INTERIM NURSERY ADMINISTRATOR

Full time (35 hours a week)

Salary range - £18,000 - £19,000 per annum (immediate start needed – anticipated requirement for 8 – 12 weeks)

Based at Coin Street neighbourhood centre, 108 Stamford Street, South Bank London SE1 9NH

We are looking for a full-time administrator to carry out day-to-day duties in the nursery office located in SE1 for an initial period of 8-12 weeks. You will have proven administration skills to support our small yet busy Nursery team. As first point of contact for the team and for parents, you will be customer focused, enthusiastic, flexible and able to work on your own initiative. Working hours are on a shift rota basis, either from 8:00am to 4:00pm, or from 10:00am to 6:00pm.

Based in the Coin Street neighbourhood centre, minutes from Waterloo and Blackfriars stations and at the heart of a thriving local community, our 84-place day nursery and specialist baby care unit provides high quality, affordable childcare and education for children from 3 months to 5 years. We put the child at the centre of everything we do, alongside an extensive programme of support for parents and families, and are proud to have been judged as an outstanding family and children’s centre by Ofsted.

Key responsibilities

  1. Responsible for administrative tasks relating to the Coin Street Family and Children’s Centre (CSfcc) to ensure all childcare services are effectively delivered, monitored, reported and evaluated
  2. Assist the Operations Manager to provide effective and accurate information, liaising with the wider Finance team to ensure financial processes and controls are followed
  3. Maintain an accurate and current waiting list for nursery places ensuring that accurate information is recorded in the database
  4. Update records for all children attending the nursery and undertake regular contact reviews as required, to ensure key information is current and accessible to relevant staff and in emergencies
  5. Assist with bookings and dealing with enquiries for the Holiday Play Scheme and Crèche sessions
  6. Maintain an efficient filing system and ensure secure and appropriate storage of all confidential and sensitive data
  7. Order stationery and general office, food and cleaning supplies for the centre, to ensure stocks are held and are purchased within budgetary limits
  8. Provide general meeting support, including arranging meetings, putting together and distributing agendas and collating papers
  9. Ensure parent notice boards are kept up to date, distribution of the parent handbooks, production of a monthly newsletter for parents/carers and website updates in liaison with Marketing team
  10. To undertake any other reasonable duties, as may be required from time to time, as consistent with the scope of this role.

Knowledge and experience

Essential

  • A good standard of education
  • Proven administration and customer service experience
  • Ability to work in a small team in a busy office
  • Excellent computer skills, including Word, Excel, and Outlook, and able to learn other software required for the role (First Steps)
  • Organised and positive approach to administrative tasks
  • Experience of working in a childcare setting is desirable, though not essential.

Skills and personal qualities

  • A good level of communication ability via written media, telephone and face to face
  • Able to demonstrate good organisational skills and a pro-active approach
  • High accuracy and attention to detail
  • A high level of computer literacy including use of Word, Excel, Access, Databases, email and internet
  • An understanding of safeguarding and child protection issues
