Central Coast Special Board meeting Friday, March 24, 2017, 6:30 p.m. at Village Host restaurant in SLO.

Present: Steve Daugherty (league sec.), Josh Hunt (Outlaws), Manny Barrera (Legends), James Hixon (league pres. & Hogs mgr.), Marc Smith (Djaxx), & Tony Camacho (Blacksox).

Absent: Rob Shipman (Nuts)

Agenda:

I.Dispute played out on social media between J. Hixon & J. Hunt over payment of Spring League fees.

J. Hixon spoke 1st & said that social media is not the place for discussing these matters.

Manny Barrera: comments on social media make our league look bad and unprofessional (M. Smith & S. Daugherty expressed agreement).

Motion by Tony Camacho (2nd by Manny Barrera) to take down the comments on social media and post the minutes of this meeting and the minutes of the Dec. 17th, 2016, board meeting on the league’s website so that members of the league can see that many of the significant issues have been discussed and resolved. Motion passed.

II.League financial reports requested by the team managers.

A.Pres. Hixon provided a partial written financial report for the 2016 calendar year. The written report did not contain a starting balance on January 1, 2016, to allow determination of a current balance by accounting for income and expenses, but did have a listing of income and most league expenses. However, J. Hixon stated that the league’s starting balance on Jan. 1st, 2017, was $4,300. The league does need some carryover each year of several thousand dollars to order baseballs in advance of league play starting, to cover unexpected expenses (for example, having to play makeup games at night where the cost of lights doubles the cost of the field rental, etc.), and to cover T-shirts for league champions & other expenses that player fees do not cover.

B.Pres. Hixon stated that he has hired Tidwell Bookkeeping Service at $300.00 per year cost to do our league’s quarterly financial reports and to provide league financial information to an accountant in order to file our tax returns at the end of the calendar year.

C.Pres. Hixon also stated that we’ll pursue legal assistance to obtain official recognition by the state as a non-profit organization under the proper IRS tax code.

III.Team managers putting the league & board in serious legal jeopardy by allowing players to play in games without players submitting their MABL/MSBL waiver forms & paying their league fees before they are even allowed on the field. If a player got hurt in a game, didn’t have a waiver on file, and didn’t pay their league fees which helps pay for their injury insurance, the league, board members, and team manager that allowed it happen could be sued. This could be the end of our local league, not to mention the huge personal cost to the board members and team manager that allowed it to happen to defend themselves against a lawsuit for violating National MABL/MSBL & local league policy.

Pres. Hixon said that if a manager had a player that they wanted to add to their roster on game day in which they wouldn’t have had time to submit the waiver form and league fee payments in advance, they MUST collect all the proper league fees from the player and have the player fill out & sign the waiver form prior to be allowed on the field. The manager is then to immediately take a picture of the filled out waiver form and send it to him via text message.

V.MSBL Central Coast All Stars game vs. SLO Blues on Saturday, June 3, 2017. Each team can send the names of a maximum of 3 players/ team to J. Hixon that can play in this game. No date was given to submit the names.

VI.Tony Camacho asked when we’ll have the full Spring League game schedule posted. J. Hixon said he’d do it this week. Tony C. also offered to do the scheduling for league games for one season to take the load off J. Hixon. Tony’s offer to do the league’s game scheduling was agreed to by consent.

Informational Item: We need the lock combination to the batting cages at Sinsheimer so that our teams can do pregame BP in the cages. The managers asked J. Hixon if he would either ask SLO Babe Ruth for the combination or ask the City Parks & Rec. Dept. director for it.
