TECHNICAL SERVICES DIVISION

ANNUAL REPORT 2004/2005

In collaboration with the Dean of the Library, the Associate Dean for Public Services and the Heads of Departments in the Library and the Library staff, the Associate Dean of Technical Services has succeeded in leading the Technical Services Division to completion of the following achievements in FY05. All of these projects have resulted in improved services and access to materials for students and faculty. Please see the Department reports for more complete details.

I. ACHIEVEMENTS 2004-20005

This year the Technical Services Division of the Library accomplished the following:

  • Sirsi MSUnicorn Online Library System:Completed Sirsi Unix system upgrade with BCCLS staff to Unicorn version 2003.1.4 in June 2005 to maintain currency in system support and improve security, access and systems functions for Library staff. (See .) Planned, installed and implemented 3M Self-Check system in Circulation Department in July, 2004 with SIP2 interface for MSUnicorn to enable faster and more efficient book checkout service for MSU students, faculty and staff.
  • Library Strategic Plan: Associate Dean for Tech. Services led a workshop in strategic planning in libraries for the Library Administrative Council (December, 2004),chaired the Ad Hoc Library Strategic Planning Committee from January to April 2005 and developed Library Strategic Plan 2005-2007 Draft. (See ) in accordance with MSU Mission Statement and Strategic Plan. Next step is to work with the LAC on finalizing, implementation and assessment of the Library Strategic Plan.
  • Electronic Reserves System: The faculty response to the Docutek Electronic Reserves system continues to grow. In the month of March, 2005 the Library had requests for 7,004 faculty documents as compared to 4,873 requests last year in March.. Head of Circulation coordinates with the OIT E-Reserves server administrator to ensure that patches and upgrades to the system are implemented in a timely manner.
  • Acquisitions Department Automation: Acquisitions staff trained in running reports and ordering online using MSUnicorn Workflows system. The Head of Acquisitions and his staff worked with the Cataloging Department staff to use the MSUnicorn system to produce Collection Development and New Acquisition reports. In FY06, we will be implementing the 9xx ordering protocol with vendors through MSUnicorn, and in March we met with Procurement Services in March to preview the Syquest system that will replace FRS to further streamline and automate the Acquisitions Department work.
  • Cataloging Department Projects: Working with a Rutgers U. LibrarySchool intern, the Head of Cataloging and the Cataloger librarians put together an online digital exhibit on the history of MSU buildings (see ). In MSUnicorn, implemented authority control, and the Head of Cataloging presented on MSU use of authority control at the Sirsi Northeast Users Group meeting at BucknellU. in June, 2005. Worked with Head of Government Documents to move the staff and workspace into the Technical Services offices and to move and integrate the GovDox collection into the Reference and circulating books collections.
  • Staff Development:With Heads of Library Departments, the Associate Dean developed a Library Staff Web site with links to department procedures and policies and important forms, such as online Technical Support Form (see ); reviewed and compared Library staff Job Descriptions to begin thinking on a macro level in structuring departments; participated in management meetings with Library senior staff and Library staff retreats, as well as Change Management Workshops for the Library run by Charles Matteis of MSU Human Resources. Working with the Library Dean, defined, justified and posted the Job Description for the new Systems Librarian faculty position.
  • Montclarion Digitization Project:With the Head of Reference and the Lbirary Technical Support Group, the Associate Dean for Technical Services worked with OCLC Preservation Services to digitize microfilm of Montclarion student newspaper. Also, the project was approved to purchase the Content DM (Digital Management) system to make a searchable online archivefor MSU when the new Systems Librarian is hired and trained. (See below for Goals FY06.)

The Technical Services staff have met the challenges of this year and achieved a great deal through teamwork, collaborating with the Public Services division as well as the faculty and campus-wide support services. The following are our Objectives for the coming year:

II. OBJECTIVES 2005-2006

  • Sirsi MSUnicorn Online Library System FY06 Goals:

1)Upgrade with BCCLS staff MSUnicorn system to install Java Workflows client for System Administration, Circulation and Cataloging ;

2)Assist in hiring and training of Systems Librarian (July 2005) and plan for moving the MSUnicorn server to the Library in December, 2005; and

3)Plan, install and implement 9xx module and training for automated Acquisitions Department ordering through vendor Websites.

4)With the Library OPAC Committee, discussing customizing the online catalog interface to facilitate easier searching and more user-friendly system messages.

  • With Dean of the Library and the Library Administrative Council, finalize Library Strategic Plan,and then work with Library Departments and staff to define and implement goals and tactics in the three-year timeframe and assess these projects for the next strategic planning work.
  • Work with Head of Circulation, and MSU Director of Instructional Technology to migrate the Docutek E-Reserves system and workflow into the new BlackBoard Content Management System E-Reserves module (Spring 2006 implementation).
  • In cooperation with Cybercafe Committee and Library Public Services Division, assist in planning for Cybercafe construction and opening in 2006.
  • Continuing work with the Montclarion Digitization Project Task Force, phase in the production of a Web-based digital archive of the complete run of the Montclarion student newspaper at Phase 4: Planning and implementing the index and retrieval engine for the archive using Content DM software hosted at OCLC in conjunction with the new Systems Librarian.
  • In conjunction with Associate Dean of Public Services and the Dean of the Library, defining the new Collection Management Librarian position with duties in building a Library Liaison Team for improved collection development activities (projected start-date in Spring 2006). Also, meeting with faculty and staff to manage Acquisitions Department in preparation for the Head of Acquisitions retirement in August, 2005.
