AGGREMENT OF COOPERATION FOR THE JOINT SUPERVISION OF

Article 1 - Scope

Thisagreementsetsouttheguidelinesforcooperation betweentheUniversityofCypruswhichisrepresentedbyitsRector, Professorname of the Rectorandthe University of name of the partner universitywhichisrepresentedbyits Rector, Professor<name of the Rector>.

The University of Cyprus and the University of <name of the partner university>agree to use the joint supervision procedure forfull name of the doctoral student concerned.

Article2 - Admission

Thedoctoral candidatewill be enrolled as a doctoral student to an approved doctoral degree programme at both partner institutions. He/She is bound to comply with the admission requirements for doctorate studies in accordance with the prevailing rules and regulations of both partner institutions.

Article3 - Registrationand Duration

The doctoral candidate is registered at both institutionsin accordance with their rules and regulations for the preparation of a thesis under joint supervision, from the academic year 20XX – 20XX and for a period of 3 years.

The duration of this agreement may be extended by the signing of an amendment in accordance with the current regulations of both universities.

(If the duration of the agreement is different than 3 years then this must be mentioned. For example some agreements are valid until the completion of all the requirements for the award of the PhD title to the doctoral candidate).

The administrative and organizational responsibility for the PhD thesis will be undertaken by the University of …………………..

Article 4 – Work periods

The length of time spent in each university will be defined jointly by the two supervisors as follows:

The above work periods will be allocated by the supervisors of the doctoral student based on scientific requirements and the conditions of preparation for the thesis. They are subject to change at the proposal of supervisors.

Article 5 – Tuition fees

The doctoral candidate is registered in both universities andtuition fees are paid as follows:

(In case the doctoral candidate has to pay fees at the partner institution then there is a waiver of fees at the home university if this is stated in the agreement between the two institutions.)

(In case the doctoral candidate has to register in courses in the host University, in addition to the monitoring of the supervisor, he/she will be charged with the appropriate fees.)

Article6 – Social Security and Insurance

The doctoral candidate must have insurance coverage in accordance with the regulations of both universities.

Health insurance to the doctoral candidate will be provided by the University of ……..

Article7 – Thesis supervision

The doctoral studentwill carry out his/her research work under the joint supervision and responsibility of:

  • Professor …….. [name and title of the supervisor] of Partner institution

Both supervisors will supervise the candidate’s postgraduate studies jointly in accordance with the current rules and regulations of each institution.Both supervisors are responsible for the progress of the research work and they undertake to consult each other regularly concerning the work.

Article8– Reporting

The doctoral candidate and the supervisors will deliver separate annual reports on progress to both institutions.

Article9 – Language of thesis

The language in which the thesis and the abstract are to be written and the doctoral examination is to be conducted must conform to the prevailing rules of the institution at which the doctoral examination will take place.

The dissertation thesis prepared under joint supervision will be written in ……. language, supplemented by an abstract in the national languages of both countries.

The thesis will be defended in …………………… language.

The modality of the doctoral examination is governed by the prevailing regulations of the University of ……………………………….. (name of the university where the defense will take place).

Article10 –Thesis defense

The doctoral thesis will be subject to a single defense in one of the two Universities. The date of the defense will be fixed by mutual agreement.

The defense of the doctoral thesis will take place at the University of ……………………….. The results of the defense must be formally notified to the other University.

The regulations applying at the institution at which the defense takes place will be followed.

Article11 – Thesis defense examining committee

The examining committee is appointed jointly by both institutions and must comply with therules and regulations of the University of ………… where the defense will be performed. The committee must be based on an equitable representation of members from both universities.

In any event the defense examining committee is composed of 5 professors and must include the two supervisors of the doctoral candidate. TheChairmanoftheexamining committeehas topreparethereport of the committee for the examination which should be duly signed by all the members of the committee.

Article12 – Financial Terms

Travelling and subsistence expenses of the joint supervisors and the members of the examining committee are to be covered by the institution at which the defense takes place unless otherwise stated in the agreement.

(Sometimes the expenses are shared equally by the two institutions or are shared at a proportion which must bestated clearly in the agreement).

Article13 – Award of the Phd title

Upon successful defense of the thesis and fulfilment of the PhD requirements of each Institution, the candidate will be conferred a single title of Doctor. The partner institutionsagree to award the PhD title to the doctoral student in one of the following three ways:

(a)a single joint PhD degree along the lines of those degrees which award to other doctoral candidates.The degree certificate is signed from the Rectors, the Deans and the Chairpersons of the departments and must make it clear that the degree is jointly awarded (a cotutelle degree).

(b)a single joint PhD degree. Both Universities commit themselves to award at the same time a certificate attesting the award of a doctorate, based upon a single report following the defense of the thesis and according to the regulations of each Institution.

(c)the PhD degree of one of the two universities. The PhD degree will be issued in ……… language. The University where the thesis will be defended is the issuing University of the doctoral degree certificate, after the payment of the corresponding tuition fees.

Article14 – Duration of the Agreement

This agreement issigned fora period of three academicyears, from …/../20.. until ../../20… andmay be amendedor waivedwith the consentof bothinstitutions.

(In case the agreement is not for 3 years then this should be stated. For example: This agreement enters into force upon its signing by both partner institutions and the doctoral candidate and is valid until the doctorate title is awarded to the student,unless is terminated earlier.)

Article 15– Settlement of disputes

Both parties agree to comply with the provisions indicated above and do whatever is necessary and in their power to apply this agreement in the best conditions.

The Parties agree to resolve friendly any dispute which may arise in the development of this cooperation agreement.

Article 16 – Termination of agreement

The Agreement may be terminated automatically by either institution at any time with reasoned opinion, subject to compliance with a notice period of two months. The termination of the present agreement will not affect the student involved until the thesis is completed. The student will have the right to continue his/her studies at his/her home institution, under the supervision of the thesis supervisor at the home institution.

In case the student should renounce writing the joint thesis, or should the thesis supervisors jointly decide not to allow the student to continue writing the thesis because of inadequate academic progress (about which the student should have been be given suitable warning), the two institutions would immediately bring the present agreement to an end, by a joint decision.

In the event that a thesis supervisor should resign the doctoral candidate supported by the resigning supervisor, is obliged to find a new supervisor within one semester. If no new supervisor is found, then the universities shall terminate the agreement.

Article 17 – Rules relating to protection of the thesissubject

Protection of the thesis subject concerning the publication, exploitation and protection of research results from the doctoral students work in both institutions shall be subject to current regulations and in accordance with procedures specific to each country involved in the joint supervision.

Article18 – Use of the results

Both institutions have the right to use the results and the dissertation for the purposes of teaching and research activities.

Separate agreements will be written for research works that may lead to patents.

Article19 – Protection and Reproduction of PhD Thesis

The procedures for protecting and reproducing the PhD thesis and the publication of the results are subject to the laws of each country.

This agreement is signed in two original copies, in English.
