Chambers Support Officer
Purpose: To support all operational areas of Civitas Law Barristers Chambers. The post is the vital link between clients at first point of contact and the specialist capabilities of the Clerks Room. The role also supports wider administration of Chambers. Working with both Chambers Director and Senior Clerk to maintain Civitas Law’s position as Wales’s leading specialist civil and public law Barrister’s Chambers.
Reports to: Chambers Director and Senior Clerk
Duties
- To provide administrative support to the Clerks.
- To handle calls to chambers
- To be responsible for arranging for couriers to deliver mail and special deliveries and oversee the logging of all post. Ensuring the post is delivered each day and collected each night.
- To assist in booking in post
- To assist in checking court hearing arrangements
- To support the handling of telephone queries from clients
- To assist in the production of hard copy case papers for Members of Chambers
- To support the handling of queries regarding case fees
- To support the maintenance of the library system.
- To maintain the reception area and the main office area in a clean and tidy condition. All booklets and brochures are to be stocked at a reasonable level.
- To ensure that the refreshment facilities are in working order and adequately supplied.
- To book the meeting rooms for conferences and seminars and to arrange conference calls.
- To order stationary and maintain all the printers with toner and paper.
- To ensure that office equipment is serviced regularly.
- To be responsible for waste recycling.
- To support the planning of Chambersevents.
- To liaise with the cleaning company and to arrange for the cleaning of windows and rooms after any events.
- To look after the petty cash and to keep a record of expenditure.
- To assist in the printing of Chambers materials
- To act as First Aider and Fire Warden.
- In addition to the duties which the job normally entails the employee may, from time to time, be required to undertake additional or other duties as necessary to meet the needs of the employers business.
Person specification
- Must possess excellent communication skills, able to communicate both orally and in writing.
- Must possess IT skills, able to use e mail, Word and Excel. Capable of receiving training to utilise chambers specific case management software.
- Must be able to demonstrate an ability to focus attention to detail
- Will be self-driven and able to organise their own tasks, working to deadlines and capable of coordinating several task simultaneously
- Will have experience of working as part of team
- Must be able to assess and respond to the needs of callers and visitors
- Must have a track record of handling confidential information
- Will be able to manage ordering processes with a range of suppliers.
- Having experience of working within the legal or courts sector is desirable
