Community Farm Meeting Minutes 13/1/16

Banking Access

-Co-operative Bank Community Direct Plus Account - Sort Code: 089299 Account No. 65774591

-Tel banking phone number: 08457213213 ask MW for password and 4 digit code

-Online Banking–MW to give each signatory a ‘security token’ key fob. Each needs to ring the number provided and follow instructions to activate it and create a PIN. You will need the account no, phone banking passwords, your debit card and the date of opening the account (Oct 2015) to do this. Once set up, you use the Customer and User ID on the letter, along with the security token and PIN to login.

-Cheque books – need countersigning to make any payment. All signatories should have had a cheque book and paying in book. MW has freepost envelopes to pay cheques in. Keep a clear record of any going in our out and follow steps below for banking records.

-Debit Cards – should have come to all signatories, please make sure they are activated and the PIN is changed.

-Post Office ‘change withdrawal’and deposit books all came to school. MW to pass on one each to signatories. Change ordered must be telephoned in to the nominated Post Office at least 24hours before pick up. I think Warwick is nominated PO.

Banking Records

-All receipts of everything to be kept! Pass on to Jenny or to Mike when you have a pile.

-Jenny is producing a slip to be signed by any donors which words the donation so that we can spend it flexibly even if they specify a desired project for the money to go on. Greg added the suggestion of the slip containing a receipt for the donor too. Mike to send Jenny a one line intro for the project to go on the slip.

-Mike to collate accounts for previous grant funding to go with CIC records.

Jobs for Sophie

-Facebook – add Sophie as admin for the group

-Filling in volunteer profiles to recruit vols (do-it.org volunteeringmatters.org.uk Cherwell Community and Voluntary Service Local adverts eg Cropredy Crier)

-Local press releases

-Finding sources of funding

Specific Farm Projects

-General projects contained on donations slip such as machinery, tools, etc.

-Main projects are Education (inc. staff time), Staffing (Growers hours), Multipurpose shelter (potting shed/communal space/storage etc)

Funding Plans

-Oxfordshire Agricultural Society Trust

-Parish Council

-All suggested sending an email round if applying for something so we don’t double up and so we can help with applications.

School Club

-After school farm club resumes with a small group on Tuesday 26th Jan, 3pm – 4pm. NB no club on 9th or 16th Feb. Last club on 8th March.
