Minutes of the meeting held on Wednesday 4th June 2014

Matters Arising / Gala arrangements were proceeding.
·  Trish Davidson needed to confirm the number of burgers and sausages we would like to ask for from The Store.
·  Sally will ask Fiona Bell if she can do the programme and also suggest sources for a banner.
·  WRI were unable to do the Teas as a number of their members were committed elsewhere.
·  CATs will do the Gala teas, but as there are a large number of younger children they will need help from the community.
·  Nikki Tait will be asked if she can persuade Kevin McWilliam to come out of retirement as Gala DJ.
·  The second batch of raffle tickets had arrived.
The Estate had confirmed that they own the land beside the public toilets and shop. They had indicated that, subject to Board approval, they would be prepared to contribute toward the cost of installing safety measures. Sally, Nicole and Andrew were to inform the immediate neighbours of the area what plans were to be made.
It was believed that a number of people had submitted forms to the Outdoor Access officer regarding the Feu path. One Community councillor recalled the path being used over several generations with the school bus dropping off older pupils at the Feu to then walk into the village. / Trish/Sally

Gala / Community Councillors had corresponded by email regarding the purchase of a replacement beer tent. It was not felt to be cost effective in either money or labour to buy a marquee which was only used for one afternoon a year. A heavy duty gazebo will be bought instead. This will be easier to erect and store.
More heavy duty bunting was to be purchased.
Roddy Junor was to check the BBQ for any signs of need of repair, perished hoses etc, but a small work party to clean it before Gala will be needed. / Sally

Secretary’s Report and Correspondence / The meeting noted the sad passing of Norman Moncrieff earlier that week.
Collieston had featured well in local press coverage, with the hall opening night being on the front page of both the Ellon times and Advertiser with other articles in the Press and Journal about the Beach Award and Water Quality, plus a photograph of our local business owner Nicole Bell.
A post on Facebook had enquired about whether old Bowls equipment stored at the school was still required. This had been followed up, but no answer known as yet.
Planning applications appeared to be being processed differently with an email sent listing the details.
It had been noted at the Formartine Area Committee meeting of 20th May that the Council wished to “commend the contribution made by community groups and individuals on the delivery of the projects supported by the Investing in towns and Villages fund.

Financial update / Treasurer Huib Attema had sent his apologies, however the current balance is believed to be approximately £10,293 after income and expenditure were taken into account.
Community Centre ongoing work / New blinds for the schoolhouse were to be fitted that week – these had been grant funded. Still to arrive were the outdoor storage box for the defibrillator, a paper storage unit and crates for playgroup.
Glynis Buchan had met with representatives from user groups and had subsequently issued a Health & Safety policy outlining the requirements of the building.
Other purchases included the safety gate/barrier for the hall opening and bottom of the staircase, shelving and a small step ladder. Playgroup was to be asked to please remove the safety barrier after each session.
The group also agreed the purchase of a new Hoover – Sheena to choose which model, and possibly a steam cleaner too. Also agreed in principle was the purchase of a room divider. Andrew Davidson would be asked for his advice on this. Sally was to find out if the panels could be either clear or frosted.
The Community Council will re-visit the idea of a PVS/PRS licence for showing films in the autumn. The cost of a projector screen will also be investigated.
Glynis Buchan was to be asked if she might be able to arrange for the front door to be opened from the outside.
Some items on the snagging list had been completed – e.g. guttering on the shed, but other things were still to be done – including the car park tarmac.. / Nicole

Planning / The application for Forvie Farm had been circulated to all members. No representation or comment was made.

Well Being / The meeting discussed commemorating Norman Moncrieff in some way. Ideas included a bench or a lifebelt, but suggestions would also be gathered from the community. Charles suggested something was also needed to remember John Robertson by. Sally was to contact a calligrapher to ask about a piece of Bog Doggerel to be written on parchment and displayed in the schoolhouse.
Two new families had moved into Swan Place. Sheena will send cards, Suzie will deliver Fact sheets. / Sally
AOCB / ·  Slains School had completed a successful sponsored walk from the school to the village using the Feu path. It was noted that if another event of this kind took place in the future, it would be important to inform everyone what was planned.
·  Nicole said that a Council person had inspected the harbour toilets recently, with good feedback. The InspectorI will investigate whether anything can be done to reinstate lighting in the building, also hot water. They are to have painting done and hopefully also install soap dispensers and hand dryers.
·  Julie suggested that a date be set at the next meeting for a pub night around September/October.
·  Sally asked Community Council members to think of possible ideas to commemorate the 100th Anniversary of World War One – this will be on next month’s agenda.
·  Meg Wallace had asked if the Community council would be interested in the idea of having an exhibition in the hall before Gala. All agreed this would be an excellent idea.
·  Trish Davidson and Nikki Tait had agreed to collect the plants for Formartine in Bloom that week. This was very much appreciated.
·  New waste collection arrangements were being communicated by the Council. Glass will not be included in the collection, however Rainbow Recycling are to extend their route and will collect glass from around the village.
·  Rachel Hitchcock had very kindly offered Philip Kennedy’s dias to the schoolhouse.
·  Sheena asked people to be on the lookout for old card tables as the ones in the sheds were past their best.
