Monthly Board Meeting

September 17th 2014

Jamestown Savings Bank Ice Arena

Attendance: Greg Noon, Russ Bell, Lisa Levenstein, Christine Munson, Merrie Maxon, Joe Hirliman, Ted Farnham, Hyla Brinkley, Henry Tomassi, Stephanie DePonceau, Patricia D’Angelo, Carl Olson, Travis Sanders, Chris Spence, Mary Fales, Danielle Bergman, Mike Brown

Call to order: 6:35 p.m.

Greg Noon makes a motion to approve the August mins, Ted Farnham seconds it…all are in favor and no one is opposed.

President’s Report

-Not too much this month as there was not a WNY meeting

-We’ve already had one score sheet fine, managers need to make sure score sheets are being filled out completely

-Managers also need to be monitoring how many penalties their players are taking; WNY will be monitoring this big time this year, especially at the squirt and peewee levels. (5 body checking penalties in a season and they will get suspended)

VP Travel

Nothing this month

VP House

-Will be playing in ADM league out of Buffalo, WNY Mite Jamboree league, only for 06 & 07 birth years, 13 players including goalie on a team.

-Jamborees will be cross-ice with 6 teams playing at once

-We are hoping to be able to put together 2 teams but currently have enough for one.

-We are looking to host a jamboree here at home, and it would be the responsibility of the team to cover the jamboree cost, either as like a tournament fee or built into their ice bill.

Greg Noon makes a motion for us to host a jamboree, with the additional cost to be determined at a later date, but looking at $30 or $40 dollars for the families of the select jamboree team. Henry Tomassi seconds it, and all are in favor and no one is opposed.

-Rink House program proposal

-They would like to use the name Keep it in Jamestown

-It will remain non-checking and they will divide up the group per correct age if possible

-They will find sponsors for team jerseys for up to four teams.

-Practice Monday’s 5:30-6:30, games on Thursday’s 7-8:30

-Practices will start Oct 13th and run thru February

-Xpress players and staff will help assist coach as well as officiate

-Jim Cirbus and Fred Krywy have agreed to coach also

-Whoever reg with the program will get discounted Xpress tickets and play some mid games between periods

-They are working on a grant to cover the entire season to try and make it free

-If not cost will be $350 per player.

-Jim Cirbus will be the head person for the house program

-CCYHA will need a list of all kids, coaches, team rosters, USA Hockey registrations (both player and coaches) Safe Sport certificates, age appropriate modules and screenings.

-Carl Olson will email Brian C and Jim Cirbus about all the requirements that need to be fulfilled and then all info must be forwarded on to Coaching Coordinator.

ADM/Beginner sign up this Friday September 19th during open skate, also October 4th during the Sabres Alumni game, with more dates to be announced.

Coaching Coordinator

-There will be a level 4 clinic at RIT in December of this year

-ADM declarations need to be in by Nov 1st

-Cross-ice nets are available through the Grow the Game Grant if we are interested, we would by them and they would reimburse us.

-Screenings need to be done by Oct 15th

-Level 1 Beginner coaches need to take 8u module, there will be no more waiver or exceptions on this

-CEP’s need to be done by Dec 31st

High School Coach

-:Per our new coaching selection process, the board must vote in the high school coach each year

-This year we received applications from Bruce Hokanson, Randy Stuart, Travis Sanders and Joe Gerace

-The board voted with 4 votes for Bruce, and 4 votes for Randy and 2 votes for Joe

-The tiebreaker goes to our former president Liz Morgan who broke the tie by casting her vote for Randy Stuart.

Henry Tomassi makes a motion to accept Randy Stuart as head coach for the varsity team. Russ Bell seconds it.

Obstaining from approving it are Greg Noon, Danielle Bergman, Christine Munson, Carl Olson and Mary Fales.

Registrar Report

-  All teams have rosters in, with currently only one player redlined for birth certificate verification.

Treasurer Report

-Chris Munson gave the treasurer report. Concerned with the lack of fundraising last season in relation to present liquidity.

-We have approximately $8,000.00 in ice fees from last season that are still owed

-Collection efforts are continuing with expectations of collecting the majority.

-Small claims court is an option

-Our fund balance is approximately $25,000.00 with our September ice bill expected to be $15,000.00.

Greg Noon makes a motion to approve the treasurer report. Henry Tomassi seconds it and all are in favor with no one opposed.

Ice Coordinator

-Getting everyone schedules back and home games are scheduled

-Need two weeks notice when returning unused ice

-Greg needs to know any ice time that we are scheduling for scrimmages or extra games, please try to let them know by Tuesday of that week if you are scheduling a game that weekend. It takes time to schedule refs and etc.

-Oct 18th is the reffing clinic in Jamestown if anyone is interested; we currently have a shortage of refs

Tournament Director

-Starting to get more and more inquiries for the tournament

-Limiting it to 36 teams this year.

New Business

Official Laker Uniforms

-Laker teams are supposed to have black helmets

-Varsity is supposed to be red

-First half is due by Oct 30th

-Second half is due by Jan 15th

-If you’re not paid in full by Jan 15th a $10 a month finance charge will be assessed until the bill is paid in full. (Unless a contract is formed and discussed with Christine Munson, and her only)

-Midgets must be paid in full by Oct 31st

Ted Farnham makes a motion to approve the 2014-2015 ice fees listed above and the payment dates and penalties that are also listed above. Carl Olson seconds it, and all are in favor and no one is opposed.

Old Business

-3 director at large positions are open and Joe Hirliman is appointing Merrie Maxon, Patty D’Angelo, and Stephanie DePonceau who will be in charge of fundraising, a newsletter etc

Russ Bell makes a motion to approve the Bantams fundraising with the Xpress team and the Squirts pancake breakfast and the Peewee team’s pancake breakfast on Nov 23rd. Greg Noon seconds it and all are in favor and no one is opposed.
