Central Shenandoah Arts - Board of Directors Meeting

Jen Tremblay called the meeting to order with the following members in attendance:Barb Gaucher, Jen Tremblay, Jewel Hertzler,MaleaGascho, Eileen Shifflett, Kim Juda Sauder and Sarah Lock.

Jen Tremblay / -Jen called the meeting to order at 10:00. Sarah Lock will attend board meetings as she can.
Minutes
Jewel Hertzler (Recording Secretary) / -The board read the June 28th2017 minutes. Kim was added as being present for the June meeting. Kim made a motion to accept the minutes as corrected, Eileen seconded, the motion was carried.
Treasurer’s Report
Eileen Shifflet
(Treasurer) / Eileen explained that Sales tax exemptions, are only for items re-sold with sales tax taken out later. She went over the profit and loss statement and outstanding checks. We thanked Kim for her organization skills! We discussed whether the oil expense had gone up this year, with more people in the building.
Jewel presented a worksheet on expense/income for each CSA and Studios, we read and discussed. We discussed getting a pro-bono Lawyer to look at leases before writing new ones. Jen said that Danielle Campbell, who works in property management could look over them as well.
Jewel made a motion to accept the treasurer’s report, Barb seconded, the motion carried.
Director’s Report
Jen Tremblay
(Interim Director) / Jen led a discussion about the Member’s Gallery Shop. Erin Murray is coordinating all. The main purpose of this is to support local artists. We finalized a vote to open the shop and for Erin to run it. Barb made the motion, and Kim seconded it. We agreed to a 6 month trial. The work will be for members and will not be juried. We would like Erin to add the clause to the artist’s contract that “ we reserve the right to reject artwork based on whether we deem it to be offensive”.
-We OK’ed use of square and account. 20% of Sales will go to Spitzer, 80% to the artists. Starting times are Monday, Friday 10-4 and Saturday 10-2. This will start in August on First Friday, Aug 4th, in conjunction with the Jennifer Connerley show. Jen will set up a meeting with Erin, Zac and Amanda, who will work with set up and running the shop.
- July 22 and 29th, members will pick up art work from Member’s show.
Membership Report / Jen will update membership list and mailing list.
Events / -The August 4th First Friday is Jennifer Connerley. Jen will ask her if the show can extend through September as well. Shenandoah Valley Organics-SVO will provide refreshments.
-August 5th, Saturday, 10-2 we will host demos and open studios as part of the Harrisonburg/Rockingham Artisan trail, Studio tour. Jewel and Zac are individual artist trail stops and Spitzer is an art center stop. Jewel will contact the other renters and members to see if they want to be involved.
-Austin Sheppard’s opening will be October 6th.
- November, possibly a sculpture invitational, Barb will contact Michael Hough.
-December- maybe a juried show of small works, maybe 18 and under.
-we discussed having a student show with HHS, Rockingham co, Blue Ridge School, and EMHS.
- Jen will put out a call for artist proposals for shows for next year.
-Pear Tree show= Cut in Spring, celebrate in fall. Late summer this year to make jam and dried pears. Contacts: Rhett Miles, DennisHippen with the wood turners, justinSchwitzer, sawmill to mill the wood.
- suggestion of having Tai Chi or yoga on the lawn event, partnering with a food vendor.
House & Grounds
Jen Tremblay / Jen has been in discussion with garage studio renter, TorieTopor. The overhead lights do not work well, and the breaker trips when additional electrical appliances are plugged in. Jen will call another electrician, since Matt Carlson is working so slowly on the outdoor lighting. Jewel will stay in contact with Matt Carlson.
-The Garage door needs work. Sarah and member Linda Leffel will look at it.
- We will schedule a workday for members to help with outdoor weeding and trimming. Monday 24th is tentatively scheduled.
Education
Barb Gautcher / -Marcia resigned from the board due to additional workload and family needs.
-Barbara G. is working with the VMFA for a fall class on Book plates and bookmarks with Mary Swezey, either Nov 4 or 11th.
- Howard Zehr’s class in studio lighting is scheduled for August 12th, 10-12.
-Jewel has 8 students signed up for the July 23 encaustic class.
Other classes/events that could be scheduled: Dinah Mitchell with lampwork beads, Sarah Lock, silversmithing, Amanda Tutwiler, terrarium class, Watercolor society- abstract watercolors, plein air, other classes.
Public Relations
Old Business / 1. Jewel will meet with Donna Detrich of the Watercolor Society to discuss a possible merge, and what that might look like.
2. We decided not to rent the window or other space at Oasis right now. Water street window $150, Mezzanine $100.
3. Kim will be gone Aug 5 and 12. Jewel will be the docent both days, unless someone else would like to volunteer.
New Business / -Board recruiting:
we need a graphic designer, photographer, social media/blogger, membership chair, president, education and an events coordinator.
