Administrative Support Assistant

Part Time – 20 hours per week

Competition Open until suitable Candidate is found

The Associationhas a Administrative Support position with a negotiable monthly honorarium in order to increase the capacity of the CDCDA in meeting the needs of its Membership; 31 Square, Round, Community and Clogging Clubs with a total Membership of over 600. This position will be responsible for providing the support necessary for the Board and the organization to function on a daily basis.The position will provide the Clerical Support to ensure that the documents prepared and distributed are correct, in the proper order and complete. The position will report directly to the President of the Board who will set the priorities.The position will also assist all Board Members when necessary.

Core responsibilities

  • Responsible for having a complete current listing of all Dancers and Clubs with names, email info and/or phone numbers. If any information is missing the incumbent will follow up with club contacts by whatever means to get the missing information.
  • Provide information from data basis in formats requested by users
  • Assist the folks involved in the Associations major events and attend and help at such events whenever possible
  • Co-ordinate and facilitate Communications and information between the Association, Executive, Clubs and Dancers. Continual liaison is required between the author and this position to ensure the intent and direction desired by the author is maintained and any changes are agreed upon.
  • Attend the Association Executive meetings and assist Association Secretary in the preparation of the Association Meeting Agendas and associated Minutes
  • Assist the Treasurer by maintaining the Financial records through the entry of expenses and revenues into QuickBooksalong with printing of the Cheques and financial reports
  • Record and maintain copies of documents required for support for Alberta Gaming and Liquor Control, Province, and City fundingwhen needed
  • Develop and maintain a block numeric File system for all our papers and electronic files
  • Maintain the Association office, answer telephone and email inquiries about various dances and functions being hosted by the Association and Clubs
  • Help CDCDA members navigate the website when requested
  • Back up all electronic word and financial files on a weekly basis or more often if the load deems it necessary
  • Generally support the Organization’s Strategic Plan and the Five Year Business Plan

Skills & Qualifications

  • Excellent Communication skills both by Telephone and email
  • Must have good computer skills for document preparation in Word, Excel, PowerPoint, and picture management, scanning etc.
  • Must be flexible in executing duties in order to meet the time frames necessary to deal with the Membership. Not all functions and work needs to be carried out at the CDCDA office
  • Must be familiar with accounting packages and be willing to take on Quick Books
  • Friendly and able to deal with diverse personality types
  • Excellent telephone skills
  • Self-motivated and works well alone or with groups
  • Must be able and willing to take direction and deal with the many demands of the Membership
  • Has the ability to multi-task
  • It would be a benefit, but not necessary for the individual to have a basic knowledge of Square, Round, Community and Clogging but most important is good Office and People skills
