BOOKING GUIDELINES FOR THE HIRERS OF ST LUKE’S CHURCH
St Luke’s Church offers a very versatile space that we are happy to hire out to groups during weekdays and evenings. Below are some simple guidelines. When booking is agreed we would like you to return completed booking form to us with your deposit payment to confirm your booking.
If you have any problems, or things are not working during your hire then please let us know at the time. Don’t suffer in silence!

2KEYS: By arrangement. All hirers need to be aware that our insurance on the building contents is not valid if the building is left unlocked when no one is there. We have found that it is safest if one person is responsible for the key and will make sure that the building is secure before leaving. PLEASE LEAVE DOORS CLOSED(unlocked) whilst you are in the building - this stops strangers wandering into the building. Please LOCK THE DOOR when you leave – even if you think other people are still in the building. They can get out and the door locks behind them.
3. TIMES: A normal day hire is from 9am-6pm with a little flexibility around those times. Evening is from 6.30 until 11pm.
4.CLEANING: The building is cleaned every Saturday. Please leave the building clean and tidy ON EVERY EVENING during your hire and take particular care to leave the toilets as you find them. Additional toilet rolls and clean towels are in the cupboard at the end of the toilet block. Please put dirty towels in the bottom on the cupboard. Cleaning materials are stored under the sink in the hall and church kitchens and in the South Side entrance beyond the main church kitchen. Hirers enjoy the use of the facilities at very reasonable rates, so we do expect that every care will be taken to keep everything clean and tidy.Please be aware that there are regular evening bookings in the main space most days, so you need to tidy up after you on a daiy basis even if you have booked for the whole week.
5.RECYCLING: Recycling boxes are situated in the main kitchen.
6. LIGHTS AND HEATERS: We do not have a caretaker, so the hirer must MAKE SURE TO SWITCH OFF ALL lights and heaters are before leaving the building. In other words, please switch off whatever you have switched on. You will not be able to switch toilet lights off, as they are automatic.
7.RESPECT THE SPACE: St Luke’s is first and foremost a church and we ask that you show respect for the building. We ask that you do not use the chancel (front) area of the church. It is impossible to know very far in advance if the building will be needed for a funeral service. If one is requested, we will try and give as much notice as possible. Please do not drag anything across the oak floor in the church, as it will damage the wood.
8.KITCHEN ETIQUETTE: Feel free to use the kitchen facilities, but do bring your own tea, coffee, milk, sugar and any food. If you leave food in the fridge, please put it in a plastic bag or container and label it. Please wash and dry your dishes and put them back where they came from.
The hall kitchen is for your use if you have hired the hall, similarly, please use the church kitchen if you have hired the church.
9.INTRODUCING THE RESIDENTS: Iain and Miriam, musicians, have a studio in the church tower and Rick has a room at the back of the church on the south side. Justin our Music Director also uses the building occasionally. You may meet them if you are hiring the church space.
They will endeavour to be sensitive to you if they need to pass through your space while using main kitchen (church hire) or accessing rooms off the south aisle. Please keep your own noise down to an acceptable level and they will do the same. If it is essential not to be disturbed let us know and we will try to accommodate this if possible.
10. FLOORS AND WALLS: If you need to mark out a specific area of floor space, only use masking tape (not electrical tape). It will need to be taken up so that there is no tape on the floor on Sunday for the church services. Please talk to us before sticking anything on the walls.
11.STORAGE: There is no cupboard space for storage of props over the weekend,so please discuss storage needs with Lucy as necessary.
12.PARKING: There is no parking space in the grounds of the church. There are additional parking restrictions in Penn Road when Arsenal are playing at home.
13.INSURANCE: The hirer (who is over 18) will realise that during the letting they are responsible for the building. St Luke’s Church is not responsible for loss or damage to the hirer’s property. The hirer should have their own insurancecover.
14.MAINTENANCE: From time to time maintenance work needs to take place in and around the building. We will try to keep any noise and disruption to a minimum. Please let us know if you find anything that does not work during your hire, so that we can put it right.
15. SAFEGUARDING: Please provide us with a copy of your Safeguarding Policy if you have one. If you don’t have one, we expect you to sign up to the Church Safeguarding Declaration which is also attached.
16. HEALTH AND SAFETY HAZARDS: Please read Health and Safety Hazard Sheet and nominate a Health and Safety Officer from your group.
17. ACCIDENTS. If anyone has an accident during your hire we need to have a full report signed by your Health and Safety Officer and co-signed by the person who had the accident.The time, place and nature of accident should be noted, and a signed witness statement taken if possible. An accident form is attached at the end of this document.
17. BOOKING FORM: Please fill in our booking form, so that we have your up to date information and details. We would ask you to sign this and return it to us by email or post to prove that you have read the Health and Safety Hazard Sheet and agree to abide by these booking guidelines and our Safeguarding Declaration.
