Constitution of the Society of Peace and Dialog at Iowa State University
Article I: Name and Purpose
-The name of this organization is Society of Peace and Dialog at Iowa State University.
-The Society of Peace and Dialog (SPD) was founded with the goal of increasing awareness of one another and building bridges between people of different backgrounds. SPD has a perspective of dialogue, which accepts everyone's religion, culture and ideology as they are, and respects them. SPD organizes social events such as lectures, group discussions, movie presentations, exhibits and concerts, and aims to cooperate with other organizations on campus while doing this.
-SPDabides by and supports Iowa State University policies, State and Federal Laws and follows local ordinances and regulations.
SPDagrees to annually complete President’sTraining, Treasurer’sTraining and AdvisorTraining (ifrequired).
Article II: Membership
-Membership is open to all registered students in good standing at Iowa State University.
-Society of Peace and Dialog (SPD) does not discriminate on the basis of race, color, age, religion, national origin, sexual orientation, gender identity, sex, marital status, disability or status as a U.S.Veteran.
-There is no fee for being a part of SPD as a member. There is no requirement for all members to attend all club meetings but it is encouraged to attend and support club’s events.
Article III: Risk Management
The Risk Management Officer is designated as the Risk Management officer. The Risk Management officer’s duties include minimizing potential risks for club activities, recommending risk management policies or procedures to officers and members of Society of Peace and Dialog submitting documentation to ISU’s Risk Management Office for travel and/or the proper handling of food, ensuring that Iowa StateUniversity policies are followed at all of the organization’s events and ensuring that necessary waivers and background checks are on file with RiskManagement for events (if applicable)
Article IV: Removal of Officers or Adviser and Replacement
Officers or advisers may be removed from office by ½ vote of the other officers and ¾ of the general membership if actions are deemedinappropriate by the membership. The officer is permitted to speak before the Executive Committee and the general membershipabout the charges made concerning his/her performance. The officer is not permitted to participate in the deliberation of theExecutive Committee regarding the charges.
If an officer or adviser is removed the replacement procedure is the same as the election procedure described Article IV . It shall take place at the first meeting following the removal of the previous officer/adviser.
Any action against statements (done by members/officers/advisor(s)) in Article I will be counted as inappropriate in which case statements in Article III will be initiated.
Article V: Elections
-Elections for all positions will be held annually at any meeting at the beginning of the each fall semester.
- To be elected, a candidate must obtain a simple majority of all votes cast.
-Election will be held with secret ballot.
Article VI: The Executive Committee
- The Executive Committee is composed of President, Treasurer, Vice President, and Adviser.
- The offices of President, Treasurer, and Adviser must be occupied.
- Officers must meet the requirements in a and b
a- Be in good standing with the university and enrolled: at least half time (six or more credit
Hours) if an undergraduate student (unless fewer credits are required to graduate in the
spring and fall semesters) during the term of office, and at least half time (four or more
credits) if a graduate level student (unless fewer credits are required in the final stages of
their degree as defined by the Continuous Registration Requirement) during their term of
office.
b- Have a minimum cumulative grade point average (GPA) of 2.00 and meet the minimum GPA in the semester immediately prior to the election or appointment, the semester ofelection or appointment and semesters during the term of office. In order for this provision to be met, at least six hours (half-time credits) must have been taken for the semester under consideration.
- Roles and responsibilities
- President
a. Preside over meetings.
b. Represent the organization on campus.
c. Ensure that the constitution of the organization is observed.
d. Maintain communication with the advisor.
e. Enforce the rules of discussion.
- Vice President
a. Provide support in implementing the activities of the organization.
b. Preside in the absence of the president.
c. Arrange for the reservation of the room each semester.
d. Oversee the maintenance of the mailing list
-. Treasurer
a. Manage the accounts of the organization in accordance with the policies of Iowa
State University.
b. Obtain signatures from the advisor for financial documents as needed.
c. Prepare the annual budget
-. Advisor
a. Meet with the executive committee upon request.
b. Ensure that the organization is holding regular meetings.
Article VII: Finances
-All monies belonging to this organization shall be deposited and disbursed through a bank
account established for this organization at the Campus Organizations Accounting Office. All
funds must be deposited within 24 hours after collection. The Adviser to this organization must
approve and sign each expenditure before payment.
B. The primary funding source for organization is through GSB. Application is usually done at thebeginning of the spring semester. This Organization also collaborates with the Niagara Foundation Iowa.
Article VIII: Amendments and Ratification
-This constitution can be amended and subsequently ratified at any time with a 1/2 majority of the executive committee and a 2/3 majority of voting members. Any amended constitution must be announced by e-mail 7 days before the meeting on which it will be voted. The amended
constitution must be submitted to the Student Activities Center within 3 weeks of the vote.
