POSITION DESCRIPTION: Assistant Director, Alumni Relations and Special Events

Reports To: Executive Director, Advancement

Begins: August 2016

Terms: Full-time/Salaried

Summary:The Assistant Director of Alumni Relations and Special Events provides leadership and management to all alumni relations and special event programs and initiatives of the Advancement office at CCHS. The Assistant Director is the primary liaison between Charlotte Catholic and its network of alumni.

The Assistant Director is responsible for implementing cultivation and stewardship events that will engage all constituencies of the CCHS as well as generate funds from alumni, parents, parents of alumni, grandparents, parishioners, local businesses and friends of the High School.

This position will:

  • Develop, market, and implement alumni engagement programs and events which communicate the importance of philanthropy and encourage alumni participation.
  • Work with the Advancement Director on strategies to increase the alumni giving rate and to identify and qualify alumni prospects.
  • Serve as primary staff liaison to the CCHS Alumni Board of Directors.
  • Maintain and update the alumni website and e-newsletter in collaboration with the advancement, IT and communications staff
  • Execute all aspects of special event planning forHomecoming, Hall of Fame, Basketball Tournament and other alumni events.
  • Serve as primary staff liaison/event director for the annual CCHS Gala and parent party.
  • Establish and build relationships with a wide range of alumni, locally, regionally, and nationally; develop a communication plan to include regular communication via direct, face-to-face contact, electronic and other strategic methods of communication.
  • Manage and execute successful development events for CCHS, its Foundation and affiliates
  • Assure an effective event planning process is in place for each fundraising event on the CCHS calendar
  • Develop a process which can evaluate current and new event ideas and their viability given staff and budget resources
  • Develop a system to solicit feedback from all demographics within the CCHS family to determine which events - current or prospective - most meet the needs of each constituency and will assure greater participation in the life of the school
  • Effectively recruit, orient and train volunteers to support special event activity
  • Under the direction of the Advancement Director, develop marketing material that highlights sponsorship opportunities at all events and helps provide budget-relieving cash and in-kind support
  • Execute a comprehensive development program based on the direction of the Executive Director by managing a portfolio of major gift prospects
  • Help maintain the donor database, including notes related to all interaction and strategies with prospects and donors
  • Other responsibilities as assigned by the Advancement Director and the Principal

This position will be evaluated by:

  • Attendance at events, both in total numbers and targeted populations
  • Funds raised through the alumni annual fund and through events where revenue goals are the clear objective
  • Quality of the events based on participant feedback and quality measures
  • Events managed within scheduling and budget constraints

Qualifications:

  • Bachelor’s Degree
  • 3-5 years alumni relations or fundraising/event planning experience
  • Experience in managing interpersonal relationships with faculty, staff, alumni, donors and volunteers
  • Must be comfortable in fundraising environment and with making direct contact with potential or existing donors
  • Ability to demonstrate initiative and manage details within the broader vision of the overall CCHS Advancement strategies
  • Willingness to work some evenings and/or weekends when required to attend events.
  • Proficiency in Microsoft Office; knowledge or experience in Raiser’s Edge, Greater Giving or other donor management software program preferred.
