Position Overview
The Office Manager,under the direction and supervision of the Dental Clinic Director will manage the three dental clinics to include grant development and management, program research, budgeting/accounting support, management of databases, volunteer support and daily operation of clinic activities including compliance with state and federal regulations.
The Office Manager is also responsible for the management/oversight of personnel, financial, administrative, housekeeping, and maintenance and purchasing functions and patient flow. Flexibility, initiative and a pleasant attitude are requisites as well as the ability to build and maintain a strong working relationship as part of the clinics’ leadership team.
Responsibilities
- Responsible for the management of daily operations of the clinics including personnel, financial, administrative, housekeeping, maintenance and purchasing functions.
- Supervise and manage the patient flow.
- Maintain current knowledge about community needs, trends and programs in the area of the dental care, with the Clinic Director, Senior Director Health Council, other staff and volunteers, and to develop appropriate programs to meet needs.
- Represent the dental clinics as requested in organizations and associations.
- Develop and carry out a plan which shall include measurable goals, objectives and growth plan for the clinics.
- Participate in marketing of the clinics programs as required.
- Maintain program statistics and prepare monthly reports.
- Assess staff performance and complete 90 day review on all new hires and annual review on all staff.
- Develop grant proposals to provide resources for operation and equipment.
- Create reports as requested for all grants received.
- Ensure compliance with policies and procedures of Community Partners of the Midlands, LLC, local, state and federal entities including Health Insurance Portability and Accountability Act (HIPPA).
- Recruit and schedulevolunteer dentist and hygienists one year in advance.
- Prepare an annual operating budget and manage budget in a responsible manner. Advise management of trends and developing needs of the clinics.
- Plan for effective administration of the clinics.
- Perform other duties as requested.
Required
- Bachelor’s degree or relevant education and previous experience working with the public in a service environment. Attention to detail, analytical, problem solving abilities and proficient in Microsoft Office software. Excellent written and verbal communication skills. Must have the ability to work independently as well as part of a team. This position requires a minimum five years prior experience managing a dental office or five years in a similar position with demonstrated success.
Preferred
- Knowledge of Eagle Soft Dental software, bilingual and/or fluent in Spanish a plus.
