CERAMIC ART LONDON 2017
1. DATES AND VENUE
Ceramic Art London 2017 (CAL2017) takes place: Friday 31 March to Sunday 2 April 2017 (Private View Thursday 30 March)

There is no direct telephone link to CAL2017. All enquiries should be referred to Ceramic Art London (CPA office), direct line 020 3137 0750/ 07958 397794. Please make arrangements to have a mobile phone if you anticipate the need to be contacted during CAL 2017.
2. EXHIBITION HOURS
Open to the general public
Friday 31 March 2017 10.00am – 6.00pm
Saturday 1 April 2017 10.00am – 6.00pm
Sunday 2 April 2017 10.00am – 5.00pm
Exhibitors will have daily access to the Galleries on Exhibition days between the following times. Please note three hours have been allowed for you to take-down and arrange for collection of your work on the last day, but we hope to clear the gallery before this.
Friday 9.00am – 7.00pm
Saturday 9.00am – 7.00pm
Sunday 9.00am – 8.00pm
Please aim to be on your Stand and ready at least 15 minutes before the gallery opens to the public.
On Thursday 30 March, Set-Up Day, the gallery will be open to Exhibitors from 9.00am to 5.00pm. Entrance on Set-up Day will be via the HANDYSIDE entrance until 5pm, (either Gate 22 loading Bay or bay parking further round) thereafter via Front Entrance in Granary Square.
3. PRIVATE VIEW
A VIP viewing evening will be hosted for the evening of Thursday 30 March 6.00-8.00pm. Set up of stands must therefore be completed by 5pm. If you are new to CAL please be ready by 4pm when the Ceramic Review award will be judged.
4. GENERAL POINTS ON DELIVERY OF WORK AND SETTING-UP
Thursday 30 March, is the only day you may deliver your work for Ceramic Art London 2017, unless otherwise instructed. However, you may use a warehousing service, such as that provided by Duncan Coales Logistics (see below), if you need your stock to arrive beforehand.
Please note that CSM Regulations state children (persons under 16) may not be present in the College building during the setting-up or during the take-down periods. This is a very important safety issue and must be adhered to. Children may not be present on stands during the show unless visiting.
Please aim to finish dressing your Stand by 5pm at the latest on Thursday 30 March.
Exhibitor Badges/passes: Each Exhibitor will receive two Exhibitors' badges on the set-up day. A colour coded wrist band will allow unrestricted entry during the event and the set-up and take-down periods. These should be worn at all times during CAL2017; you can be refused entry by Security if you do not wear them!
Work passes for additional helpers during the set-up and take-down periods will be available at the registration desk on the days in question. These will not give entry to the galleries during CAL2017.
DELIVERY OF EXHIBITS AND DISPLAYS – THURSDAY 30 March
(a) Delivery by Exhibitor
· Entry to the gallery during set-up and take-down will be via HANDYSIDE STREET.
· You will be allocated a 30 minute timed delivery slot between 9.00am and 3.00pm to park and unload your work to ensure even traffic flow at the venue. It is very important that you keep to your allocated time slot, to help make this delivery day run smoothly for all 90 Exhibitors. However, if because of personal travel arrangements the allocated delivery time is not suitable, please contact Susan Beresford ( 07958 397794) as soon as possible and we will try and reallocate a time slot more suitable for you. This information will be forwarded to you in March 2017.

· On arrival you will be given a CAL Car Sticker to display in your windscreen; so that we can help you park more quickly.
Please advise the Event Organiser by March 15 at the latest if you have any particular requirements regarding delivery of pieces of work or Stand fittings.
The entrance to CSM is flat and trolleys will be available. Helpers will be on hand to assist Exhibitors unload as they arrive and take work and equipment directly to your Stand. However, all work and display materials are carried by these helpers at the Exhibitors’ risk. It is strongly recommended that work and other materials are carried in stackable plastic containers to minimise the floor area used by each exhibitor in the storage areas. All your work, packing materials, boxes etc MUST BE CLEARLY LABELLED WITH YOUR NAME AND STAND NUMBER.
We attach an Exhibitor Contact List if you should wish to try and arrange to share the delivery of your work to CAL2017 with another Exhibitor living close to you
You cannot park at CSM. Once work and displays have been unloaded vehicles must be taken away and parked elsewhere to allow other exhibitors access to unload their work. Local parking meters may be available for short periods.
Exhibitors should be aware that Parking Attendants are very active in the area and drop off times are limited to a maximum of twenty minutes, we will arrange parking dispensation for 7 bays but this will not guarantee freedom from the attentions of the Parking Attendants in other areas.
(b) Delivery by Freight Handling Company
Another option for delivering your work is to use a Freight Handling Company. CAL 2017 has appointed Duncan Coales Logistics for freight handling for the event and his details are enclosed for you to contact Duncan directly. They will deliver a pallet to you for you to pre-pack, pick it up from you, store it at their warehouse and then deliver it to your Stand on the Set-Up Day. At the end of the event you will need to repack the pallet which they pick up and deliver back to you.
You are obviously at liberty to choose your own Freight handling company.
5. REMOVAL OF WORK – SUNDAY 2 April
CAL2017 closes promptly at 5.00pm on Sunday 2 April. Exhibitors must not dismantle their displays before that time but should clear their Stands as quickly as possible after the closing announcement. Exhibitors should be aware that stand lighting which comes from an auxilliary supply will be switched off shortly after 5.00pm to allow the electricals and stands to be dismantled. While there is full security during this period, it is important that exhibits are not left unattended, as it is almost impossible to protect against pilfering at this time.
Please ensure that you leave your Stand clean and tidy with any unwanted rubbish placed in the waste sacks that will be provided. The organisers are required to clear the venue of all rubbish at the end of the event so your help will be much appreciated.
Helpers will again be available to assist Exhibitors remove exhibits and load their vehicles, in order to help the logistics for vacating CSM to run smoothly. However, as all 90 exhibitors are clearing their stands at the same time, access to help may be limited. Please liaise with the CAL2017 staff if there are any problems and we will be as flexible as we can in helping you get away quickly. Our experience is that it is not possible to control the timing of the removal of your work but it must be empahsised that parking outside CSM is strictly limited during the take-down/removal period so we suggest parking nearby, with your driver contactable by mobile phone.
Exhibitors will have access to Gallery until 8.00pm on the Sunday night.
6. YOUR STAND
The display scheme at CAL 2017 is based on a professionally built system of interlocking Stands ie a Shell Scheme. The enclosed Exhibition Plan contains the details of the location and dimensions of your Stand
The solid lines on your Stand plans denote partition walls. A RED X denotes open sides. You will each have received the details of your Stand size and location but if you have any specific queries at all please contact Susan Beresford (Phone020 3137 0750/ 07958 397794). It is strongly recommended that Exhibitors discuss their plans for display with their immediate neighbours.
No part of an Exhibitor's display may project outside the area of their Stand as shown on the plan and the Organisers reserve the right to remove displays or exhibits considered to be prejudicial to neighbouring Stands.
Stand sizes may vary during construction by up to 4inches/10cms from the given size. The organisers would strongly advise that exhibitors build flexibility into the design of their stands. The Organisers cannot be held responsible for any Stand furniture that does not fit within the Stand space and anything ‘oversized’ will be removed. Please allow for this when designing and ordering Stand furniture.
Stand details:
· Stand height 2.5metres; flush fitting interconnecting panels, 5mm thick, finished in white hard-surface Foamex board within an aluminium frame. (See enclosed leaflet and top-rail cross-section). The top-rail will support a suspended hanging weight of 10-15 Kilos.
· Fascia board at front of Stand with Potter’s Name and Stand Number
· Electrics: two - five spot lights and one optional power point
· No ceiling to Stand
· The stand floor will be the floor of the gallery. No additional floor covering will be provided.
You must NOT physically alter the shell scheme: no paint, no glue, no nails, drilling etc. However, the Foamex walls are compatible with self adhesive Velcro and both the loop and hook type will be required. Thus either use Velcro to attach material, images etc., or work may be hung from the tops of panels using large picture or similar hooks. Any damage to the panels by Exhibitors should be made good before leaving. In the event of significant damage the Organisers reserve the right to charge for the cost of renovation to the panels. Stand panels are strong, but they will vibrate if shaken. Before doing anything to your Stand, Exhibitors should check with neighbours on the other side of the panel that it is safe to do so
It is your responsibility to “dress” your Stand. No furniture, fittings or display equipment are supplied by the Organisers. Please note that space should be allowed for any furniture within your Stand area. It is against fire regulations to put anything in the aisles; this includes folding chairs and stools. Similarly large quantities of packing material (eg rolls of bubble wrap or excessive sheets of tissue paper) must not be stored on stands. These should be drawn from the stock rooms as appropriate.

You must not serve or consume food or drink at your Stand. If you wish to take a break it is your responsibility to ensure the security of your Stand at all times. CAL 2016 has no guaranteed resources to supply cover while you are away from your Stand.
If you are in any doubt about what you can or cannot do with your Stand, please contact the Organisers well in advance, as we prefer to sort out all problems before the event rather than for you to have problems on the set-up day. However, a representative from the Stand Contractors will be available on-site during set-up day 7 April.
7. ELECTRICAL SERVICES
At least two spotlights and an optional power point are provided for each Stand. However, Exhibitors can hire extra spotlights, fans, 5 amp sockets etc from our appointed electrical contractor, or provide them themselves. See separate order form for additional electrical requirements. If you provide your own electrical equipment, it must comply with CSM Regulations. A representative of the electrical contractors will be available on-site on set-up day and throughout the event.
RULES ON THE USE OF ELECTRICAL EQUIPMENT AT CAL 2017 ARE MADE FOR SAFETY REASONS. TO AVOID COMPROMISING THE CONTRACTOR'S LIABILITY, ANYONE INFRINGING THESE RULES WILL HAVE EQUIPMENT REMOVED, TO BE RETURNED AT THE END OF CAL 2017.
8. AUDIO-VISUAL EQUIPMENT
The noise of video recordings and other audio-visual equipment can cause problems for other Exhibitors and so these are only permitted as part of an Exhibitor's display with the sound turned off.
9. STORAGE
There are TWO large storage spaces at CAL 2017, for you to keep spare stock, wrapping materials etc. Storage area is specifically for Reserve Stock and each Exhibitor will need to keep the floor area within these Stores that they use to an absolute minimum. Proof of ID may be required. However, depending on circumstances, it is our intention to leave the storerooms closed but unlocked during the event for the convenience of exhibitors.
Empty flammable packing material in the storerooms must be kept to an absolute minimum as it represents a potential fire hazard.
To protect everyone’s interests, YOUR STOCK and any items left in the storeroom MUST BE CLEARLY LABELLED WITH YOUR NAME AND STAND NUMBER.
10. SAFETY REGULATIONS
The Organisers reserve the right to move any material, stock, or part of a display that is considered to be causing an obstruction.
Packaging materials, except for limited wrapping materials, may not be stored on or behind the Stands. No wood shavings, sawdust or straw may be used as part of a display.
