CLASS TITLE: COMMUNICATIONS SERVICES COORDINATOR

BASIC FUNCTION:

Under the direction of the Purchasing Manager, oversee and participate in the reproduction of a variety of materials, circulation of College mail, and maintenance of telephone systems and related equipment; coordinate communications, projects and personnel to assure smooth and efficient activities; train and provide work direction and guidance to assigned personnel.

REPRESENTATIVE DUTIES:

ESSENTIAL DUTIES:

Oversee and participate in reproduction of a variety of materials, circulation of College mail, and maintenance of telephone systems and related equipment; assure related activities comply with established policies and procedures.

Coordinate communications, projects and personnel to assure smooth and efficient activities; participate in the development and implementation of duplication, mail and telecommunication projects; resolve related issues, conflicts and discrepancies in a proper and timely manner.

Train and provide work direction and guidance to assigned personnel; assign employee duties and review work for accuracy, completeness and compliance with established standards and procedures; provide back-up for absent personnel as needed.

Oversee and participate in the operation of high speed copiers and related bindery equipment involved in the high volume reproduction of a variety of College materials; receive, schedule and prioritize printing orders; assist staff and customers with planning and developing printing projects.

Serve as a technical resource to personnel and customers regarding printing activities, telecommunication systems and mail circulation; respond to inquiries and provide information concerning related functions, time lines, printing layouts, projects, services, policies and procedures.

Perform a variety of technical duties in the installation, maintenance and repair of telephone systems; program telecommunication systems and related equipment including voicemail features and menus and PBX and Speak@ease telephones; adjust and maintain related hardware and wiring.

Estimate time, material and personnel requirements for duplication and telecommunications projects; provide personnel with price quotes for printing projects; assure personnel and customer duplication and telecommunication needs are met and smooth and timely completion of projects.

Oversee and participate in the receipt, sorting and distribution of incoming and outgoing College District mail and packages; meter outgoing mail from various campus locations.

Maintain duplication equipment in efficient working order; assure elements of copiers are clean; clear paper jams and replace toner as needed; perform minor maintenance and repairs on equipment; arrange for major maintenance and repairs as necessary.

Install telephones, additional lines, extensions and related peripheral equipment as needed; troubleshoot and resolve phone line and other system malfunctions; configure and adjust telephone system settings utilizing designated computer systems as needed.

Operate a centralized PBX telephone switchboard system; direct calls to appropriate personnel; provide general information, directions and assistance to callers as needed.

Prepare and maintain various records and reports related to projects, repairs, requests, invoices, expenses and assigned activities; prepare customer invoices for reproduction services.

Communicate with personnel, outside agencies and the public to exchange information and resolve issues or concerns.

Operate a computer and assigned software; provide input concerning the development and maintenance of databases and software related to assigned functions.

Monitor inventory levels of duplication supplies; order, receive and maintain adequate inventory of supplies; research and provide recommendations concerning the purchase of duplication equipment.

Assist staff and customers with planning for future telecommunication needs as required.

ABILITY TO:

EDUCATION AND EXPERIENCE:

Any combination equivalent to: graduation from high school supplemented by college-level course work or technical training in business, reprographics, telecommunications or related field and three years increasingly responsible experience involving the operation of high speed copiers and related equipment including some work with telecommunication systems.
