POSITION DESCRIPTION:

Data Administrator

JOB SUMMARY

The Data Administrator is an exempt, Central Office position under the direction of theDeputy Chief of Corporate Services. The Data Administratorserves as a liaison for theSchool District of Philadelphia SDOP – Early Childhood Education, SDOP School Sites, Philadelphia County Assistance Offices (PCAO), CWDS Management Systems, Center for Schools and Communities and the CSC Website.

PRIMARY RESPONSIBILITIES INCLUDE:

  • Monitor and maintain CWDS for the Department of Welfare
  • Process ELECT eligible (cash, Food Stamps, Family Works, EFI) students for enrollment
  • Monitor and maintain the CSC website for Center for Schools and Communities
  • Develop, modify and maintain different computer databases
  • Develop and present statistical reports, graphs and charts
  • Serve as liaison forSchool-based staff and PhiladelphiaCounty Assistant Office (PCAO)
  • Act as the direct point of contact between school-based staff,CSC, and CWDS.
  • Ensure active recruitment
  • Train new ELECT hires on the CSC website
  • Help to ensure the accuracy of CISP’s operational database (CIS-DM) and various other funder-required databases
  • Input and update student, school site, and organizational data on CIS-DM and various other funder-required databases
  • Enter all required data into CIS-DM and other various funder-required databases
  • Work with colleagues and constituents to plan and execute data collection on behalf of CISP and various funding agencies (if required)
  • Help design, test, maintain, and enhance surveys, data collection methods and reporting procedures
  • Provide helpdesk to survey participants, site administrators, and other programmatic staff
  • Process, edit, and track survey responses and other responses related to data collection development
  • Upload/download data into CIS-DM and various other funder-required databases
  • Maintain documentation of, and adhere to data collection polices and procedures
  • May serve as data liaison between programmatic and senior staff, and CISP and funding agencies
  • Process and report various eligibility requirements
  • Coordinate data collection/reporting activities among various CISP and funding agencies’ programs and databases
  • Other related duties as required.

REQUIRED KNOWLEDGE AND SKILLS

  • Excellent oral, written and organizational skills
  • At least 3 years experience in planning, developing, and executing data collection and reporting activities
  • Experience and ability to manage complexities of relational databases
  • Ability to work efficiently within deadlines
  • In depth knowledge of Microsoft Office, Excel and FileMaker Pro
  • Ability to navigate through the Internet efficiently
  • Ability to prioritize and process multiple tasks simultaneously
  • Ability to review and analyze data and prepare necessary reports
  • Knowledge of PCAO programs, welfare reform and various other social services programs impacting and advocating for adolescents
  • Excellent oral and written communications skills

QUALIFICATIONS

  • Completion of a bachelor’s degree at an accredited college or university or equivalent work experience is required.
