COMMUNICATION STRATEGY (COMPLETE FOR NEW AND REVISED PROJECTS)

Please answer the following Communication Strategy worksheet questions one (1) through nine (9) on the following page for new publications and Internet projects. This information will assist Publications Management in developing a design that is economical and satisfies your communication goals while projecting the DSHS agency image. Use additional paper if necessary. The questions in bold italic type are for Internet projects only. A member of our staff can help you with these questions if you would like assistance.
1. PURPOSE
What problems are we solving with this communication project? What do you want your subsite to accomplish? What business need(s) will it serve?
2. AUDIENCE. DESCRIBE THE AUDIENCE(S).
What are their interests? What will help them? What will frustrate them? How will the audience receive, view, and use this communication? What other audiences do you have? Underline your primary audience. List whose needs you want to meet in order of priority. Who do you want to reach through your subsite? Who do you believe wants to reach you through the Internet?
3. MESSAGE
What is the main message? What is the secondary message? What information is most important? Prioritize the information. What information do you want on a subsite? What information do people frequently ask your division/program to provide? What information do people ask you to have available on a web site? What other information do you want to include?
4. TRENDS/COMPETITION
What are the attitudes and perceptions toward your message or information? What trends affect these attitudes? Who or what competes with your organization for your audiences’ attention/resources?
5. DESIRED IMPACT
What impression do you want the audience to have of this subject? Of your organization? What do you want the audience(s) to do with this information? What impression do you want your audience(s) to have of this subject?
6. SPECIFIC REQUIREMENTS
What specific needs need to be met with the design of this project (budget, size, and compatibility with existing/previous materials)? What systems have been developed to respond to increased audience expectations/demands? For example, if you have an increase in e-mail communication, do you have the resources in place to respond? Are there legal requirements that certain information must be made available to the public? Do you have budget restrictions that limit your scope and responsiveness?
7. PERSONAL PREFERENCES
What are your ideas or expectations about the design?
8. SPECIFIC TECHNOLOGY NEEDS

Does this Web subsite have a need for interactive technologies (online training, databases, and electronic forms)?

9. DISTRIBUTION PLAN. USE YOUR DISTRIBUTION PLAN TO HELP YOU DETERMINE YOUR PUBLICATION QUANTITY.
How will this publication/project be distributed to your audience(s)? Where would your audience look for this information? What organization might give this information to people as a resource?
