o  We have a masterlist and it is easier to use faculty as far possible as allows for greater consistency from year-to-year.

o  Former participants are always a good resource

o  We need minimum five teams submitting a written report so we would like 6-7 participating

-  Ensure FactSet is onboard for sponsoring with platform access and local final dinner

September

-  Secure subject company with help of board and members. Fredrik Ahlin and Mark Shay are good resources. We should also use Karin von Matern (IR at Atlas Copco)

October

-  Early in the month, registration deadline.

o  Assign a color to each team to allow for objectivity

o  Email rules and important dates to team leaders and/or university representatives. If faculty are involved, include them on the email.

o  Send a list of students (with emails that are not hotmail, gmail etc) so that they set-up workstation access to all students

-  Mid-month: kick off

o  If we want to have it in Stockholm we can use CV Search

o  Send in all information to CFAI such as teams, schedule etc, there is an online tool for this

-  Secure graders (3). These must be CFAs and the workload is about 8 hours in late December.

-  Speak to SHB (Peter Karlsson) regarding using Blaiseholms torg 8 for the local final

o  Requirements:

§  Start at 17.00 but need access from 16.15

§  4 break-out rooms for the teams with water and fruits

§  Champagne and canapés after the presentations (18.30ish)

November

-  Mid/end month: subject company presentation

o  Either at venue or over telephone

o  All teams are allowed to ask one supplementing question via email afterwards, coordinate and make sure all teams receive the same information

-  Team composition cannot change when it is less than two weeks left to submit the written report

-  Information to the teams

December

-  The Friday before Christmas holidays: written reports due

o  Make sure they do not write their names and use the appropriate cover/back page

-  Plan local final (4 teams)

o  Reserve hotels

o  Venue for dinner

-  Decide and contact independent judges for the final event. For the panel of judges, the sponsor should supply 1-2, Society of Sweden minimum 1, 2-3 independent judges (hopefully 1 journalist to get more publicity).

o  SHB sends one

o  SEB sends one

o  Tomas Bodin and Lars Söderfjell have participated numerous times. Tomas is fantastic

o  Lotta Faxen was part of last year’s jury and would be delighted to come back

-  Order trophy from Pokalhuset (they have our logo)

-  Order champagne (winning team, graders, judges) and books (students, graders, judges) for the final

-  Secure judges (4-5)

o  1 from SHB (Peter Karlsson will coordinate)

o  Thomas Brodin, Cliens

o  Lars Söderfjell, Ålandsbanken

o  1 from SEB

o  At least one female, Lotta Faxen was great last year

January

-  Mid January, graders submit their results

o  Top four teams make it to the final

-  Confirm finalist teams and make travel reservations as needed

-  Create a master grading teamplate

-  Provide information for presentation

o  Guidelines

o  Power point templates

-  Late January, send out invitations to the event

February

-  Local final mid-Feb but make sure that the date does not coincide with sportlov

-  Have the students email the presentation but also bring on a USB stick. We have had issues with different versions of Power Point (the students have a newer version than the computer at SHB)

-  Make a brief presentation for the final

-  During the event

o  Bring printed grading-sheets and pens

o  Make sure to have a designated photographer

o  The teams arrive 45 min before the start time

o  Have a draw regarding presentation order

o  Teams presenting second or last should not be allowed to watch the first presentation(s)

-  After the presentations, the judges get up to 30 minutes to decide a winner. The score is then weighted evenly with score of the research report. Others wait outside and enjoy refreshments.

-  After the event

o  Give written feedback to the finalist teams

o  Send thank you emails to all judges (with the reports maybe)

o  Upload photos and information on the website about the winning team and the finalists

o  Press release?
