers
- Prepare birthday cards for staff members to sign
- Forwarding overseas cards from supporters
- Ensuring there is a supply of Tea, Coffee, Sugar and washing up liquid for staff
- Arrange monthly staff prayer rotas
Supporter Care
- Answer telephone enquiries in a professional manner (and redirecting where appropriate), observing the organisation’s security protocols and with an understanding of the communications guidelines regarding the current work of CSW
- Taking donations over the phone
- Responsibility for updating supporter records
- Processing of e-mail unsubscribes and postal mailstops on a weekly basis
- Enter new supporter email sign-ups on Raiser’s Edge database system(RE), print letters and send new supporter packs
- Responsible for entering supporter campaign actions onto RE
- Dealing with supporter resource requests
Supporter Development Administrative support
- Working with the Comms team leaders to book speaking engagements for CSW’s team of speakers, including taking requests by phone, email or letter, completing booking forms and updating records
- Prepare resources for speaking engagements/events on a weekly basis
Other duties
Pray for the work of CSW;
- Sit on a number of the horizontal teams across the organisation. These teams push forward on identified priorities, in addition to the vertical structures designed to serve organisational needs. The post holder may lead a horizontal team when required.
- Undertake other specific tasks at the direction of the Head of Campaigns, which on occasions will mean working outside normal office hours and at other locations.
Main terms of employment
Hours of work / Three days a week (21 hours), 9am-5pm (Actual days to be confirmed)
Group Personal Pension Plan / After three months’ service you will be automatically enrolled on our group pension plan, administered by Royal London.
There is a 6% employer’s contribution, as well as a 3% employee contribution, which can be made via a salary exchange to benefit from the CSW contribution. More information about the salary exchange process will be provided on enrolling on the pension scheme.
Holiday / 25 days per year (Full time), excluding public holidays,pro rata during your first year of appointment.
Sick pay / Four weeks’ paid sick leave during the first twelve months’ service.
12 Weeks’paid sick leave after twelve months’ service.
Probationary period / Six months
Notice period / Two weeks either side during probationary period.
Four weeks’ written notice either side after probationary period.
About you
Essential /
- 5 GCSE grade C+
- Intermediate level use of Microsoft Outlook, Word and Excel
- Internet use
- Proven as well as customer facing experience within the commercial, public or Christian sector
- High level of good interpersonal skills – especially on the phone
- Ability to work under pressure and to defined deadlines whilst juggling multiple tasks
- Ability to follow organisational protocols and processes
- A quick learner
- Knowledge of Office equipment – fax; printers; photocopier, franking machine
- Able to deal with supporters and visitors courteously
- Warm telephone manner
- High level of organisational and administrative ability
- Attention to detail and accuracy
Desirable /
- Proven office administrative experience
- Experience of working with a supporter database programme– ideally Raisers Edge
- Keyboard speed of 50 words p.m.

We meet together as a whole team every day for worship, prayer and a biblical reflection. This is a vital part of our day and everyone is expected to attend and participate in these meetings. Our prayer is focused on issues related to the work of CSW, but there is also an opportunity for staff to share personal matters for prayer. Staff members take it in turns to lead these meetings.
Our basis of faith
The basic creed of Reformed churches, as it is most familiarly known, is called the Apostles' Creed. It has received this title because of its great antiquity; it dates from very early times in the Church, a half-century or so from the last writings of the New Testament.
