119TO APPROVE ACTIONS TO BE TAKEN IN RESPECT OF THE LICENCE REQUIREMENTS AND ROAD CLOSURES

119.1Cllr Jump is circulating road closure letters; replies are coming in.

119.2Tina has discussed parade with ERYC and forms for rolling road closure will be completed as soon as possible. Parade to start at 11am – should take around 45 minutes. Stage to start at 11am with official opening at 11.45am. Tina will contact Chairman of ERYC to see if they would open the event.

119.3The Thomas the Tank Engine land train can only run on roads that are subject to a road closure – it would not be suitable for the purpose the Committee had intended and was not booked. Cllr Harness will contact EYMS to see if they will provide a bus instead. The Clerk had written to the University to obtain permission for parking at The Lawns.

120UPDATE RE CYCLE RACE

The Chairman updated members on the discussion at the Event Safety Group meeting. 4 barriers required for closing the Market Green on the Friday evening; Mike Spivey will check whether Cottingham Christmas Lights have any; if not PC have some traffic cones that might suffice.

Resolved:That B&A Scaffolding provide 300 barriers as discussed for the cost of £1400.

121UPDATE RE PARADE FOR 2015

121.1Agreed route –Muster between barriers on Hallgate, outside St Mary’s Church then continue through traffic lights onto Hallgate, left onto Finkle Street, left onto King Street and disburse in arena.

121.2Tina and Don Maskell had had a very successful meeting with rep from Cottingham Little Theatre who had agreed to provide costumes and people to represent three Winifred Holtby’s – 1920’s, 1930’s and 1940’s – with appropriate cars for eras.

Tina is looking into workshops for children.

121.3Marshalling of parade –Cresta Security person will marshall front of parade. Dressed up Pierrot Dolls will marshal at the side of the parade as extra stewards.

121.4Cadets drum band are available to play in the parade; insurance details have been sent as request. Awaiting confirmation.

122GENERAL ITEMS FOR DISCUSSION/APPROVAL

122.1To approve Stall Booking Forms received to date:

BW Leisure Go-Kartsat a cost of £450 – agreed; probably to be sited on Market Green.

Dreamshakers x 2 pitches at £220 (as last year). Pitches to be agreed at a later date.

Scouts stall – having QI orienteering course around the village (£40) – agreed.

Laurel Jackson (Cantina Burrito) – agreed £200; venue tba later.

Julian Hackford (Hog Roast) – no – there is already something along these lines.

Kate Nicoll – agreed £40; venue tba later.

And Albert Foundation – agreed £40 (extra cost if they want more space); venue tba later.

PFA – Penshurst Primary School – cannot do reduced rate as it wouldn’t be fair on others.

Mr Corfield, Football Memorabilia – agreed £40; venue tba later.

Hull College – agreed £40; venue tba later.

Pet Respect – agreed £40; venue tba later.

Members thought it would be a good idea to put together a list of buskers who would be willing play on the day and have two/three set areas for them to play in (acoustic only). Judith to speak to Dave Williamson about this and anyone who has been contacted by a busker should let Judith have the details.

122.2To approve function of Civic Hall for 2015

Cllr Harness had not been able to speak to Millers – he will do so before next meeting so a decision could be made.

122.3Programme & Publicity

  • The High School had agreed to look at producing a new logo; Cllr Kind will follow up with the school to see if they could meet the deadline.
  • Members agreed that the Photographic Club from the Methodist Church should be allowed to photograph the event.
  • Hallgate Primary School had requested a mention in the programme for this year to publicise their School Fair. Judith to check what they contributed to last year’s programme and charge the same for this year.
  • Members were reminded that for the programme to be delivered with the June edition of Cottingham Times it would need to be ready by early May to allow time for photocopying and folding.

122.4Decision of Bunting

Members were informed that a quote of £590 plus VAT had been obtained for the bunting which had been ordered.

122.5Sponsorship letters

Mike Spivey would confirm with Mr Ishaq what sort of thing he wanted to sponsor ie did he want something that could carry his name?

Judith/Tina would write to ERYC Events, Ispace and KC – who had donated money last year; Cllr Wright would contact Swifts.

123UPDATE FROM HEADS OF AREAS

123.1Market Green – Kate Moverley/Dave Williamson

Entertainment for the arena was ongoing; contact between Kate and Dave needs to be made to arrange timings.

Suggestions for the stage were made as follows: Hull Ska Orchestra, Soul Patrol, Ti Amero, Inferno. Cllr Kind had already e-mailed Dave with suggestions.

123.2King Street – Richard Moverley and Mike Spivey

Richard doing map for next meeting – spaces can then start to be allocated.

123.3Grandad’s Park – Ann Abel (nothing to report)

Mothers Union would like to provide baby changing services again.

123.4Hallgate – Mike Harness

Cllr Harness reported that he has 20 cars booked so far, an advert will appear in the next edition of the Yorkshire Classic Car magazine. He intended to take a break once everything was in place on Hallgate so that he could help out with the clearing of the area and the Cycle Race in the evening. Don Maskell agreed to look after the area during that time.

Iris Pennie confirmed that no weddings were take place at St Mary’s Church on the day; minor refreshments would be served in the church halls and the Embroiderers planned an exhibition around their 40th anniversary.

Once the parade has left the area it was agreed that the closed section of road between the barriers near St Mary’s Church could be used as blue badge parking.

123.5Memorial Gardens – Don Maskell

Waiting to hear from the Birds of Prey people and Activities on a Plate; agreed that the Candy Floss cart should be booked at the same price as last year.

112.6Memorial Hall – Paul Fenwick (nothing to report)

124REPORT BACK FROM EVENTS SAFETY GROUP

Cllr Wright updated the members on the discussion that had taken place at the Events Safety Group which had taken place at 6.30pm, immediately before the meeting.

Resolved:that Cresta Security be contracted to provide Security for Cottingham Day in accordance with their quote dated 20 February 2015.

125TO AGREE DATE OF NEXT COMMITTEE MEETING

The next meeting of the Committee will take place at 7.30pm on Tuesday 21 April 2015.

There was no other business and the meeting closed at 9.05pm
