March HAYAA Cheer Board Minutes

March 12, 2015

The meeting was called to order by Brenda Blushat 6pm

In attendance

Approval of Minutes

The minutes were read from the February 12, 2015, meeting and approved.

Brenda- Review HAYAA Execute Meeting & LCACC Meeting

HAYAA By-Laws will be completed at the April meeting and we will review them after HAYAA EX approves them.. A candidate for the HAYAA Treasure position will be interview at the April meeting.

LCACC- Weberville and Fowlerville are no longer in the football league, but will compete at our Cheerfest.

Hosting community no longer needs to provide Lunch for teams at cheerfest.

New Start Date for practice is Aug 3rd.

Coaching/ Equipment- Sarah Mayer

Motion to accept Amanda Ward and Rachael Smith as our Instructional Gold coaches. Passed 7-0

Amanda Ward has Mid-American Pom experience and her assistant Rachel has Cheer experience. Amanda has a child in the program and will bring lots of knowledge and enthusiasm to our program.

First Coaches meeting e on Feb 26th went very well. All but 2 coaches attended. They were informed of all dates we have set up so far.

They expressed an interested in encouraging all girls to attend UCA along with HHS stunt/cheer clinics.

All coaches were eager to receive additional stunt training.

The idea of “sideline only” option was brought up, and many thought it was a great option. We will not advertise this option, but coaches may propose it to those girl who seem less committed, or have more time restraints.

Coaches were told about stunt round changes for festival, and that all routines will follow MSHSA guidelines (no music)

Coaches wanted to make sure we set up another dress rehearsal this year, as it was very beneficial to all teams.

EQUIPMENT-

Sarah provided our board with uniform inventory report.

We Priced out embroidery for the back of Warm up Jackets. At $10/jacket, too expensive for us to cover, but could do as a possible fundraiser….girls could buy their jackets for $30 with embroidery.

Hilary will contact MC sports and let them know we are going with Nike sidelines and Navy Crop Top/Turtleneck body suits for all age division

Budget

Monthly spending report reviewed. Motion to pass all spending – Hilary, seconded by Charity. 7-0

Practice pack Logo approved.

Still waiting for price quote on 2 t-shirts and 2-pairs of shorts.

Need a design for parent Festival shirt

Need a design for t-shirts for our “helpers

Jamie Jordan ( a cheer mom) would like to design custom shirts for our parents, she has yet to give us any proposals.

Festival- Hilary

HHS is booked for October 25th. Per the Athletic directors request, we will need to order additional cases of toilet paper for the day, and sign a contract stating if we need to have and emergency septic pumping at HHS we will pay for it.

We will contract the same DJ as the 2014 Cheerfest

Committees are starting to form

David Mayer will head up our parking lot/security. We will also have a building manager from HHS working with David. Ray blush and Greg Schaecher will also be a part of that committee.

Ken Hartmann’s company will let us borrow hand held radios for communication that day

We no longer need to provide Lunches! That is a $6000 savings for us!

LCACC has changed it’s By-Laws and we may now charge $5 at the door.

Vendors- we will charge $50/table and make a contract that we get 20% of the sales at the end of the evening.

Color Scheme and Logo has been approved.

As of today there are 75 girls registered.

Very few issues with the online registration.
