Student Registration Business Process:

At a small, north Georgia college, a student (James) initiates the class registration process by completing a Course Request (CR) form that lists the courses he wishes to take that semester. This is sent to the University.

This form is first received by James’ assigned guidance counselor, who looks it over and determines whether or not it is consistent with James’ previously filed program of study (POS) which the counselor retrieves from the College’s student information system (SIS). If the request courses are not consistent with the POS, or if there’s not a POS on file, the CR is returned to James stating what must be done to correct any problems detected. James must then re-submit the CR form after making necessary changes to it (and/or filing a POS with the College). This ends the current process for James’ registration request.

If the CR is OK, per the guidance counselor, then the CR is passed along to the course registrar, Sunala. Sunala first checks to see if James is cleared financially (i.e. no outstanding fees) by calling up James’ financial record from SIS. If James passes this financial check, then Sunala begins work on the CR itself. If James doesn’t pass the financial check, then a notice is sent to him indicating this condition and requesting he remedy it. This ends the process.

Assuming the financial check is OK, Sunala then attempts to register James in each course he has listed on his CR. If the course is full, James is placed on stand-by for the course. If the course can accept James (i.e., it’s not full), he’s enrolled in that course. When this is completed for all requested course, a pro forma tuition bill is prepared by Adriane in Accounts Receivable. Finally, Sunala sends James the outcome of the course registration process (list of courses enrolled and stand-by) and then Adriane sends James the pro forma tuition bill based on courses he was successfully registered into. That ends the process.

To-do:

  1. You are to use Signavio’s Process Modeler to represent this process.
  2. Create swimlanes within the main process pool for each of the roles identified. The student (customer) of the process will have his or her own pool. The roles would be: Counselor, Registrar, and Accounts Receivable.
  3. Before class submission: a) you may keep a working copy in the AH3 folder in the Signavio site AND b) you MUST submit a .pdf image of your solution in the proper dropbox in D2L.
  4. Bring a hardcopy of your model to class to share with your team to arrive at the “best” solution in class.
