Endowment and T.I.P. Management Course

Purpose
Use this procedure to create a new fund group.
Trigger
Perform this procedure when a master data creation/change request form is received and a new fund group is requested.
Prerequisites
None
Menu Path
Use the following menu path to begin this transaction:
  • Select AccountingPublic Sector ManagementFunds ManagementMaster DataFundFund GroupCreate to go to the Create Fund Group: Initial Screen.

Business Process Information
Grouping master data objects allow for more flexible reporting and analysis. Grouping funds helps to consolidate multiple funds within an organizational structure for reporting, analysis, and management. A fund is a separate and distinct fiscal/accounting object containing a complete self-balancing set of accounts used to segregate cash and other financial resources, together with associated liabilities, residual equities, and related changes. Amounts are separated by fund so that certain activities can be performed or objectives achieved in accordance with special regulations, restrictions, or limitations. Funds are classified into fund types, which have distinctive accounting and reporting requirements.
Helpful Hints
  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.
  • An existing fund group can be used as a reference.
  • Numbering/naming convention for fund groups should be alpha, usually 10 characters, i.e. Athletics for Athletics funds.

Procedure
1. / Start the transaction using the menu path or transaction code.
Create Fund Group: Initial Screen

2. / As required, complete/review the following fields:
Field / R/O/C / Description
FM Area / Required / Organizational unit which plans, controls and monitors funds and commitment budgets
Example:
UC
Fund Group / Required / Term, under which objects created with the master data maintenance transaction are summarized; The groups make work easier; Using the group term, objects of the same type can be edited together
Example:
CAMPSRVCS
This is a 10 character field that does not allow for spaces or special characters. An alpha descriptive naming convention should be used.
3. / Click .

4. / As required, complete/review the following fields:
Field / R/O/C / Description
Unlabeled field (to the right of the Fund Group Name field) / Required / Long description of the fund group

Campus Services Fund Group
5. / Click .

6. / As required, complete/review the following fields:
Field / R/O/C / Description
Unlabled field (fund center) / Required / If the fund group is represented by a range of funds, this would represent the beginning of the range, the From Value; If the fund group is not represented by a range, the funds would be entered one by one in these fields on the left
Example:
C100001
A range of fund centers can be entered. Enter the first value in column 1 and the ending range in column 2. The range will add all fund centers within that range.
7. / Click .

/ The funds listed are displayed.

9. / Click until you return to the SAP Easy Access screen.
/ The system displays the message, "The changes have been saved."
10. / You have completed this transaction.
