Monthly Meeting

Agenda
Present: Jessica, Dick, David, Terri M., Phil, Jan, Bob D, Janet, Christian, Clover, Nikki, Linda. Welcome new members!

I. Introductions. Race t shirts were distributed. There is another Pints for Pups event at Starr Hill tomorrow, 11 am to 8 pm.

II. Building

A. Need to remove temporary bridge at Crozet Park. Will be done on a midweek work day tbd
B. since the 10/15 WAHS community service day was cancelled due to rain, we still need maintenance on the lower Westhall Trail, from the big dirt pile down to Lickinghole Creek, behind red house. Future workday.
C. Creekside/ Old Trail trail - remainder of several houses we need to clear behind - one of next few workdays. Bob will need help from midweek work group to ribbon it off before then.
D. Foothill Crossing trail – workday this Saturday, meet at end of Park Ridge 9:00 am. County easement that runs along the creek down to the Joseph Taylor bridge. Some switchbacks will be needed. Flagged all the way. Park in the cul de sac or on east side.
E. Workday with Starr Hill Nov. 8th = Henley Hornets trail at Beaver Creek Reservoir (= first trail CTC ever worked on). We will clean up trash and do trail clearing/maintenance, 8:30-11:00. We are invited to Starr Hill afterwards, who will open early that day.

III. Planning

A. Lessons from 2014 5k

  1. sweeper sooner to notify volunteers that last runner has left. This year, volunteers were waiting in the rain for 15 min. And missed the awards ceremony. Sweep in shifts? Borrow walkie talkies from rescue squad? Have volunteer at station 5 do first sweep, then final sweeper after whole race in case anyone is left
  2. Banners were great. Mucky fence area was treacherous. Bob hung pink ribbons. Need to alert runners.
  3. Need First Aid kit ... Jess called rescue squad but they did not send a truck. Next year ask them to park at the radio bldg. to service both the Arts & Crafts Festival and the 5K. Maybe make a thank-you donation.
  4. Phil put a rope btw the festival and the registration desk because people were driving there. Terri had to move it.
  5. Prizes were great, thanks to Janet and Teri. Maybe too long? Would have been okay if not raining. Pray for no rain next year!

B. Current Financials (from Teri)

  1. expenses, incl temp bridge, finish line, cones, and paying for wristbands = $2100
  2. Income from t shirt ads, registrations, donations, TY from July Fourth beer tents, = $4700
  3. Profit = $2600 Balance now $4600
  4. Wristbands-We have paid $3 ea (half price), but not everyone goes. Should we pay less? Decided to make a donation of $250.
  5. How shall we spend this, ie what do we need? Ideas: Bridge materials ($5-600 each), mowers, weedeaters, more shirts, bridge or boardwalk at Henley hornets trail, paying a web designer, WAHS scholarship?
  6. Riprap bridge will be named after this year’s winners, don't have to build one.

IV. Trail map – Terri M. walked the trail to explore possibility of geocaches so it is interactive. She learned that the trail missing behind Westhall. At bottom of trail, if you turn right = county property, but we need to fix it. If you turn left = private property. Until the Westlake Hills developer grants us an easement, the trail stops where the Westhall property ends. Perimeter of Crozet park is not official yet. Terri will do geocaching with CTC magnets or medallions as prizes.

V. Other

A. Website and Facebook updates - Larry isn't involved in our day to day activities. He can do the technical stuff, but another person needs to tell him what to say and send pix.

B. What to do with wood from temporary bridge? Will store it temporarily behind radio bldg. Uses suggested were to make benches on the trail, which would need to be chained down, and/or use for plank bridges at the Henley Hornets trail.

C. Phil kindly offered to host the Holiday party on Sat. Dec. 13. Active members will be invited.

Next workdays:
Oct. 25: Foothill Crossing. Meet at end of Park Ridge 9:00 am, park at end of cul de sac or on east side. Jessica will send out map.
Nov. 8: Beaver Creek clean up with Starr Hill
Nov. 22 – Old Trail?
Dec. 13 – Westhall?
