Meeting called to order at 19:00 hours by President Kolb, followed by the Pledge of Allegiance and a Moment of Silence.

Secretary Youngblood reported that the Bus trip to Corning on October 7 was successful, with 19 members going on the trip. There was an apparent misunderstanding between what our contract read from S&S Limo regarding the type of bus we were to have, and what we received. The contract stated a “limo coach” and we were supplied a shuttle bus instead. Secretary Youngblood spoke with the Manager of Customer Service (Donald Felter) at S&S within 24 hours after our trip, and he assured her that if we decide to use their company again, S&S will provide us with a deluxe limo bus at a rate well below the $900 price we had paid Mancuso limo in past years, and include a $250 credit from the October 7 invoice, toward the cost of a future trip. He apologized for the obvious error on their part, and assured her that we would be very satisfied with any future trips we would plan with them. We will be discussing options for a possible Spring, 2018 trip at future monthly meetings, and are looking for suggested areas to visit that would fit in an 8-10 hour timeframe.

President Kolb sent a letter to the owners of Leaf and Bean, thanking them for donating coffee for our bus trip. This is one of several donations of coffee that they have made to our Club for an event.

President Kolb read an Application for Membership to the Exempt Club (including first year’s dues) from Jennifer Hoffman.

There was also a discussion around the last Chicken BBQ fundraiser in September, and how we did not sell out of dinners at this event. It was suggested to try and find out what other local events will be going on around the time in May and in September that we have our BBQ’s for the future. It will involve checking on-line or perhaps via telephone to find out when other similar events are routinely scheduled, i.e., the Gun Raffle at the Legion on Scottsville Chili Road, the Boy Scouts Chicken BBQ, etc.

Treasurer Auerhahn reminded the members that our annual Christmas Party will be held at Whittier Road Party House on Saturday, December 10, beginning at 4PM. The consensus from the Committee members, and the Club Officers is to have the Classic Buffet, which has Roast Sirloin of Beef, instead of the Deluxe Buffet last year which has Prime Rib, which would be a savings to our Club. Mike Paz will be the DJ again, and there will be beer, wine, and soda offered as in past years. Treasurer Auerhahn said that if anyone is interested in chairing this event for future years, please let the Officers know, or if anyone has any other ideas of where to hold this event in the future.

President Kolb reminded the members that next month’s meeting will be on November 15, and will be our annual Veterans Dinner. Gary Perkins volunteered to handle this event which will be a pasta dinner, and a flyer will be mailed out soon. A response is important, so that an accurate headcount can be forwarded to Gary. Treasurer Auerhahn will be contacting Gary to forward a check to him to purchase the items needed for preparing this dinner.

Secretary Youngblood reported that Bill Stokes was taken by ambulance yesterday, and is in Strong Hospital. She had spoken with him about a week ago, and he shared that his cancer has spread to his bones. There will be a fruit basket sent to Glenn and Mary Sickles who are recuperating from an illness. Thank you notes were read from Ray and Judy Bubel for a fruit basket sent recently, and from the First Presbyterian Church of Chili for a donation made in memory of Brian Naugle, Dan Cuffe’s step father. Please continue to keep our members who are facing health challenges in your thoughts and prayers.

President Kolb spoke with Ray Bubel recently, and he is struggling with a lack of appetite which is contributing to his weight loss. He will be having further cardiac tests in the near future.

President Kolb asked if there was anyone at this evening’s meeting that would be willing to handle the Election duty for the 2018 election. Bob Mattil volunteered to handle this duty once again. If anyone is interested in running for a specific office for the Exempt Club for 2018, please contact Bob as soon as possible.

President Kolb re-addressed the subject of gun raffles that are routinely held at various local fire departments (of which several are run by the Exempt members), and he invited Bob Mattil to share some information regarding Churchville Fire Department’s event. Bob stated he has been on the committee at Churchville for several years. He said that this year, they will be calling their event a “Sportsmans Raffle” so that when you approach businesses for donations, there may be a better chance to receive a donation if you state it is a Sportsmans Raffle, instead of using the term “Gun Raffle”. He said their committee consists of 6 people, and they will be starting planning this event now, and it will not be held until the Spring of 2018. He said that their committee purchases gift cards from a sporting goods store, which is the same value each as each of the guns advertised for the event. In that way, the winner of each gift card has the option to purchase that gun (subject to a background check), or some other item from that store. Bob stated that they print usually 650 tickets, and sell each ticket for $20.00. He said it takes a commitment from the members to sell the tickets; usually asking each member sell 10 tickets. Bob said you also have to be diligent to check to see when other departments and organizations are holding their raffles, to avoid a possible conflict. He said you also have to get a committed group of members to work the event, and to include side raffles, which will bring in additional revenue. They have raffled a wheelbarrow filled with liquor and beer, and that was popular. They also have had a Chinese Auction, and Pick of the Table, which also worked well for them, in addition to an hourly 50/50. The hots and burgers and beer they offer is free to those attending, and also require soliciting donations for food as well as the beer. He suggested starting at least 4 to 5 months in advance to organize a Raffle event such as this, and plan on having the event last around 4 hours. Bob also said they distribute flyers around to local businesses to post.

President Kolb said he will continue to attempt to gain more information for further discussion. If anyone else has any information to share about similar events, please contact him via phone or email. We need to remain diligent to think of possible fundraising event ideas to keep our Club solvent for the future.

Vice President Maddalena suggested that some of our members should plan on attending these raffle events to see first hand how they are operated. Bob Mattil stated he will let the Officers know when the date is set for Churchville’s Sportsmans’ Raffle, as soon as it is announced.

Treasurer Auerhahn reminded those in attendance that any idea of having such a Raffle would need preapproval from the CFD Board of Directors.

Jim Lechner reminded those in attendance of the NY Warrior Alliance donation collection which will take place at CFD Co. 1 on Saturday, November 11. Please check the truckrooms where a flyer is posted, listing the items they are requesting.
