COMMITTEE NAME: Welcome Committee
PURPOSE: The committee is responsible for greeting all new residents to the Greens and advising the Board accordingly.
RESPONSIBILITIES: The Committee which consist of 10 block captains and a Chairperson will welcome all new residents to the Greens. During this visit, the Block Captain will provide the new homeowner with a package containing a map of Ascension parish, information on the parish, a copy of the Facilities Governance Policy, information from the ACC, a welcome letter giving information on the Greens Website, pool rules, a Greens telephone directory, with data questionnaire and a welcome letter from the President of the HOA. If the Data Questionnaire was not completed during the initial visit, the block captain will make a follow-up call within one week to obtain the completed questionnaire. The questionnaire should be forwarded to the Committee Chairperson in order that she may send copies to the appropriate people (Al Demarest, The Secretary of the Greens HOA, Toni Koloski and Tootsie Beverly). The Chairperson will be responsible for picking up all notices and bulletins from the PPHOA to be posted or distributed by the block captains to the Greens residents. During the welcome visit, the block captain shall confirm that the new resident has received a copy of the By Laws and Articles of Incorporation. If not, they should be directed to get these documents on the Greens website. If they do not have access to a computer, the Block Captain shall provide these documents.
TERM: The Welcome Committee will be a standing committee and shall exist until dissolved by the Board.
COMMITTEE ORGANIZATION: The committee (block captains) shall consist of as many members as is required to carry out the aforementioned responsibilities. Each block captain shall have a territory assigned covering approximately fifteen (15) homes. The Committee Chair shall be approved by the members of the Welcome Committee. The committee shall meet as frequently as necessary.
RELATIONSHIP TO THE BOARD: Minutes will be taken at all committee meetings and a copy of all committee minutes will be provided to the board upon request. All expenditures must be approved in advance by the Board.
