Fundraising Aim:
The Fundraising Aim is to raise £200k to provide and deliver/commission a Sports Pavilion that meets the needs of the Parish. A Pavilion that includes space to incorporate specific objectives of:
Essential:
- Bowling Club area.
- Football Club/other club, changing rooms.
- Toilets.
- Showers.
Desirable:
- Sports equipment room.
- Communal area.
- Kitchen.
Cost:
- First estimate of £125k for project build.
- Expectation that close to £200k would be more realistic for full cost.
- Outright Aim is to raise £200k for the project.
- Funds raised will provide a new Sports Pavilion and associated facility equipment.
- Under funding will restrict the intended size and style of the Sports Pavilion and limit any additional equipment.
- Over funding will be concentrated on purchasing additional equipment to assist the clubs which use the Sports Pavilion.
Time-scale: (see phase definition on next page)
- Phase 1, 2 and 3 fundraising up to 3 years.
- Phase 4 fundraising from year 4 onwards.
Fundraising Strategy:
The FundraisingStrategy is to concentrate fundraising efforts through 4distinct phases:
Phase 1 (Continuous)
Parish related internal fundraising to demonstrate the local desire and support for the project. All projects of this type need to show that there is internal ‘parish’ support for the project before qualifying for Major GRANT support. Individual charity events, coupled with advertising through village leaflet drops, newsletter advertising and posters to encourage donations and publicise the project in the surrounding community.
Phase 2
‘Charity Commission’ registration is required at the soonest opportunity. Fundraising in excess of £5k per annum is required for the registration process. However, the intention is to raise above this level so early application is recommended. An unincorporated association constitution is required for the running of the project committee – this will serve both as the Cranwell Sports Pavilion Fund committee governing document and also for the charity registration purposes. Once Charity registration is recognized and approved ‘Gift Aid’ possibilities commence – backdated claims are allowed (maximum of 4 years) to the date the constitution is agreed and duly recorded in the committee meeting minutes.
Phase 3
Business related fundraising – targeting company sponsorship from local, surrounding and national businesses. Prioritising contact and association with local level businesses first would also demonstrate additional ‘parish’ support. Thereafter, attempting to secure credible associations with reputable businesses would be carried out.
It is anticipated that approximately 25% of the total cost requirement (£31.25k – £50k) needs to secured prior to entering Phase 4 negotiations.
Phase 4
Major GRANT providers will be sought for completion of funding. This can be a lengthy and demanding process and requires researching in depth to ensure expended efforts are focused in the correct areas; therefore, offering increased chances of success. The assistance of ‘Community Lincs’, Senior Rural Officer Community Facilities (Samantha Smith), will be required for this process.
To support all 4 phases, the assistance is required from local parish residents, businesses, and a wide variety of community organisations and clubs. Moreover, the combined Parish, County and District Councilsupport is critical. Without all of these listed areas of support and guidance the project will be compromised.
Fundraising Authority/Protocols:
In accordance with Charity Commission requirements, the ‘InstituteofFundraising’ codes of fundraising practice will be followed when conducting any fundraising. Specific fundraising ‘best-practice’ methods will be carried out. Additionally, local council permission is also required for fundraising.
The fundraising coordinator will ensure that, local council permission,‘best-practice’ methods and ‘codes of fundraising practice’ are implemented in all fundraising efforts. All nominated fundraisers will be made aware of the governing requirements.
Codes of fundraising practice are available for:
- Acceptance and Refusal of Donations.
- Accountability and Transparency.
- Handling of Cash Donations.
- House to House Collections.
- Major Donor Fundraising.
- Managing Static Collection Points.
- Charities Working with Business.
- Raffles and Lotteries.
- Data Protection.
- Direct Mail.
- Event Fundraising.
- Face-to-Face Activity.
- Fundraising Through Electronic Media.
- Volunteer Fundraising.
Within the Cranwell parish the major existing fundraising organisation is the Church. Other smaller scale fundraising is conducted for community groups. Charity registered groups within the parish are:
- Cranwell & Byard’s Leap Village Hall.
- The Romper Room.
- Cranwell Primary School PTA.
Any undertaken fundraising activities need to be de-conflicted with other parish fundraising activities. This will allow for non-competitive appeals and not risk the de-stabilisation of existing parish fundraising support networks.
