Introduction
It is always preferable that gym facilities are manned and the Fitness Industry Association recommends that all gym users should have a health screening prior to using the facilities.However in some situations staffing may not be practical or commercially feasible i.e. External membership cannot fund staff costs. This shouldalways be balanced with the H&S implications involved.Below are some of the reasons why staffing a gym is preferable:
- So that adequate instruction can be given to the user to ensure that equipment is being used correctly and exercise carried out safely
- So that in the event that an accident does occur, there is someone qualified to deal with it on hand.
- To ensure that there is someone onsite who can take responsibility for the general day to day upkeep and maintenance of the equipment in order to minimise risk to the users.
- To ensure that all users are screened in order to identify any health reasons why admittance should not be allowed.
Building Specification
In an unmanned facility we would recommendthat the following facilities are included:
1. Supply of drinking water It is essential that water is available for anyone taking part in exercise
2. CCTVThere should be a CCTV link that can be monitored in a continuously manned area of the facility so that someone can respond in the event of an emergency
3. AlarmAn alarm point should be provided that sounds in a manned area. This will allow users to summon assistance should they feel it is needed
4. Air ConditioningPreferably the room should be air-conditioned which will reduce the risk of the user over-heating whilst exercising
5. Equipment SignageThere should be appropriate signage stating how to use each piece of equipment safely.
6. Disclaimer SignageThere should be signage stating that the club is not staffed and used at the participants own risk.
7. Swipe card accessThere needs to be a means for limiting access in order to ensure that only persons who had completed a satisfactory PARQ (see H&S) can gain access

Equipment Specification
It is essential that the equipment supplied offers the minimum risk possible
to the user.This means that only cardio vascular equipment where the user
controls themovement should be included i.e. no treadmills! No equipment
which involveslifting weights above the head should be included due to the
risk to persons with high blood pressure ie. Shoulder Press. It is also
advisable not toinclude free weights as these can easily be used incorrectly,
dropped, stolen etc
Below is a summary of a proposed mix of equipment although this
would largely depend on space available and budgets etc. There is also an
indication of cost through using 3d Leisure group purchasing agreements:

Health & Safety
Physical Activity Readiness Questionnaire (PARQ)
Every person wishing to use the facility would first need to complete a
PARQ. If any positive responses were given then access can not be given to
the facility. The member of staff monitoring the completing of the PARQ
must have prior training on their completing and administration.In a hotel situation the completing of the PARQ would therefore need to done at reception. Reception staff would need to be trained in this administration process. Training on this process can be provided by 3d Leisure.

Monitoring
There must be a means for monitoring the facility at all times (i.e. CCTV) in
order that a member of staff can respond in the event of an emergency.
This means that the monitoring needs to be from a continuously staffed area
with aqualified first aider availableto respond at all times.
Instructional Signage
All fitness equipment provided must have clearly displayed instructions as to
it safe and efficient use. If the club is in a facility where foreign visitors may have access then instructions should be provided in alternative dialect also.
Access
Due to the need for the use of a PARQ then access to the facility needs to be limited to only those persons who have first visited reception. It is therefore suggested that the door should be equipped with a card access unit with cards issued at reception once a positive PARQ has been received.
Repair & Maintenance
Maintenance
All equipment must be maintained in accordance with the manufacturers
instructions which will involve some daily and weekly checks, these will need
to be carried out by the in-house maintenance team. A full preventative
maintenance contract should also be taken out with the relevant equipment
supplier

Repair
If any equipment does have a defect identified then it must be taken out of
use until repair has been completed.
Promotion
As the facility will only be for residents of the hotel, promotion will
be limited but should include the following:
- Signage on all corridors and in all lifts
- Inclusion in the hotel brochure
- Inclusion on the hotel website
- Verbal notification to all guests upon booking
- Information sheet in all bedrooms

If you have answered any of the above questions with a yes you will need to consult with your GP BEFORE you start becoming more physically active or BEFORE you have a fitness appraisal. We will need written confirmation from your GP before you begin using the gym.

I have read, understood and completed the above questionnaire and acknowledge that there are risks and dangers inherent in physical exercise and duly undertake the activity at my own risk. Any liability on the part of the operators is excluded unless negligence can be proven. I agree to observe the rules and conditions of membership. I also acknowledge that I must not use any piece of equipment for which I have not been shown how to use by an instructor. I confirm that the information which I have provided is correct at this time and should I become aware of any relevant changes to my health or condition, I will inform an instructor.
