iii.Submission Procedures
The RFI shall be submitted in a sealed envelope and labeled “Greeting Cards RFI”. All submissions shall be deposited,not later than the closing date, at:

4. / Mandatory Information / i)It is compulsory for vendors to submit the following mandatory information:
a)A brief background of the companyregistration, shareholders’ structure and business profile, covering the following:
-Form 9, 24 & 49;
-Company organisation structure;
-Business profile including company’s history and track- record;
-Latest audited accounts; and
-Printing facilitiesand relevant partner’s profile, if any.
b)A brief history of any relevant experience(s) that the company may have had in carrying out similar proposals, not limited to the following:
-Submission of the company’s best three (3) pieces of work of similar nature (in hard copy) in the past 2 years. If there is to be more number of work portfolio to be submitted, the same can be done in CD-ROM; and
-Reference of client sites including the contact persons and designation for each. Note that the Bank reserves the right to select and contact any of these reference sites as part of the evaluation process.
6. / Terms and Conditions / i)Confidentiality
- Upon receipt of this RFI, the vendor is deemed to have entered into a confidentiality agreement to which the vendor will not disclose any information, which has been provided both verbally or non-verbally to any third parties without the expressed written consent of the Bank.
- The vendor shall be deemed to have examined and understood the contents of the procurement and had taken reasonable measures to obtain written clarifications from the Bank, where necessary. The vendor shall also be deemed to accept and is bound by all the terms and conditions specified herein;
- Any non-compliance by the vendor on any requirements stipulated in this procurement would entitle the Bank, at its sole discretion, to disqualify the vendor;
- The specifications contained in this document define the basic requirements with regard to the intended procurement. The Bank reserves the right to amend the specifications and conditions in order to correct errors, rectify omissions or discrepancies, or to reflect any change in its policies. Any amendment to the specifications shall be effected and notified to all vendors by correspondences through letter or e-mail;
- The vendor shall be solely responsible for any omissions and/or errors in their RFI, without any additional cost chargeable to the Bank. The Bank will not entertain any request for variation of price(s) or submission of additional quotes for items omitted in the original submission on the grounds of knowledge, oversight, etc;
- Nothing in the RFI constitutes a contract with the Bank. The Bank intends that no contract will be formed until the selection of the award is finalised; and
- The Bank may, at its sole option, reject any and all RFI without further discussion and/or reject the RFI of any party who has been delinquent or unfaithful in any former contract with the Bank.
- The interpretation of the contents of the RFI by the Bank shall be final;
- RFIs that are incomplete will be considered non-responsive to the solicitation of bids and would be rejected without further consideration;
- The Bank is not obliged to give any reason for non-acceptance and rejection of any RFI;
- The Bank may at its sole option, reject any and all RFIs, for any reason, and reserve the right to re-solicit RFIs in the event no response to the RFI; and
- The Bank reserves the right to select the complete proposal, part of a proposal or none at all.
- All submitted RFI documents by the vendor will become the property of the Bank.
- No responding vendor shall furnish any information, make statement or issue any document or other written or printed material concerning the acceptance of any RFI in response to this procurement for publication in any media without the prior approval of the Bank.
- The Bank is not liable for any costs incurred by the responding vendorto comply with this procurement or any subsequent requests prior to and/or after issuance of any resulting contract.
