MEMBER GUIDELINES FOR TEAM COMPETITIONS

These are intended to be helpful, not scary or bossy! Please do contact the appropriate Team Manager should you have any questions (list of current ones attached).

Competition Dates and Schedules

It is useful to familiarise yourself with the Pony Club Area 13 Calendar ( which gives the dates of all the local Pony Club competitions taking place throughout the year. Schedules are available to download from the Calendar and you should read theSchedule before committing to a competition.

If you are interested in participating in team events for Cowdray PC please inform the appropriate Team Manager – see attached list. The Team Managers will, periodically, send around a list of upcoming team competitions asking who would like to be considered for a team or individual entry at each of them.

Entries

Please ensure, when giving your details to your Team Manager for entries, that you are sure that youcan definitely compete on that date.Please note that it is very unfair on other team members to be let down by members not turning up or withdrawing at the last minute (other than for genuinely unavoidable reasons).If you are not sure that you can commit to aspecific date, please don’t put yourself forward as a Team member.

Please provide the child’s name, age, date of birth and the name of the horse, its age and height.

Entry Fees

Team entries are paid for by Cowdray PC via Alexa Dugan, our Treasurer. It is absolutely essential that, when your Team Manager requests payment, you make the payment promptly.

Members can pay via:

a)the Online Bookings section of the branch website using a credit/debit card – easiest for all!

b)cheque to Cowdray Hunt Pony Club (c/o 3 High Path, Easebourne, Midhurst, West Sussex, GU29 9BD) – with competition, competition date and name of child competing clearly written on the back. Please also email Alexa and the Team Manager so they know you have paid.

c) BACS to SORT CODE 202062 and ACCOUNT CODE 40075159, giving a clear reference (eg HT/SJ/DR or Polo FR/QU/CH) plus date of competition, and where possible name of child especially if payment is coming from someone with a different surname. Please also email Alexa and the Team Manager to confirm BACS payment has been made, giving the reference quoted on the transaction.

PLEASE NOTE: It is not up to team managers to chivvy members for payments and confirmations.Failure to make payment when requested will prejudice your chance to beinthe team.

Training Rallies

It is important that Members attend as many PC rallies/clinics/camps as possible, especially those aimed at Team Training, it is on the basis of performance at these rallies etcthat Team selection will be made. Note also the eligibility requirements for Area competitions outlined below.

Cancellation

If, as will sometimes happen, horses go lame or your child is ill, please have the courtesy to let your Team Manager know immediately so that a Team space can be filled as soon as possible.
Competition Day

Please remember you are competing as part of a team representing the Cowdray Hunt branch and your behaviour should reflect this. You are expected to participate in team course walks, to encourage, support and, where feasible watch, your other team members, and, should the team be placed, all team members should be present at the prize giving.

Your Team Manager will usually inform you of start times, course walk plans, etc, and is there for guidance and assistance to all team members, and if you have any questions, please do not hesitate to ask for help. However, please don’t rely on the Team Manager to tell you what to wear, which Dressage test, etc; you are a competitor and should make yourselves aware of all the rules and regulations to which you will be subject. Of course, however, do ask your Team Manager should you have a query.

Needless to say, the behaviour of all our competitors needs to be exemplary and, if there are any problems, the Team Manager should be involved and a course of action decided upon with them.

Dress and Tack Regulations

Note there are very specific rules about rider dress and pony tack and turn out for each discipline. Please see the Cowdray PC dress and turnout guide (available on the website), or consult the relevant PC rule book. Note that you can buy Cowdray specific items (numnahs, hat silks, and XC skins) from GGGear.co.uk.

Please note: When attending any PC run event, Cowdray members must wear Cowdray colours/numnahs etc whether as part of a team or competing individually as they are representing the Branch.

NOTE REGARDING ELIGIBILITY FOR AREA COMPETITIONS:

Every summer there are Area competitions for various disciplines at Novice, Intermediate and Open levels. These are the qualifiers for the Pony Club National Championships held in August each year. Cowdray aim to send teams to the Areas at all three levels in Dressage, Show Jumping, and Eventing.

In order to represent the branch at Area competitions:

a)Riders must be active members of the branch who have participated at a minimum of three working rallies of this, or their previous, branch since 1 July in the previous year, excluding team practices and coaching. Attendance at PC Camp counts as one working rally, but sadly our Easter Clinic does not. Riders must also have been members of the PC since at least 28th February in the current year, except for members who are completely new to The Pony Club, who may join up until 31 March and still be eligible.

b)Horses/ponies must have participated at a minimum of three working rallies since 1July in the previous year, one of which must have been in the current year with the current rider as a combination. Attendance at camp counts as one working rally.
